You can add subtitles in YouTube Studio or create a caption track in a desktop editor such as Adobe Premiere Pro. Use YouTube Studio for a video already on YouTube; use an editor when you need captions in an exported video. In either case, check the words and timing, then choose whether captions should be a separate track viewers can toggle or text permanently burned into the picture.
Choose the right subtitle workflow
| Situation | Use | What you need to decide |
|---|---|---|
| The video is on YouTube | YouTube Studio | Upload a timed caption file, synchronize transcript text, or type captions manually. |
| You are editing a video for export | Premiere Pro or another editor with caption tools | Create a caption track, then export a separate file or burn captions into the picture. |
“Subtitles” and “captions” are often used interchangeably in these interfaces. Captions can also communicate meaningful sounds beyond dialogue, such as applause or thunder.
Add subtitles to a YouTube video in YouTube Studio
- Sign in to YouTube Studio and select Subtitles from the left menu.
- Select the video, choose Add language, and select the language of the subtitles.
- Under Subtitles, select Add.
- Choose an authoring method: upload a subtitle file, auto-sync transcript text, or type captions manually.
- Review the text and timing, then publish the subtitles. You can also add subtitles during video upload.
The available file formats can change, so check the choices shown in YouTube Studio when you upload. YouTube’s current help guide describes the workflow and file upload options at Add subtitles & captions.

Synchronize transcript text automatically
Enter or upload a transcript and let YouTube synchronize it to the video. The transcript must be in a language supported by YouTube speech recognition and must match the spoken language. YouTube does not recommend this route for videos longer than one hour or for videos with poor audio quality. Treat the result as a draft: check the words and timing against the recording before relying on it.
Type captions manually
Play the video and enter each caption as it plays; YouTube sets the timings. Include relevant non-speech sounds when they help viewers understand the audio, such as [applause] or [thunder]. Review the completed captions, then publish them.

Review automatic captions
YouTube may generate automatic captions in the video’s default language. Availability and processing can vary. When they appear, inspect and edit them in Studio rather than assuming they are error-free; names, accents, specialist terms, and background audio can all affect transcription. YouTube’s creator guidance also explains how and why to add captions to YouTube videos.
Create subtitles in Adobe Premiere Pro
- Open the project and create a transcript using Premiere Pro’s Speech-to-Text workflow.
- Review and edit the transcript, correcting wording and speaker names.
- Choose Captions > Create captions from transcript.
- In the Create Captions dialog, set the available options that suit the video, including caption preset, format, style, caption length, duration, gaps, and one- or two-line layout.
- Select Create captions. Premiere places a caption track aligned with the dialogue in the timeline.
- Review the track in context, correct timing and line breaks, then export captions as a separate .srt file or burn stylized subtitles into the video.
Premiere’s interface and option names can vary by version. See Adobe’s current guide to creating captions and its overview of captions in Premiere for version-specific details.

Choose a separate caption track or burned-in subtitles
| Output | Viewer control | Best fit |
|---|---|---|
| Separate caption track or sidecar file, such as .srt | Viewers can turn captions on or off when the destination player supports the track or file. | Platforms such as YouTube, where you want viewers to control captions. |
| Burned-in subtitles | Always visible; viewers cannot toggle them off because the text is part of the picture. | A fixed presentation or a player that does not support caption tracks. |
Check the destination’s supported formats and playback behavior before exporting. For more on these Premiere output options, see Adobe’s subtitle workflow overview. Choosing burned-in text for a player without track support is a practical fit, but verify the requirements of the actual destination.
Check subtitle accuracy and readability
- Watch the complete video with captions enabled. Correct transcription errors, speaker names, and mistimed lines.
- Confirm the subtitle language matches the spoken language, particularly when using transcript auto-sync.
- Check that each caption is readable at normal playback speed and that breaks do not obscure important on-screen content. In Premiere, caption length, duration, gaps, and line layout settings can help shape the track.
- Include meaningful sound information that is not spoken, where relevant.
- Preview the exported file or caption track in the destination player. A track that works in an editor may behave differently in another player, and burned-in text cannot be switched off.
Troubleshoot common subtitle problems
YouTube does not accept the caption file
Check that the file type is among the formats currently offered in Studio and that you chose the matching timed or untimed upload option. Confirm that the file contains the expected text and, for a timed file, valid timing information.

Auto-synced captions are badly timed or inaccurate
Check that the transcript language matches the speech and is supported by speech recognition. Poor audio can make synchronization less reliable; YouTube also advises against auto-sync for videos over an hour. Correct the transcript and timing in Studio, or use manual entry or a timed caption file.
Captions are missing in the exported video
Determine whether you exported a separate caption track or burned subtitles into the picture. A sidecar file must be delivered with the video and supported by the player; burned-in subtitles should appear in the image itself. Preview the deliverable in the destination player and confirm its required format.
