Build the archive in Google Drive by saving each price observation as a separate, dated image, using a consistent filename, and—if you need to compare many products—keeping a Google Sheet index. A screenshot records what appeared on the page at capture time; it does not prove the price was available to every buyer, stayed available, or included shipping, tax, or eligibility conditions.
Choose a simple folder structure
In Google Drive, create a folder in My Drive called Product Price Archive. Add subfolders only if they make files easier for you to find—for example, by year, retailer, or product category. A single folder is usually enough for occasional captures. If the archive grows, a small number of predictable subfolders can make browsing easier. Avoid a deep hierarchy that forces you to guess where a product belongs.

Capture a page that shows the price and its context
Open the product page and use the screenshot function built into your phone or computer. Include enough of the page to identify the product and show the displayed price. Where visible and relevant, retain the retailer name, promotion, price conditions, and date or expiration information. Do not crop away context that could change how someone interprets the amount.

- Android: Use the device’s screenshot controls. The exact controls can vary by device.
- Chromebook: Google’s guide gives Ctrl + Show windows; with a non-ChromeOS keyboard, it gives Ctrl + F5. The screenshot is saved as a PNG in Downloads.
- Windows or Mac: The cited Google guide directs users to their operating system provider’s support instructions rather than giving a universal shortcut. Use the instructions for your device and OS version.

Upload each observation as its own file
- In Drive, open
Product Price Archiveor the appropriate subfolder. - Select New > File upload and choose the screenshot. You can also upload a folder of screenshots you have already captured.
- Keep each distinct date and price observation as a separate image. Do not replace an earlier screenshot with a later one; separate files make the sequence easier to understand.

Use a consistent, date-first filename
A useful pattern is YYYY-MM-DD_product-or-model_retailer_price.png. For example: 2026-10-03_acme-model-7_example-store_49-99.png. Put the date first so names sort chronologically, and use clear product and retailer terms so Drive search can find them. The naming pattern is a practical recommendation, not a required Google format. Google recommends names that are short, simple, and meaningful, and notes that dates or keywords can help with organization. Avoid putting sensitive account details in filenames. Add a Sheet index when comparisons justify it
A Google Sheet is optional: Drive stores the images without one. An index becomes useful when you want to compare many captures across products, dates, or retailers without opening each image. Create one row per screenshot, with columns such as:
- Capture date and time, including timezone
- Product name and model
- Retailer
- Displayed price and currency
- Visible promotion or price condition
- Screenshot filename
- Drive link to the image
These fields are workflow suggestions, not a prescribed Google template. Update the index whenever you add a capture; if you do not want that maintenance, use filenames and Drive search instead. Find and compare captures later
Search Drive using a product name, retailer, or terms from the filename. Narrow results with filters such as file type, modified date, and location, then sort files by name or another available column. With the date-first pattern, sorting by name can place captures in date order when the other filename parts are consistent. Preserve important records separately
Drive activity can show actions such as uploads, moves, renames, and shares. Google distinguishes version history for Docs, Sheets, and Slides from versions of images and PDFs. Its help page says an older version may be removed after 30 days or 100 newer versions unless you choose to keep it forever. Because image-version behavior differs from Google editor-file history, retain separate dated image files for separate price observations rather than relying on repeated replacement.

If the record matters, keep a second copy outside the archive as an additional safeguard. Google Takeout can export Drive data, but Google warns that exports may fail for files over the maximum size and some work or school account data may not be available.
