A trustworthy online presence starts with accurate public information, careful handling of health-related data, clear professional boundaries, and a consistent process for monitoring the practice’s website, social profiles, and reviews. Use the audit below to check what patients see and what your digital services do with their information. U.S. federal guidance offers important boundaries, but it does not settle every state, specialty, or service-specific question.
1. Make the practice website accurate and useful
A professional webpage can help patients find basic business information, reach the practice, and access appointment scheduling. Review the site as a patient would: confirm that the details are current, easy to find, and consistent wherever they appear.
- Practice name, locations, phone numbers, and other contact details.
- Services offered and any relevant distinctions about where or how care is provided.
- How to request or schedule an appointment, including whether the scheduling link still works.
- Patient-facing instructions, hours, and other details that could affect someone’s next step.
Keep the website within professional boundaries. ACOG describes a professional webpage as a useful tool when physicians refrain from offering online medical advice outside an established patient–physician relationship. ACOG’s guidance on professional digital and social media use is specific to its professional context; clinicians should also follow the rules and standards applicable to their specialty and jurisdiction.
2. Trace what information the site and its connected services collect
A privacy notice is not a substitute for understanding the actual data flows. Make an inventory of the site’s forms, scheduling tools, analytics, advertising tools, messaging features, and other connected services. For each relevant flow, establish what information is collected, where it comes from, why it is used, who receives it, how long it is retained, and what safeguards apply.

- Review retention and safeguards: understand how long the information is kept and what protections are in place.

The Federal Trade Commission (FTC) advises businesses to understand their consumer-health-information practices and keep representations clear and consistent with those practices. It also warns against false or misleading claims that a business is “HIPAA Compliant,” “HIPAA Secure,” or “HIPAA Certified.” Avoid using those phrases as broad assurances about a website or service. Read the FTC’s guidance on consumer health information, HIPAA, the FTC Act, and the Health Breach Notification Rule before describing a tool’s protections.
3. Do not assume HIPAA covers every website or app
HIPAA applies to covered entities—health plans, health care providers that conduct standard electronic transactions, and health care clearinghouses—and some requirements also apply to their business associates. That does not mean every website, app, or online exchange involving health information is automatically covered by HIPAA.

The FTC Act’s protections against unfair or deceptive practices can apply to covered entities and business associates as well as organizations outside HIPAA. The Health Breach Notification Rule may apply to certain personal health record vendors, related entities, or service providers; coverage depends on the service and its role. See HHS’s overview of HIPAA and the FTC Act and the FTC’s Health Breach Notification Rule overview.
These federal sources do not determine whether a particular analytics tool, appointment service, advertising pixel, or messaging vendor is lawful for a specific practice. A sound assessment depends on the practice’s actual data flows, legal status, contracts, and jurisdiction. Have qualified counsel or a privacy professional review those factors and any applicable state, specialty, or service-specific requirements.

4. Set boundaries and access controls for social profiles
Professional profiles can make practice information easier to find, but they need active oversight. Decide who controls each account, who may publish or respond, what gets reviewed before posting, and how comments and tags are handled.
- Limit administrative access to people who need it, and know who can publish or respond under the practice’s name.
- Review posting, tagging, and audience settings for each platform.
- Monitor pages for unwanted content and comments that need attention.
- Use a clear process for questions that require an individual medical response; do not turn a public profile into a substitute for an established care relationship.
ACOG recommends close oversight of professional pages and controlled settings. Its guidance can help inform a practice’s policy, but account controls and available settings vary by platform. Review them directly and revisit them when the account or platform changes.

5. Respond to reviews without discussing patient care
Physicians can respond to online reviews, but a public reply must not confirm that the reviewer is a patient or disclose information about that person’s care. Give staff a written response process so that a well-intentioned reply does not reveal protected or otherwise private details.

- Do not confirm or deny a care relationship, refer to an appointment, or discuss clinical or billing details tied to the reviewer.
- If appropriate, invite the person to contact the practice offline through a suitable channel.
- Route any situation that calls for a substantive response to the practice’s designated staff member or adviser rather than improvising publicly.
The AMA’s guidance on responding to online patient reviews explains the confidentiality boundary. A neutral reply can acknowledge feedback or describe a general process without confirming that the reviewer receives care at the practice.

6. Use a repeatable audit, not a one-time cleanup
Assign responsibility for keeping each part of the online presence current. The review should cover patient-facing accuracy, information flows, social account access, and review responses; the person responsible should know how to report a change or concern.
- Check the website’s practice details, services, and scheduling pathway.
- Update the inventory of forms, connected tools, data uses, recipients, retention, and safeguards.
- Confirm that privacy statements and other claims match current practices.
- Review social account administrators, publishing permissions, posting and tagging settings, and monitoring responsibilities.
- Confirm that staff know how to respond to reviews without disclosing or confirming patient information.
- Seek qualified review when the practice’s status, technology, contracts, or jurisdiction raises a legal or privacy question.
When comparing two website, profile, or service options, weigh accuracy and clarity; ease of contacting the practice and reaching scheduling; information collected and disclosed; safeguards, retention, and transparency; access controls and monitoring; and whether review workflows protect confidentiality. The available federal guidance does not establish a universal score or weighting system, so choose based on the practice’s actual needs and risks.
