What ArchiveBox can preserve—and what it cannot guarantee
ArchiveBox is self-hosted software that saves URLs into a collection and can produce formats such as HTML, screenshots, PDFs, WARC files, and metadata. That makes it useful for retaining context about what a portal page displayed. It does not establish that a particular authenticated GST page was captured successfully, or that a snapshot alone satisfies tax recordkeeping duties.
ArchiveBox documents importing browser cookies into a persona for some logged-in-site workflows (cookie and persona documentation). This is not a guarantee of compatibility with the GST Portal or every screen. The portal’s login flow includes CAPTCHA and OTP controls; use an authorized session and do not attempt to bypass those controls (GST Portal authentication manual).
Preserve official records first, then archive page context
Keep downloaded GST records central to your recordkeeping. The GST Portal advisory dated September 24, 2024 says return data is retained in taxpayer view for seven years, older data is removed on a monthly cycle, and taxpayers should download relevant data for future reference. The available copy is hosted by GST India Online rather than the official portal; check for a current official notice before relying on this as current policy (advisory PDF copy).

CBIC’s Accounts and Records Rules address electronic records, backups that can be restored within a reasonable time, production in authenticated hard copy or electronically readable form, and audit-trail information. The rules state that electronic records may be maintained if authenticated by digital signature, and require proper electronic backup. An ArchiveBox snapshot is an additional preservation layer; the cited rules do not establish that snapshots by themselves meet a taxpayer’s obligations (CBIC CGST Rules, Part A).
The GST Council’s 2019 Accounts and Records flyer describes preserving specified accounts and related invoices, bills, notes, and challans for 72 months (six years) from the due date for furnishing the annual return for the year concerned. It also describes longer retention in certain proceedings or investigations. A practical ArchiveBox workflow for GST records
- Sign in normally. Use an authorized GST account and complete the portal’s CAPTCHA, OTP, or other required checks in the browser. A previously authenticated trusted browser or device may not require OTP on every login, according to the portal manual; do not assume this applies to every session or account.
- Download the underlying records. Save the return data, certificates, notices, or other official files relevant to the tax period. Preserve those original downloads alongside any snapshots.
- Collect the relevant URLs. Note the pages that provide useful context, such as return status or a notice view. ArchiveBox accepts URLs through its documented input paths; for a basic command-line capture, the project documents this pattern:

Replace the example with the portal URL you are authorized to access. For authenticated pages, follow ArchiveBox’s cookie/persona documentation and use only your own authorized browser session. - Inspect the capture itself. Open the collection entry and check the saved HTML, screenshot, PDF, WARC, or metadata that was produced. Confirm the meaningful page content is present; an entry recording the URL alone is not enough.
- Organize and back up the collection. Use capture dates, original URLs, and business or tax-period labels to make files retrievable. Keep an independent backup that can be restored, and periodically confirm both the backup and files remain readable. ArchiveBox stores ordinary files in a local collection, so you remain responsible for storage, access control, and recovery.

Troubleshooting capture and recordkeeping
- The capture shows a login page or CAPTCHA: The capture did not preserve the authenticated content. Sign in through the authorized browser flow, consult ArchiveBox’s documented cookie/persona setup, and inspect a fresh capture. Do not try to automate around CAPTCHA or OTP.
- The URL is in ArchiveBox but the page content is missing: Treat the entry as an unsuccessful content capture. Recheck the output files and confirm the URL is accessible in the authorized session; retain the official portal download independently.
- You cannot find a return later: Search your records by tax period and label downloads and snapshots with dates and original URLs. Do not rely on portal availability as your only copy.
- A backup cannot be restored or files will not open: Recreate the backup from the live collection and downloaded records, then verify the restored copies are readable. A backup is useful only if restoration works.
- You are unsure what must be retained: The general summaries above do not determine an individual taxpayer’s deadline or obligations, especially where proceedings or investigations are involved. Check the applicable current rules or consult a qualified tax professional.
