To back up a Docker-based Nextcloud instance with Portabase, install a Portabase Agent on the Docker host, give it access to the relevant Docker volumes, and configure a project and backup destination in the Portabase dashboard. Select all state Nextcloud needs to recover—not just the user data—and use a database-aware, consistency-conscious backup process. Store production copies off the Nextcloud host, then test that you can restore both files and database.

What a Nextcloud backup must contain

Nextcloud’s Nextcloud 35 Administration Manual says there are five main components to retain:

  • Configuration folder: holds instance configuration.
  • Custom apps folder: include it if you have installed custom apps.
  • Data folder: contains user files and other Nextcloud data.
  • Theme folder: include it if you use custom themes.
  • Database: stores application records and must be backed up alongside the files.

Map these components to the actual Docker volumes and database in your deployment before configuring Portabase. A volume selection that omits a required folder, or a file-only copy that omits the database, is not a complete recovery set. The appropriate database backup method depends on your database engine and deployment.

How Portabase fits into the deployment

Portabase’s Nextcloud backup tutorial, published July 15, 2026, describes a central Portabase server and dashboard, plus an agent installed on the Docker host running Nextcloud. The agent performs backup and restore work; the dashboard is where you configure projects, destinations, schedules, retention, and recovery operations.

The basic flow is Nextcloud Docker volumes → Portabase Agent → backup storage. The agent needs access to the host’s Docker resources and to the relevant volumes. Portabase’s user guide identifies the Docker socket as a mount required in the agent container for Docker-volume access. Follow the installation instructions for your environment and grant only the access the agent needs.

Prepare Nextcloud for a consistent backup

A file copy and a database backup taken without coordination can capture different points in time. Nextcloud documents maintenance mode as a way to lock existing sessions and prevent new logins while backup work is performed. This reduces the risk of inconsistent data while you capture the folders and database.

  1. Check your deployment: identify the Nextcloud configuration, data, theme, and custom-app paths; the corresponding Docker volumes; the database engine; and the database backup procedure used by your installation.
  2. Enable maintenance mode: use the occ command as the HTTP user, following the command and deployment-specific instructions in the Nextcloud backup manual.
  3. Back up files and database: include the required folders and use an appropriate database dump or snapshot method. The Nextcloud manual includes folder-copy guidance and MariaDB/MySQL dump examples; adapt them to your actual database and container arrangement.
  4. Finish the backup work: turn maintenance mode off after the backup is complete, as directed by the manual.

Do not assume that selecting volumes alone coordinates the database with file activity. Confirm how your chosen Portabase setup handles the database and maintenance window, and make sure the resulting backup set covers all five components where applicable.

Install and connect the Portabase Agent

  1. Install Portabase’s central service and agent: use the official Nextcloud tutorial for its Docker-host workflow and the current Portabase installation instructions for your environment.
  2. Register the agent: in the Portabase organization’s agent settings, create an agent and obtain its generated Edge Key, as described in the Portabase user guide.
  3. Configure the host agent: provide the Edge Key to the agent on the Docker host. Mount the Docker socket in the agent container so it can access Docker volumes.
  4. Confirm connectivity: check that the dashboard reports the agent as connected and shows a recent contact timestamp before creating a project.

Create a project and run the first backup

  1. Create a project in the dashboard: select the connected agent and the Nextcloud Docker volumes needed to cover the configuration, data, theme, and custom-app folders where used.
  2. Configure the destination: choose a storage backend and confirm it is available to the Portabase server. Portabase documents local/on-premises storage, S3-compatible services, Google Drive, Azure Blob Storage, Google Cloud Storage, SFTP, and Rclone; it also says one backup can be sent to multiple destinations. See the Portabase overview for the supported categories.
  3. Run a manual backup: start one from the dashboard after preparing Nextcloud and its database as described above. The Portabase guide describes waiting, ongoing, success, and failed statuses; investigate a failed run rather than treating it as a usable recovery point.
  4. Check the backup scope: verify that the configured project and database procedure captured every required component. A successful job status alone does not prove that the recovery set is complete or restorable.

Choose storage that survives the failure you are protecting against

Production backups should be outside the Nextcloud Docker host’s failure domain. The Portabase tutorial recommends separate infrastructure, and Nextcloud’s manual likewise directs administrators to copy backup folders outside the Nextcloud environment. If the host fails, a backup stored only on that same host may be lost with it.

Destination arrangement What it is useful for Important limitation
Local storage on the Portabase dashboard server Testing, small infrastructures, or storage on an attached network mount, according to Portabase’s local-storage guide. If the dashboard server shares the Nextcloud host’s failure domain, it is not an independent off-host copy. If Portabase runs in Docker, persist its /data folder; the guide says backups are under /data/private/backups.
Separate infrastructure or network-mounted storage Separates backup data from the Nextcloud Docker host, depending on where the destination is hosted. A network mount attached to the same machine does not by itself protect against failure of that machine or its environment.
External storage backend Portabase lists S3-compatible storage, Google Drive, Azure Blob Storage, Google Cloud Storage, SFTP, and Rclone. Availability, configuration, cost, and performance depend on the chosen service and setup; Portabase’s cited material does not establish a universally best option.

Portabase says the same backup can be sent to multiple destinations. That can add another failure boundary, but only if the destinations are independently accessible and retained appropriately. The available documentation does not provide comparable pricing or performance benchmarks for the listed backend categories.

Automate backups and set retention

After confirming a manual run and its scope, use the project’s schedule and retention settings in the dashboard. Portabase’s user guide says the schedule tab accepts a cron schedule. Choose a cadence that fits how much recent data the organization can afford to lose, and set retention to preserve enough recovery points without confusing it with a substitute for off-host storage.

Portabase also supports triggering a manual backup. Use that when an operational change warrants a recovery point, while applying the same consistency and database precautions as for a scheduled run. Schedule regular restore tests so the procedure, target, and backup contents are familiar before an incident.

What restoring Nextcloud requires

Restoration is not simply copying a volume back. Nextcloud’s Nextcloud 35 restore manual calls for restoring the configuration and data folders (or the whole installation and data folder) and restoring the database. Include the theme and custom-app state needed by your installation as part of the recovery plan.

Database restoration is destructive to the target: Nextcloud’s manual says to delete existing tables, commonly by dropping and recreating the database, before restoring. Portabase’s user guide likewise warns that a database restore overwrites current data in the target. Confirm the intended recovery database and preserve a recent backup before starting. Portabase documents choosing an existing backup or a file from configured external storage as restore sources.

  1. Choose the recovery point and source: select the intended Portabase backup or external-storage file, and confirm it contains the required folders and database backup.
  2. Identify the target carefully: verify the Nextcloud instance, database engine, database name, and destination volumes. Do not direct a destructive database restore at a live or unrelated target.
  3. Restore files and database: follow the Nextcloud restore instructions for your deployment and use the matching database procedure. Restore the application files and database from a compatible recovery point.
  4. Validate the recovered instance: check that the expected files, apps, configuration, and database-backed content are present, then confirm the service operates as intended before treating the recovery as complete.

Keep a recovery plan, not just backup jobs

  • Maintain an inventory mapping Nextcloud’s required folders and database to Docker volumes and backup procedures.
  • Keep at least one production copy outside the Nextcloud host’s failure domain.
  • Record the maintenance-mode, database, and restore steps for the versions actually deployed; Nextcloud’s cited instructions are for version 35.
  • Test recovery to a safe target and verify both files and database, rather than relying only on a dashboard success status.
