Use your email provider’s phishing-reporting control for suspicious messages, and block repeat senders separately if needed. Before clicking anything, check the full sender address and link destination; never follow an unexpected password or payment request from an email. If you send mail from a business domain, configure SPF, DKIM, and DMARC to help receiving services detect messages impersonating your domain. These steps address different risks: inbox filtering, domain authentication, and account sign-in security.
What to do when a suspicious email arrives
- Do not interact with it. Avoid unexpected links and attachments, and do not provide passwords or financial details in response to the message. If it claims there is urgent trouble with an account, open the service’s official app or type its known website address yourself. Google recommends avoiding suspicious links and downloads and reporting suspected phishing: Avoid & report phishing emails.
- Check the sender and destination. A familiar display name is not proof of identity. Inspect the full email address, look for provider warnings or a mismatch with the apparent sender, and check where a link leads before opening it. Microsoft explains how to recognize phishing and suspicious behavior in Outlook: Phishing and suspicious behavior in Outlook.
- Report the message as phishing. Use the mail service’s reporting control so it can treat the message as suspected abuse. Reporting and blocking are separate actions in some services.
- Block a repeat sender if appropriate. Blocking is useful for unwanted repeat mail, but it does not establish that the sender’s address is genuine or protect your account if you already disclosed a password.
Report phishing and block senders separately
Gmail
Open the suspicious message and use Gmail’s phishing-reporting option. Google also advises users not to click suspicious links or download files. A missing warning is not proof that a message is safe; verify account problems through the service’s official website or app instead. See Google’s Gmail phishing guidance for current instructions.
Outlook.com
Use Outlook’s report control for a suspected phishing message. Microsoft states: “When you mark a message as phishing. the sender is reported but is not blocked from sending you additional messages.” If you want to stop later mail from that sender, use Outlook’s separate block-sender control. Current options and labels may vary across Outlook versions; consult Microsoft’s Outlook guidance.
Secure your email account against stolen passwords
Turn on multifactor authentication (MFA) for your email account. Where supported, prefer a phishing-resistant FIDO/WebAuthn method, such as a compatible hardware security key. CISA identifies FIDO/WebAuthn methods as phishing-resistant and recommends MFA for valuable accounts, including email: Require Multifactor Authentication and Implementing Phishing-Resistant MFA.

A security key protects sign-in; it does not filter incoming mail or prevent a spoofed message from reaching your inbox. Confirm that your email provider and the devices you use support the chosen method. CISA’s Mobile Communications Best Practice Guidance also discusses phishing-resistant authentication.
Protect a business domain from spoofed mail
If your organization sends email using its own domain, ask your email or domain provider to help publish and maintain SPF, DKIM, and DMARC records for every legitimate sending service. These mechanisms help receiving systems assess whether mail claiming to come from your domain is authorized. Google’s Email sender guidelines describe sender requirements and authentication considerations. Domain authentication can reduce impersonation of your domain, but it does not stop every form of phishing or protect users from messages sent from unrelated domains.

For a scam impersonating a business, the FTC points businesses to guidance on stopping a would-be business impersonator, including reporting channels such as ReportFraud.ftc.gov and IC3.gov. The FTC also says phishing emails may be forwarded to the Anti-Phishing Working Group. Check the current official reporting instructions before sending information.
