To back up a Notion workspace, open Notion on desktop or the web, then choose Settings → General → Export all workspace content. Select HTML or Markdown & CSV, start the export, and download the ZIP from the delivery link Notion sends. The archive is useful as a portable copy of accessible content, but it is not a one-click, full-fidelity restore: inaccessible private pages and content excluded by teamspace settings may be missing.
Export the workspace from desktop or web

Open Notion in the desktop app or web app. Whole-workspace export is available from these interfaces, not from mobile.

In the sidebar, open Settings, then General.

Select Export all workspace content.

Choose the export format and any available options, then start the export.

Wait for Notion’s delivery message. The link arrives by email, or in the in-app inbox if email notifications are turned off. Notion says processing can take up to 30 hours depending on workspace size, and the download link expires after seven days. Download the ZIP while the link is active.

Open the ZIP and check the files. Notion includes an
index.htmlsitemap to navigate HTML and Markdown exports. For safekeeping, you can copy the downloaded archive to a separate drive; Notion does not require a particular backup device.

Choose a format that fits what you need

For an individual database export, Notion lets you export the current view or the default view, not every view at once. A Form view cannot currently be exported; Notion suggests switching to Table view to export questions and responses. If a page-level PDF export fails, Notion says it may export as HTML instead.

Check access and teamspace rules before relying on the archive
An export contains only pages the person initiating it can access. Other users’ private pages that are not accessible to the exporter are omitted. Teamspace settings can also exclude content, so a completed ZIP is not proof that it contains every page in the workspace.

Before exporting, ask the relevant page or teamspace owners to review whether the content you need is accessible and eligible for export.

For Enterprise workspaces, an admin can use content search to grant themselves or another person access to specific pages for future exports. This does not add inaccessible pages to an export that has already been created.

If the export command is missing, Notion says Enterprise workspace or teamspace owners can disable export. A workspace owner can review the workspace Security setting; a teamspace owner can review that teamspace’s Security setting. Guests need Full access to the page or database they are trying to export.

Know what an export can—and cannot—do
The files make content easier to browse or reuse elsewhere, but they do not recreate the original workspace’s structure and behavior with one upload. Notion states: “You can’t instantly recreate your workspace by reuploading your exported workspace content.” Treat the archive as a portable content copy, not as a full-fidelity restore or guaranteed migration path.
That distinction matters when planning protection against data loss: retain the downloaded ZIP somewhere separate from the live workspace, and inspect it to confirm the pages and files you expected are present. If you need a particular page that is absent, first check the exporter’s access and teamspace restrictions rather than assuming the ZIP is corrupt.

The full-workspace export fails
Notion notes that exports can fail for particularly large workspaces. Try exporting selected top-level pages in smaller batches instead, choosing HTML or Markdown & CSV and enabling Include subpages for each batch. Keep a list of the top-level pages you exported and check the resulting archives so you can see which parts of the workspace each contains.

Some pages or files are missing
Check whether the exporting account could access the missing pages and whether teamspace settings permitted their export. For content the exporter could not access, arrange the necessary access before creating another export.
The download link is no longer active
Notion’s export link expires after seven days. Start a new export if the link has expired, then download the new archive promptly.
Nested ZIP files will not open on Windows
Notion’s export guide cites Windows’ default 260-character path-length limit as one reason deeply nested archive contents can fail to extract. When exporting, you can disable Create folders for subpages, or use a ZIP extraction tool that supports long paths.
Options for recurring Enterprise exports
Notion documents a separate workspace-level admin API in beta for Enterprise workflows. It can initiate an export and check whether it is ready; an organization owner must set up an admin bot and token. The documentation does not say that this API automatically schedules exports, so teams that need a recurring audit archive should not treat API access alone as a backup schedule.
