In Word, the workflow is Insert > Header or Insert > Footer. In Acrobat, open the PDF and choose Edit > Header and footer > Add. The right method depends on whether you still have the editable Word source, whether the first or facing pages differ, and whether fields such as a file name or date must update automatically.
Choose the right workflow first

Add a header or footer in Word
- Open the DOCX in the desktop version of Word.
- Choose Insert > Header or Insert > Footer.
- Select a built-in design, or choose the option to edit the header/footer area and create your own layout.
- Type the repeating text, such as a report title, author, department, confidentiality notice or contact address.
- To add a page number, use the header/footer tools’ page-number command and select a position and style.
- Choose Close Header and Footer, or press Esc. To edit it later, double-click inside the existing header or footer.
The header and footer are repeated automatically on pages that belong to the same section. Keep text inside the header/footer boundary rather than placing it in the document body; body text will not repeat and can disturb pagination.
Control the first page
Click in the header or footer, open the header/footer options, and enable Different First Page. Word then provides a separate first-page header and footer. Leave that area empty for a clean title page, or add a short title, document status or date while retaining the normal running design on later pages.
Use different odd and even pages
For a book or booklet, enable Different Odd & Even Pages. Edit the odd-page and even-page areas separately—for example, put the chapter title on one side and the book title on the other. Check the result in print layout because the visible side changes with page breaks and section settings.

Insert dynamic document information
Word can insert document information such as author, file name, file path and date through its Document Info or field-code controls. A field is preferable to manually retyping a value that may change. Update fields before exporting or distributing the file, and inspect the result for missing properties.
Microsoft documents a limitation in Word for the web: adding file names and other document properties to a header or footer is not supported there. Open the document in desktop Word when you need that property-based workflow.
Create section-specific headers and footers
A section break—not an ordinary page break—is what allows one part of a document to use a different running design. This is the usual approach for front matter, chapters, appendices and landscape pages.
- Place the cursor where the new part should begin.
- Insert a section break from Word’s layout or breaks controls. Choose the break type that matches the intended page flow, commonly Next Page.
- Double-click the new section’s header or footer.
- Turn off Link to Previous before changing the content. If it remains enabled, edits can propagate to the preceding section.
- Enter the new header/footer and configure its page-number format.
Keep numbering continuous
Section breaks can make numbering appear to restart. In the page-number format controls, choose the option to continue from the previous section when the document requires uninterrupted pagination. Use a restart only when the publication convention calls for it, such as numbered front matter followed by a new chapter sequence.

Common manuscript pattern
A long manuscript may leave the front-matter pages unnumbered or use Roman numerals, then begin Arabic numbering with the first chapter. Another pattern alternates the book title and author on facing pages. Build each pattern with sections, independent links and deliberate page-number settings; do not try to simulate it with spaces or repeated body text.
Update or replace headers and footers in Acrobat
Use Acrobat when the PDF—not the editable source—is the file that must be delivered. Adobe’s documented path is:
- Open the PDF in Acrobat.
- Choose Edit.
- Select Header and footer > Add.
- Enter custom text, a date or page-number elements in the desired header or footer position.
- Set the page range, margins, font and appearance, then apply the change and save a new file.
To change an existing header or footer, choose Update. To replace existing content, choose Add, select Replace Existing, configure the new elements and confirm. Adobe describes this as a way to include page numbers, dates or custom text directly in PDFs.
Scanned PDFs and OCR
A scan is an image, not ordinary selectable text. Acrobat’s OCR tools can make scanned pages text-editable, but OCR may misread characters and complex layouts. After adding a header or footer, zoom through representative pages and verify that the new content is aligned, readable and not covering source material. Keep the original scan so you can recover if recognition or placement is poor.

Design and placement checks
- Reserve space: increase the top or bottom margin if the repeating content is close to body text.
- Check long and short pages: a footer that fits a normal page can collide with a table, image or footnote.
- Use readable contrast: light gray text may disappear in print or photocopies.
- Keep legal notices stable: use a section-level design when a notice applies only to selected pages.
- Inspect exported PDFs: font substitution, page reflow and changed margins can alter the final position.
Troubleshooting
The header changed every section
Cause: the new section is still linked to the previous one. Fix: open the affected header/footer and disable Link to Previous, then edit it again.
The title page still shows the running header
Cause: Different First Page is disabled, or the title page is not the first page of its section. Fix: enable the option in the correct section and confirm that the title page begins that section.
Page numbers restart unexpectedly
Cause: a section’s numbering format is set to start at a new value. Fix: open page-number formatting and select continuation from the previous section, unless a restart is intentional.
The file name or author is blank
Cause: the document property is empty, or the file is being edited in Word for the web where this property workflow is limited. Fix: populate the property in desktop Word and insert the field there.

Acrobat content is hidden or overlaps text
Cause: the PDF has tight margins, unusual page boxes or a complex scan. Fix: adjust header/footer margins and page range, apply to a copy, and inspect every page type before replacing the original.
The PDF has no selectable text
Cause: it is scanned or image-only. Fix: run OCR, review recognition, then add the header/footer and verify the finished pages visually.

Should I edit the DOCX or the PDF?
Edit the DOCX when you control the source and expect layout changes; edit the PDF in Acrobat when the PDF is the final artifact or the source is unavailable.
Can one section have no footer while another has one?
Yes. Insert a section break, disable Link to Previous in the new section, and leave that section’s footer empty.
Will a header added in Acrobat change the original Word file?
No. Acrobat changes the PDF you open; the DOCX source remains unchanged.
