What you need before generating a batch
Each certificate needs a repeatable layout, recipient data, and a photo in a form the chosen tool can use. Typical text fields include the recipient’s name, course or award, and completion date. Give the photo its own image frame or other defined area; don’t treat a photo URL as interchangeable with an actual image value.
For a small batch, a design tool with a visual template and bulk-data workflow may be easiest. For certificates triggered by form submissions or sent automatically, consider a script or a form-oriented add-on. The important distinction is what each route actually documents: Canva supports bulk design variations and image fields; Google’s sample creates and emails PDFs; Marketplace listings describe additional automated delivery options.
Method 1: Generate certificates with Canva Bulk Create
Canva’s certificate maker provides templates and editing tools for certificates, including image elements. Its Bulk Create feature connects data fields to template elements and creates a design for each row. Canva’s current help documentation says Bulk Create is available on desktop for Canva Pro, Teams, Business, Enterprise, Education, and Nonprofits users. Limits and eligibility can change, so check the current Canva Bulk Create help page for your account.

1. Design the certificate template
Start with a certificate template or create a layout of your own using Canva’s certificate maker. Leave enough room for variable text and add a distinct photo area. Keep long names and titles in mind: a fixed text box that fits a short name may not fit a longer one without reducing its size or changing the layout.
Canva describes 8.5 × 11 inches as a common certificate size and landscape as its most popular orientation. It also names 8.5 × 14, 11 × 14, and 11 × 17 inches as other popular sizes. Those are Canva’s design recommendations, not a universal printing requirement. Choose dimensions and orientation for the recipient’s intended use and printer.
2. Prepare one complete record per recipient
Organize the data so each row describes one certificate and each column corresponds to a variable field—for example, name, award, date, and photo. Canva documents importing CSV or XLSX data and entering data manually. Its Canva Sheets workflow also supports image fields, and its documentation says XLSX can be used with images.

The critical limitation is how the photo is supplied. Canva warns: “Please note that image URLs from cloud photo storage are not supported and will be treated as plain text.” For manual entry, the help instructions describe populating an image column from Canva’s media library. Confirm that each photo is present as image content in the supported form before making the full batch; a column of ordinary cloud-storage links won’t become certificate photos just because it is mapped to an image frame.

Open Bulk Create on desktop, provide or enter the recipient data, and connect each data field to the matching text placeholder or image element. Review the mappings before generating. Canva documents output as one multi-page design or separate designs, and offers file or page naming from a data column. Its help page describes a maximum of 150 data fields; the Canva Sheets selection workflow documents up to 300 rows and 150 columns. These are documented product limits, not a guarantee that every account or future version will have identical limits.
4. Review the results and export
Open a sample from the beginning, middle, and end of the batch. Check that the right photo is paired with the right person, the crop looks appropriate, dates and names are correct, and longer text hasn’t overflowed or become difficult to read. If the batch is large, review the generated set before distributing it rather than assuming that correct field mapping guarantees every result looks right.

Canva’s certificate maker describes sharing by email or social media and saving print-ready PDFs. Use a PDF when preserving a printable document is the goal; if you need individual image files, confirm the available export options in your account and choose the format your delivery channel accepts. The cited certificate-maker page supports print-ready PDF output, but does not establish that every workflow or account offers every image-export option.
Method 2: Automate PDFs with Google Sheets, Slides, and Apps Script
Google’s official Apps Script sample demonstrates a different workflow: it reads employee information from Google Sheets, fills a Google Slides certificate template, creates a slide per employee, exports each slide as a PDF attachment, and emails it through Gmail. It is a starting point for users comfortable setting up and authorizing a script, rather than a documented photo-certificate generator.

- Open Google’s employee certificate Apps Script sample and follow its setup instructions. The sample requires copying its template and assets.
- Prepare the sheet and Slides template in the structure the sample expects, then adjust its text substitutions for your own certificate fields.
- Run the script and authorize it on first use when Google requests permission for the workflow.
- Check the generated PDFs and delivery records before relying on the automation for a full recipient list.
The cited sample documents personalized certificate creation and emailed PDF attachments. It does not document inserting recipient photos or exporting PNG/JPG image files. If either is essential, don’t assume the sample already provides it: you would need to confirm and implement that behavior separately, or choose a tool whose documentation covers the exact photo and output workflow.

When a form-triggered add-on may fit better
If people submit a form and should receive a certificate without someone manually starting a batch, Google Workspace Marketplace add-ons may be worth evaluating. The feature details below are vendor listing or product-page descriptions, not independent reliability or performance findings.
Smart Certificates
The Smart Certificates Marketplace listing describes generating certificates on form submission, sending personalized certificates as PDF or image attachments, storing them in Drive, and tracking file URLs in Sheets. The listing says it was updated September 11, 2026. Verify that its current configuration handles your photo source and recipient-matching needs before using it for photo certificates.
Certify’em
Certify’em’s product site describes certificates triggered by Google Form submissions, Slides templates with merge tags, email delivery, records, and QR codes for verification. It says templates can use fonts and images. That description does not establish that every photo-specific batch workflow is supported, so confirm the exact image-input and output behavior before committing to it.

Quality checks and common problems
- Photos show as text: In Canva, ordinary cloud photo-storage URLs are not supported as image values and are treated as plain text. Use image content in a documented supported workflow, such as Canva Sheets/XLSX image data or media-library images for manual entry, and confirm the image field is populated before generating the batch.
- The photo belongs to the wrong recipient: Compare a few generated certificates against the source rows before sending. Keep each recipient’s photo and text fields together in a single record so the mapping can be checked as a unit.
- Names, dates, or award text are missing or misplaced: Check that every template placeholder is connected to the intended field and that the source row contains a value in the expected format. Preview records with unusually long text as well as typical ones.
- Text is clipped or difficult to read: Adjust the template’s text area or styling, then regenerate and inspect the affected examples. A template that looks good with a short name may not accommodate the longest name in the data.
- The output is a PDF, not a PNG or JPG: Google’s official Apps Script sample documents PDF attachments. Don’t treat it as evidence of image export; select a workflow that documents the file type you need or verify that your chosen tool can produce it.
- The automation asks for authorization: Google’s sample requires authorization on first use. Follow the sample’s setup and permission flow, and review the requested access before granting it.
- The batch is unavailable or exceeds a documented limit: Canva says Bulk Create is desktop-only and lists eligible plan types. Its help documentation also gives field and Sheets selection limits. Check current account eligibility and the live help page if the feature or dataset doesn’t match those conditions.
- A form add-on doesn’t handle the photo as expected: A listing that advertises PDF or image attachments, or a template that permits images, does not by itself establish recipient-photo matching for your exact form and data source. Test the image input, output, and recordkeeping behavior on a small set before issuing certificates at scale.
