You can cancel Microsoft 365 Family without immediately deleting your OneDrive files. The important deadline is the end of the paid term: each affected personal account normally drops to 5 GB of Microsoft cloud storage. If an account is over that limit, its files remain but become read-only, while uploads, editing and syncing are restricted. Microsoft says an account that stays over quota may be frozen after three months and its OneDrive and files may be deleted after six months.
Cancel through the purchasing account’s Services & subscriptions page, then check every Family member’s storage and either reduce it to the available allowance, keep suitable storage, or retain a separate copy of important files.
Cancellation and expiry are different events
Choosing Cancel subscription usually stops the next renewal; it does not normally remove Microsoft 365 Family benefits immediately. Microsoft says benefits generally remain available until the expiry date shown in your account, subject to local law and the terms of the purchase route.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Scan for outdated or missing drivers - takes under a minute3Repair Windows errors before they cause bigger problemsThat date is the point at which the storage and app changes matter. A cancellation confirmation is not proof that the subscription has already ended. Save the displayed expiry date and plan your storage work before it arrives.

How to cancel Microsoft 365 Family
- Sign in with the purchasing account. Open the Microsoft account Services & subscriptions page using the personal Microsoft account that bought the Family subscription. A Family member who only received an invitation may not see the cancellation control.
- Open the subscription controls. Find Microsoft 365 Family and select Cancel subscription. Microsoft says the control can instead be labeled Upgrade or Cancel.
- Review the result and confirm. Follow the prompts on the page. Read the displayed end date and any terms attached to the purchase route before completing the confirmation.
- Record the status. If the page shows Turn on recurring billing, Microsoft says the subscription is already set to expire on the displayed date and will not be charged again after that date. That wording means recurring billing is off; it is not a request to cancel a second time.
- Check the account again. Return to Services & subscriptions and verify the expiry date and status. Keep the confirmation email or a screenshot for your records.
If you purchased through a store, mobile provider or another marketplace, the account page may direct you back to that seller. The cancellation terms and timing can depend on that purchase route and local law, so use the instructions shown for the account that is actually billed.
What happens to OneDrive files and Microsoft storage
Microsoft’s cancellation guidance says the cloud-storage allowance reverts to 5 GB after a Microsoft 365 subscription ends. That cloud allowance includes OneDrive content and Outlook.com attachments. The same guidance states that Outlook.com has a separate 15 GB storage allowance for Outlook.com data.
The 5 GB figure applies to each affected personal account, not just the person who paid. If your OneDrive, attachments and other counted Microsoft cloud items fit within the available allowance, you can continue using OneDrive under the free account. Files do not vanish merely because you cancelled.

If an account is over 5 GB
Microsoft’s quota guidance says existing OneDrive files remain, but they become read-only when the account is over its limit. You can view and download them, but the account cannot upload new files, edit the affected cloud files or sync new changes normally. A desktop sync client may show warnings or stop updating because the account has no available quota.
Read-only access is not a permanent preservation guarantee. Microsoft says an account that remains over its OneDrive limit may be frozen after three months. After six months, Microsoft may delete the OneDrive and all files in it; deleted files cannot be recovered. These are potential enforcement timelines, not a safe period in which to wait. Start reducing usage or arranging storage as soon as you know the account will be over quota.

Items you delete may still count
Microsoft counts items in the online OneDrive Recycle Bin toward storage. If you delete files to get under the limit, empty the OneDrive Recycle Bin after confirming that you no longer need those items. Deleting a file without emptying the online bin may not free the expected space.
Prepare each account before the paid term ends
Storage is assessed per personal account. Make a list of everyone who uses the Family subscription and have each person complete the following process in their own Microsoft account.
Crashes, No Sound, or Screen Glitches?
Random freezes, missing sound and display glitches usually trace back to one bad driver. Find and replace yours safely.Free scan · under a minutePC Slower Than It Used to Be?

Open the storage view for the account and note the amount used, the largest categories and the items in the OneDrive Recycle Bin. Do this before the expiry date, while the Family allowance is still active, so you can identify files that need attention without a read-only restriction getting in the way.
2. Identify files that must remain in the cloud
Separate files into three groups: files that need ongoing multi-device access, files that can be archived elsewhere and files that can be deleted. Prioritize working documents, family records, photographs and any file that would be difficult to recreate. Avoid deleting a shared item until you know whether another person relies on it.
3. Make a separate copy of important files
Downloading important files to a computer or an external hard drive for file backup provides another copy independent of the Microsoft account. This is an optional precaution, not a Microsoft requirement. Open a sample of the downloaded files and verify that the copy is complete before deleting anything from OneDrive.

4. Reduce online usage to the allowance
Delete or move files that do not need to stay in OneDrive, then empty the online Recycle Bin. Recheck the storage total. Include large videos, photo libraries, device backups and Outlook attachments when deciding what is consuming the quota.

