Capture the product page promptly, preserve the original screenshot unchanged, and record the exact URL and capture time with its timezone in a separate note. Include the product, seller, price, currency, and any conditions that affect the price; then keep related order and retailer records alongside it. A screenshot can document what was visible, but no file format by itself guarantees that evidence will be accepted in a dispute.
What to capture before the page changes
Open the exact product page and note its full resolved URL. Capture enough of the page to identify the retailer and product and show the displayed price and its conditions. Include the currency and any promotion, coupon, membership requirement, delivery fee, or other qualification that affects the amount.
If price depends on a selected size, color, bundle, seller, delivery location, or other variant, make that selection before capturing and note it. If the relevant details do not fit in one view, use multiple overlapping screenshots or a verified full-page capture. A cropped price alone may omit the context needed to understand what it applied to.
If the browser image does not include the address bar or a visible date and time, record the exact URL and capture date and time with timezone separately. Do not add a timestamp label to the image itself; keep the captured original unchanged.

Preserve the original and document the capture
- Save the original file. Keep the screenshot in its original image format and do not overwrite it.
- Create a separate capture note. Record the full page URL, capture date and time with timezone or UTC offset, who captured it, the browser or capture method if known, and a brief note about the price or dispute.
- Use a filename that helps you find it. For example:
2026-10-03T201844Z_retailer_product-price.png. This is a practical naming suggestion, not a formal standard. - Check the saved artifact. Open it and confirm that the product name, seller, price, currency, conditions, and any page or time context are readable and not cut off.
- Keep working copies separate. If you need to crop, highlight, annotate, redact, or print the evidence, do so on a copy and retain the unaltered original.
- Store a documented master and a second copy. Keep the master in secure storage and make a separate backup. An external SSD is one possible backup medium; it does not establish when the screenshot was captured or authenticate the displayed price.
Digital imaging guidance for police and criminal-justice practitioners describes using a definitive master copy, protecting it against alteration or accidental erasure, and keeping an audit trail when files are transferred. That is a useful preservation principle, not a consumer legal requirement.
Keep records that show the rest of the transaction
A screenshot records visible page content; it does not by itself establish every underlying fact about who created the page, what the retailer’s server displayed, or whether a purchase was completed. Keep related records that document different parts of the account, such as:

- Order confirmation and receipt, including the amount charged.
- The checkout page or order summary, if available.
- Retailer emails, chat messages, or other correspondence.
- The offer terms, coupon conditions, or promotion details that applied.
- Your separate capture note linking the file to the URL, time, and event.
These materials can help distinguish the price a page displayed from the price offered at checkout and the amount ultimately charged.

For web records, the National Archives and Records Administration (NARA) describes snapshots as copies of content at a particular time and emphasizes that capture choices affect the context and structure retained. Its guidance is for records management, not a ruling about whether a consumer screenshot is authentic or admissible. NARA defines reliability as “A reliable web site is one whose content can be trusted as a full and accurate representation of the transactions, activities, or facts to which it attests and therefore can be depended upon in the course of subsequent transactions or activities.” That is a records-management definition, not a determination about any particular screenshot.

After capture, verify that the file opens and that the relevant details remain legible. For a long page, confirm that the full-page image or PDF contains all the sections you need; a print-to-PDF capture may leave out website content. If the page copy is incomplete, make an additional capture or keep overlapping screenshots rather than relying on a clipped record.
Keep the documented master, capture note, and related records together in secure storage. If you transfer files, record the transfer in your log. A cryptographic hash can help show that a file has not changed since the hash was calculated, provided you preserve the hash and handling record. A hash alone does not prove that the capture was accurate, when it was made, or what page was displayed; the guidance cited here does not establish hashing as a consumer requirement.

Retain the records through the dispute and any formal process. There is no universal consumer retention period established here. NARA says preservation duration and capture frequency depend on operational requirements and risk. If litigation is contemplated, England-and-Wales Practice Direction 31B says legal representatives must notify clients to preserve disclosable documents; that rule is jurisdiction-specific, not a universal consumer requirement. Follow the relevant court, regulator, or dispute forum’s instructions where a formal case is underway.
Common problems and fixes
- The screenshot shows a price but not what it applies to. Capture the product identity, seller, currency, and relevant promotion or qualification in the same view where possible; note variants and conditions separately.
- The address or capture time is missing. Add the full URL and date/time with timezone to a separate note linked to the filename. Do not edit the original image to add them.
- The page is longer than the screenshot. Use a verified full-page capture or multiple overlapping images, then inspect the result to ensure the relevant sections are present.
- The PDF omits part of the page. Check it against the live page and create another representation if needed. Do not assume print-to-PDF preserves every website element.
- The saved HTML does not look like the live page. Local copies can depend on resources that were not saved. Keep a screenshot or PDF as an additional representation and retain the URL and capture note.
- You need to highlight or redact information. Edit a copy only; retain the unaltered original and identify the working copy as edited.
- You have a hash but no capture note. A hash can help detect later changes to a file, but it cannot supply the missing URL, capture time, or page context. Preserve those details separately when available.

Should I save a screenshot before or after placing an order?
If your concern is the displayed product price, capture the product page promptly while it shows that price. Also keep the checkout summary, order confirmation, and receipt where available; they document different stages of the transaction.

No. It can show what appeared in the captured view, but the receipt or order record is the relevant record of what was charged. Keep both when the difference matters.
How long should I keep the files?
No universal consumer retention duration is established. Keep the records through the dispute and any formal process, and follow instructions from the applicable forum or legal representative.
