If you are making a new PDF from a Word or Google Docs document, insert the screenshot there first, then use that app’s current PDF save, download, or export control.
The right method depends on whether the PDF already exists, whether you have its original document, and which editor you use. In either case, check the finished PDF at its intended viewing size: an image that looks clear on your screen may become too small or soft after resizing.
Choose the route that matches your file

Use a PDF editor when the screenshot belongs in a particular place in an existing file and you do not need to revise the source document. Use Word or Docs when the PDF is the final version of a document you are still assembling. Do not assume that every app that can open a PDF can also change its page contents.
Add a screenshot to an existing PDF in Acrobat
Adobe’s desktop workflow is to open the PDF in Acrobat, enter its editing interface, and place the screenshot as an image. These are image-placement steps; the exact appearance of the interface can vary by Acrobat version.

- Open the PDF in Acrobat and choose Edit from the global bar.
- In the Edit pane, choose Image, then Choose image.
- Select the screenshot file and choose Open.
- Click the PDF page where the image should appear.
- Adjust the placed image. Drag its bounding-box handles to resize it, or drag the image itself to reposition it. Acrobat also lists controls for scale, rotation, and opacity.
- Save the edited PDF, then reopen or preview it to check the placement and legibility.
Place it where a reader expects it
Before clicking the page, decide what the screenshot is meant to explain and leave enough surrounding space for nearby text, labels, or page margins. After placing it, check that it does not cover existing content or sit so close to the edge that it is difficult to view or print. If the screenshot needs a caption or explanation, add that in the PDF editor if available, or revise the source document instead.
Resize without losing useful detail
Make the image large enough that the text and interface details that matter are readable at normal PDF viewing size. If it is too small, enlarging it may make details look soft; if it takes up most of the page, it may crowd out other content. There is no universal resolution threshold that guarantees a sharp result: the source screenshot, the amount of scaling, and the way the PDF is saved all affect the outcome. Inspect the saved PDF rather than relying only on the editor’s placement view.
Insert the screenshot in Word before making a PDF
Word is a practical choice if the PDF will be generated from a document you are authoring or updating. Microsoft documents two ways to work with screenshots: capture a whole open window or a screen clipping using Word’s screenshot feature, or insert an image file that has already been saved.

Use a screenshot already saved as an image
- Open the Word document that will become the PDF.
- Use Word’s image insertion control to add the saved screenshot. Microsoft’s support instructions give the path as Insert > Pictures > Picture from File for the platforms and versions covered there; labels can differ across Word versions.
- Choose the image file and insert it into the document.
- Position and size it in the document, then review the page layout and surrounding text.
- Use the PDF save or export option available in your version of Word. The cited Microsoft screenshot instructions explain image insertion, not a universal PDF export menu path.
- Open the resulting PDF and check the screenshot at normal viewing size.
Capture directly from Word
If the content is already visible in an open window, Microsoft also documents using Word’s Insert > Screenshot feature to insert a whole window or a screen clipping. That can save a separate image-file step. Review the inserted capture before creating the PDF: make sure it shows the intended application, does not include unrelated windows or sensitive information, and is legible at the size used in the document.
Word is especially useful when you need to change the screenshot’s place in the reading flow, add explanatory text, or revise other document content at the same time. If the document already has a carefully finalized PDF layout, placing the image directly in a PDF editor may avoid rebuilding the source document.
Insert the screenshot in Google Docs before making a PDF
Google Docs is another document-first option when you are creating or updating a document that will become a PDF. Google’s desktop image instructions support adding an image from a computer, Drive or Photos, a camera, a URL, and other listed sources.

- Open the Google document that will contain the screenshot.
- Choose Insert image and select the source where the image is stored, such as your computer, Drive, or Photos.
- Select the screenshot, then choose the applicable Insert or Open control.
- Place and size the image in the document, and review its fit with the text and page layout.
- Use the PDF download or export control currently available in Docs.
- Inspect the resulting PDF, not just the editable document, to confirm the screenshot remains readable and appears on the intended page.
Google’s cited image-insertion instructions do not specify a PDF export sequence, so use the controls shown in your current Docs interface rather than relying on a menu path that may differ by interface or account.
Check the finished PDF
Whichever workflow you choose, the saved PDF is the deliverable. Review it after saving or exporting because the final page can look different from the editor’s working view.

- Placement: Confirm the image is on the intended page, is not covering other content, and has enough space around it.
- Completeness: Check that the whole relevant screen or area is visible, rather than a cropped edge that removes context.
- Privacy: Look for account details, notifications, personal information, or unrelated tabs and windows that should not be shared.
- Output: Reopen the PDF and make sure the image appears as expected. If it does not, return to the document or PDF editor, adjust the image, save again, and recheck.
Do not rely on a single file-size or image-resolution rule for every PDF. A small interface screenshot with fine text has different needs from a large, simple diagram, and the best check is whether the important details are clear in the saved file.

Troubleshooting common problems
The image controls are missing in Acrobat
Check that the PDF is open in Acrobat’s editing interface and that you selected Edit, not merely a viewing or commenting mode. A PDF viewer may display pages without offering tools to alter their contents. If the editing controls still are not available, use the document-first route if you have the source file, or choose a PDF editor that supports placing images.
The screenshot is too large or difficult to position
In Acrobat, use the placed image’s bounding-box handles to resize it and drag it to reposition it. If the image is awkward to fit, consider whether the page has enough room or whether the screenshot should be placed in the source document with its text and layout adjusted around it.
The screenshot looks blurry or its text is too small
Check both the source capture and the size at which it appears in the saved PDF. If you enlarged a small screenshot, return to the original capture and use a clearer or larger source when possible. If it is reduced too far, increase its placed size or simplify the surrounding layout. Recheck the PDF at normal viewing size after making changes.

The image is missing or misplaced in the final file
First confirm that the image was inserted or placed in the intended document or PDF page. Save the edited file or create the PDF again, then open that output file directly. If you are using Word or Docs, check the exported page layout; if you are using Acrobat, check the saved PDF rather than only the open editing view.
You cannot find the same menu label shown here
Product controls can differ by platform and version. Microsoft specifically notes that Word’s image-insertion labels vary across the platforms and versions on its support page. Look for the current image-insertion or PDF-output control in your app, and do not infer that a particular path is universal when the app’s current interface differs.
