Use an AI agent to capture a public university webpage, then preserve the screenshot with enough context to identify what it shows: the exact URL, page title, capture time in UTC, and viewport or image dimensions. A screenshot is a visual record of one moment—not a complete website archive. It does not preserve linked documents, scripts, or interactive behavior.
What a screenshot preserves—and what it does not
A screenshot can document how a page appeared when captured. It can be useful for later reference, but it cannot reproduce the underlying website or prove that linked files and interactions were preserved. If you need future access to the page’s text, its linked PDFs, or replayable behavior, retain those materials separately and consider a web-archiving workflow.
For context, the University of California, Santa Cruz guide discusses archiving websites and web content. Indian government sources also describe archival policies and offline archival options, but they do not require a screenshot format for this task.

Choose a public page and review the institution’s current website policy, copyright and privacy notices, and any access restrictions. Do not instruct an agent to evade a login, CAPTCHA, or other access control, or to submit personal information through a form.

India’s GIGW 3.0 guidance covers government websites and apps, including quality, accessibility, and security; it is not a blanket policy for every university. Its scope and objectives and guidelines are useful context for government sites. NeGD describes practices for archiving older website content in its website policy information. For university-specific rules, consult that institution: Jawaharlal Nehru University’s website policy is one example, not a rule for other universities.
Give the agent a narrow, safe task
Provide the exact public URL and specify the view you want. Ask the agent to wait until visible content settles, capture the page, and report any loading issue. Keep it to reading and capturing; do not ask it to interact with forms or bypass access controls.

- Viewport screenshot: records the initially visible area at the chosen viewport size.
- Full-page screenshot: records more of the page where the capture method supports it. Long pages and lazy-loaded images can produce incomplete captures, so inspect the result.
- Distinct page states: if the page has language versions or content revealed after interaction, capture each relevant public state separately and note what was selected or visible.
For each capture, retain the page as displayed rather than assuming a full-page image includes every item that could load later.

Record context and preserve the original
Keep a sidecar text file or catalog entry alongside each image. Record:
- The exact URL, including its path and query string if present.
- The page title and the language shown.
- The capture time in UTC.
- The viewport size or resulting image dimensions, and whether it is a viewport or full-page capture.
- Any interaction performed, loading delay, missing content, or other issue that affects interpretation.
Keep the original screenshot unchanged. Add highlights, crops, or redactions only to a separate derivative, clearly labeled as edited. Back up important records: the National Archives of India’s website quality management document calls for an appropriate, regular website-data backup mechanism. It does not prescribe a particular storage device, screenshot retention period, or AI capture procedure.

Review the saved capture
- Open the saved image and check that it displays correctly.
- Compare it with the page as displayed during capture; note missing, unloaded, or obscured content rather than presenting the image as complete.
- Verify that the sidecar URL and UTC time correspond to this image.
- Confirm that any annotations or redactions are in a separate file and that the untouched master remains available.
- For records that must persist, confirm that a backup exists.
Where Indian government archival guidance fits
GIGW materials include policy and archival checkpoints, and NeGD describes practices for older site content. The GIGW policy templates note that some documents may remain online for a specified period before moving to offline archives. These are examples of formal content stewardship, not a universal requirement for Indian universities or a screenshot-specific procedure.
