Before entering a friend’s or family member’s identifiable details into an AI tool, explain what you want to use, why, which tool will receive it, and what you know about its settings. Give them a genuine choice; if they decline or seem unsure, leave the details out and use a generalized version or another approach.
What to say when you ask
Be specific enough that the person can understand what they are agreeing to. “I use AI sometimes” does not explain what information you plan to share or where it will go.
- Identify the information you want to use, without repeating sensitive details unnecessarily.
- Explain the task, such as drafting a message or organizing a family trip.
- Name the AI service or feature that will receive the information.
- Describe relevant settings you know about, including memory, chat history, connected apps, or model improvement. If you do not know how a setting works, say so rather than promising confidentiality.
- Offer a version that leaves out identifying details, and make clear that saying no is fine.
You could say: “Could I use a general version of what you told me to ask [AI tool] for help with [specific purpose]? I’d include [specific details], and the tool may keep the chat or use settings such as memory depending on my account. I can leave out your name and identifying details. Are you comfortable with that? It’s completely fine to say no.”
For a sensitive subject, avoid restating the information in your request: “I’d rather not put that into an AI tool unless you’re comfortable with it. Could I describe the situation without identifying you?”

How to respond if they say no or are unsure
Thank them and leave the information out. Do not bargain, treat silence as agreement, or assume that because someone once told you something, they agreed to have it processed by an AI service.
- If it feels appropriate and not pressuring, ask whether a generalized version would be acceptable.
- Replace names with broad roles, such as “a relative” or “a coworker.” Remove exact dates, locations, contact information, account numbers, and details that are not needed.
- Change nonessential facts or use a fictional example. A missing name alone may not prevent identification if the remaining details form a distinctive combination.
- If the task depends on exact information, use a non-AI method or invite the person to take part directly.
Use only the details the task needs
Start with the least identifying version that can still solve the problem. For example, to ask for help making a message sound more considerate, you may need the general relationship and the tone you want—not the other person’s full name, workplace, exact location, or private history.

Purpose limitation is a useful guide: decide why the information is needed, then avoid adding extra details “just in case.” The UK Information Commissioner’s Office (ICO) says personal information should be adequate, relevant, and limited to the purpose. Its guidance is a data-protection principle, not a blanket legal rule requiring a formal permission conversation for every private AI use. ICO guidance on consent.
What consent guidance does—and does not—establish
The ICO explains that, where processing relies on consent, consent must come from the person whose data is processed. Its AI guidance describes valid consent in its regulated context as freely given, specific, informed, and unambiguous, with a clear affirmative act. It also notes that complex AI processing can make it harder to make consent specific and informed. These UK data-protection principles support being clear and respectful; they are not a ruling that every household use legally requires formal consent. Check the AI tool’s controls without treating them as permission
Settings can affect how a service handles information in your account, but they do not replace asking the person. Features and account rules can vary by region, plan, platform, or whether an account is managed by a workplace or school. Check the current settings for your own account before sharing personal details.
ChatGPT: Memory, chat history, and Temporary Chat
OpenAI’s Memory help says controls are under Settings > Personalization > Memory, though availability and labels can vary. Turning Memory off does not delete past chats. Removing a saved memory may also require deleting the chat where it was shared or other sources from which it was saved. See OpenAI’s Memory FAQ.

OpenAI says Temporary Chats do not appear in history, do not create or update memories, and are not used to improve its models while they remain temporary. OpenAI may retain them for up to 30 days for safety, and saving one converts it to a regular chat. Google’s Gemini Apps Privacy Hub points users to Gemini Apps Activity to review or delete activity, change the auto-delete period, and manage whether activity is used to improve Google AI.
