Windows 11 can back up personal files locally without OneDrive: use File History to save versions to an external drive or a network location. It is separate from the consumer Windows Backup app, which uses OneDrive for selected folders.

Use File History for a local backup

Microsoft describes File History as a way to protect personal files and folders from accidental loss or damage. It automatically scans for changed files and saves copies to an external drive or network location. An external hard drive is the simplest target if you want a copy that does not depend on an internet connection.

  1. Connect an external drive to your PC, or make sure the network location you intend to use is available.
  2. Open Control Panel, then go to System and Security > Save backup copies of your files with File History.
  3. If Windows has not selected a destination, choose Select drive, select the external drive or network location, and confirm.
  4. Select Turn on to start File History.

For an external hard drive for Windows backup, choose enough capacity for your files and the versions you want to retain. Check that the drive connection works with your PC, and consider disconnecting it and storing it safely between backup sessions. Microsoft’s guide does not specify a fixed backup interval, so check File History’s status rather than assuming a particular schedule.

Check which folders File History covers

File History backs up the default libraries, including Documents, Pictures, Videos, Music, and Desktop. It does not necessarily include every folder on your PC. To include another folder, add it to an existing library or create a library for it. In File Explorer, the current Microsoft guide gives the route Show more options > Include in library.

Before relying on a backup, confirm the folders you care about are included and that File History reports it is running. Microsoft explains the feature and its coverage in its File History guide.

Restore an earlier version of a file

  1. In File Explorer, navigate to the folder that contained the deleted or changed file.
  2. Right-click the folder and choose Restore previous versions.
  3. Select an available version. Preview it if you want to check its contents.
  4. Choose Restore to put it back in the original location, or choose Restore to… and select another location.

Restore replaces the current version in the original location. Use Restore to… to recover somewhere else if you want to avoid overwriting the current file. Test the process with a noncritical file and a separate destination before you need it for an important recovery.

File History, Windows Backup, and Recovery Drive are different

These Windows features address different needs. Microsoft’s backup-solution guidance distinguishes local or network file backups from Windows Backup’s consumer cloud workflow.

Feature What it saves or does Destination Best fit
File History Personal files in libraries, including folders you add to libraries; lets you restore earlier versions. External drive or network location. Local, versioned copies of personal files.
Windows Backup Selected user folders through OneDrive, along with settings and app list in its consumer workflow. OneDrive cloud storage; the consumer flow uses a personal Microsoft account. Cloud access and the move-to-new-PC workflow.
Windows Recovery Drive Windows recovery files for system recovery; it does not include personal files. USB recovery media. Recovering Windows when system files or a drive need attention, not restoring personal documents.

OneDrive is a cloud destination, while File History can write to storage attached to your PC or available on your local network. Microsoft says external or network backups can suit people without internet access and those with many or large files. If you use the consumer Windows Backup flow instead, its Microsoft guidance says a free Microsoft account includes 5 GB of OneDrive storage; that allowance does not limit a File History drive. The consumer flow is for personal Microsoft accounts, not work or school accounts, and Microsoft notes that geographic restrictions may apply to device transfer. What File History does not replace

File History is a personal-file backup, not a full Windows system image. A Recovery Drive can help restore Windows, but Microsoft Support says it “doesn’t include your personal files.” For that reason, keep personal-file protection and Windows recovery media as separate tasks. Microsoft’s overview of backup, restore, and recovery in Windows outlines those different roles.
