Add the Quick Parts command to Word’s Quick Access Toolbar (QAT) by right-clicking it on the ribbon and choosing Add to Quick Access Toolbar. If that option is missing, open the QAT customization menu, choose More Commands, add Quick Parts from the command list, and select OK. What Quick Parts does—and why add it to the QAT?
Quick Parts is Word’s gallery of reusable building blocks, including saved text (AutoText), document properties, and fields. You can insert a saved item into a document instead of recreating it each time. The gallery is on the Insert tab, in the Text group. Microsoft describes the QAT as a customizable toolbar whose commands are independent of the currently selected ribbon tab, so putting Quick Parts there gives you a way to reach the command without switching to Insert. How do I add the Quick Part Gallery to the Quick Access Toolbar?
In Word, the command is generally labeled Quick Parts, even when you are looking for the Quick Part Gallery. Try the direct method first; use the customization route if Word does not offer the add option on right-click. Labels and menu placement can vary by Word version and configuration.
Method 1: Add Quick Parts from the ribbon
- Open a document in the desktop version of Word and select the Insert tab.
- Find Quick Parts in the ribbon’s Text group.
- Right-click Quick Parts. If the context menu includes Add to Quick Access Toolbar, select it.
- Check that the Quick Parts command now appears on the QAT.
Method 2: Use More Commands
- Open the Customize Quick Access Toolbar menu.
- Select More Commands.
- In the command-selection area, locate Quick Parts and choose Add.
- Select OK, then check the QAT for the command.
Microsoft documents the right-click approach for commands that expose that option and the More Commands route for commands that cannot be added directly. How do I save and reuse text in Word Quick Parts?
Save a reusable building block
- Select the text or other content in your document that you want to reuse.
- Choose Insert > Quick Parts > Save Selection to Quick Part Gallery.
- Enter a useful name and, if helpful, a description, then confirm the dialog.
Insert a saved item
- Place the cursor where the content should appear.
- Open Quick Parts and select the saved item.

Preserve formatting or update an existing Quick Part
- Keep paragraph formatting: If the saved content needs paragraph-level formatting such as indentation, alignment, line spacing, or pagination, include the paragraph mark in your selection.
- Replace an entry: Insert the existing Quick Part, edit it, select the revised content, and save it with the same name, category, and gallery. Confirm Word’s prompt to redefine the entry.
These options matter when the reusable content is more than plain text: the paragraph mark carries paragraph formatting, while saving under the existing entry’s details lets Word redefine that building block. Microsoft Support: Use Quick Parts and AutoText.

Desktop Word and Word for the web
This guide’s Quick Parts and AutoText workflow is for desktop Word. Microsoft’s AutoText instructions say entries are stored with the Word template and that AutoText is unavailable in Word for the web. If you are working in the web app and need the documented AutoText steps, open the document in Word for the desktop. Microsoft lists Word for Microsoft 365 and Word 2024, 2021, 2019, and 2016 for its Quick Parts guidance.