If the account needs more than 5 GB online, keep an eligible paid storage plan or another Microsoft plan that supplies enough capacity before the Family term ends. The correct capacity and price depend on the plan, region and purchase route; Microsoft’s account page is the authoritative place to confirm what will apply to that account.
Storage choices after cancellation
There is no single best choice. The right approach depends on whether you need cloud access, automatic synchronization and editing, or only a preserved copy.
| Approach | Ongoing cost | Capacity | Where files remain available | Editing and syncing |
|---|---|---|---|---|
| Reduce usage to the free allowance | No paid storage cost | 5 GB per affected personal account after expiry | Microsoft cloud and devices connected to the account | Available while the account stays within its quota |
| Keep eligible paid storage | Depends on the selected plan, region and purchase route | The allowance shown for that plan | Microsoft cloud and connected devices | Continues according to the plan’s terms |
| Keep a separate local copy | Depends on the computer or external storage used | The capacity of that local storage | Locally, without requiring OneDrive access | Local editing is possible; Microsoft cloud syncing is not preserved by the copy alone |
You can combine these approaches. For example, keep active documents within 5 GB, archive older photographs in a verified offline copy and maintain paid storage only if automatic access across devices remains important.
What Family members lose
When a shared Family subscription expires, Microsoft says the shared benefits stop and each member’s account reverts to a free account. That includes the reduction in storage allowance. Every member should check their own usage rather than assuming the purchaser’s storage decision covers everyone.

Files remain private unless a member explicitly shared them. The loss of Family benefits does not give the subscription owner or another member access to private OneDrive files. A person who needs a file must receive it through an explicit sharing action or a separate copy.
Questions to settle with the family
- Which account owns each shared folder or document?
- Does anyone need a file for work, school, tax, medical or legal records?
- Does each person have enough local storage to keep an offline copy?
- Who will retain access to a file if the original owner deletes it?
Do not assume that a file visible in a shared folder is duplicated into every member’s account. Confirm where the original is stored and make a separate copy when long-term access matters.
What happens to Microsoft 365 desktop apps
After the subscription expires, Microsoft’s expiry guidance says desktop Microsoft 365 apps lose full functionality. You can still open and view existing documents and usually print them, but you cannot create new documents, edit existing documents or save changes in the desktop apps until you renew.
Free Office web apps may provide an alternative for editing, subject to the account’s storage and other limitations. If you plan to work in the browser, test access to the documents before the paid term ends and confirm that the files are stored within the account’s available quota.

Timeline to use when planning
| Point in time | What to expect | What to do |
|---|---|---|
| Before cancellation | Family benefits and the larger storage allowance are active | Check every account, download important files and decide whether to reduce usage or retain storage |
| Cancellation confirmation | Recurring billing is stopped; the displayed expiry date controls the end of benefits | Save the date and finish storage preparation |
| Expiry date | Accounts revert to free-account benefits; the cloud allowance is normally 5 GB per affected account | Keep each account within its allowance or maintain eligible storage |
| More than three months over the OneDrive limit | Microsoft says the account may be frozen | Resolve the overage immediately; do not treat this as guaranteed grace time |
| More than six months over the OneDrive limit | Microsoft says it may delete the OneDrive and its files | Do not wait; files deleted under this policy cannot be recovered |
Troubleshooting common cancellation problems
The Cancel subscription button is missing
Confirm that you are signed in to the Microsoft account that is billed. A person who was invited to use Family benefits generally cannot cancel the purchaser’s subscription. Check for the alternate Upgrade or Cancel label and review whether the subscription was bought through another seller.
The page says Turn on recurring billing
Microsoft says this indicates the subscription is already scheduled to expire on the date shown and will not renew. Treat that date as your deadline for storage preparation. There is no need to cancel again.
OneDrive is still usable after cancellation
That can be normal while the paid term remains active, or if the account is within its post-expiry allowance. Check the expiry date and current storage total rather than relying on whether the app opens today.

Files are read-only or syncing has stopped
Check the account’s storage usage first. If it exceeds the available allowance, download the files you need, delete or move enough data, empty the online Recycle Bin and recheck the quota. If the account is within quota but desktop editing remains unavailable, check whether the Microsoft 365 desktop subscription itself has expired.
A family member cannot find a file
Verify which account owns the file and whether it was explicitly shared. Private files do not become visible to the subscription owner when Family benefits end. If the owner is reducing storage, ask for a copy before the file is deleted or the account becomes inaccessible.
2027 pooled-storage dates require an account-specific check
Microsoft’s currently indexed storage pages give different dates for existing Family plans moving to pooled storage in 2027. One page describes a transition at a renewal on or after May 2, 2027; another says renewals starting April 1, 2027. Both pages say new plans from October 2026 use pooled storage.
Because those dates conflict, do not assume a universal pooled-storage amount or transition date when deciding whether to cancel. Check the quota displayed in each Microsoft account and read the current terms for the specific plan. This uncertainty does not change the cancellation rule: once the Family subscription ends, an account needs to fit within its applicable free allowance or have another eligible storage arrangement.
A safe cancellation workflow
- List the purchaser and every person using the Family subscription.
- Check each person’s OneDrive, Outlook attachments and Recycle Bin usage.
- Download and verify a separate copy of irreplaceable files.
- Reduce each account to the allowance it will have after expiry, or arrange continuing storage.
- Cancel from the purchaser’s Services & subscriptions page.
- Record the displayed expiry date and confirm recurring billing is off.
- Before that date, recheck every account and test access to the copies or storage arrangement you selected.
Following this sequence lets you stop the renewal while preserving practical access to important files. The key is not the click that cancels the subscription; it is completing the storage plan for every affected account before the paid term ends.
