Proactive managed IT services give a small business an ongoing partner to maintain systems, monitor for problems, and respond under agreed terms. They can reduce avoidable surprises, but they do not guarantee uninterrupted service or prevent every security incident. The arrangement works best when responsibilities, provider access, backups, incident notification, and performance checks are clearly defined.

What are proactive managed IT services?

A managed service provider (MSP) performs some or all of a business’s IT work under an ongoing agreement. Depending on the contract, that work may include maintaining devices and software, applying patches, monitoring systems, managing backups, and responding to support or security incidents. “Proactive” means the provider is expected to perform ongoing maintenance and watch for defined issues—not just wait for a user to report a problem.

There is no universal MSP package. The agreement should identify the systems and tasks covered, the work excluded, who monitors alerts, how issues are escalated, and what response commitments apply. Security guidance from CISA and the FTC supports risk-reduction practices and oversight; neither makes an MSP a guarantee against outages or breaches.

What should an MSP maintain and monitor?

Maintenance and updates

Software and devices need attention after setup. The FTC recommends regularly applying third-party patches and updates, prioritizing by severity where appropriate, and tracking software versions and available updates. Ask which updates the provider installs, how exceptions are handled, and how you will know when a critical update is delayed.

Monitoring and logs

Monitoring can help surface service failures, unusual activity, or other events that merit investigation. Logs can help establish what is normal and identify suspicious or unauthorized behavior, but collecting logs is not enough: someone must review them and know how to respond. CISA’s logging guidance explains the value of logging business systems.

A joint-agency advisory announcement says the agencies recommended storing the most important logs for at least six months. That is a recommendation in that advisory, not a universal regulatory retention requirement. Ask what the MSP logs, who can review those records, and how long they are retained.

Backups and recovery

Backups should be routine and designed for recovery, not treated as a box checked once. The FTC advises regularly saving important files to an unconnected drive or server; CISA recommends automated continuous backups and an air-gapped location for critical data and configurations. A single external drive is not a complete backup plan by itself. Choose storage and backup frequency around the business’s recovery needs, and clarify who tests restoration and how often.

The FTC’s practical continuity question is: “How would your business stay up and running after a ransomware attack?” The answer depends on more than whether a backup exists: the business needs a way to restore data and resume essential work.

What remains the business’s responsibility?

Hiring a provider does not remove the need to govern its access or verify its work. CISA recommends defining MSP privileges, limiting accounts to systems the provider manages, using multifactor authentication (MFA) where possible, and monitoring provider activity. CISA and partner agencies have warned that attackers target MSPs as a route into customer networks.

  • Decide which people and systems the provider may access, and remove access when it is no longer needed.
  • Require MFA where available and ask how remote access is secured and logged.
  • Set security expectations in writing, then review evidence that the provider met them, as the FTC advises.
  • Keep business leadership involved in recovery priorities, incident contacts, and decisions about acceptable downtime.

As CISA Director Jen Easterly put it in the agency’s advisory announcement, “malicious cyber actors continue to target managed service providers, which can significantly increase downstream risk to the businesses and organizations they support.” The practical implication is to assess the provider’s own security as well as the service it delivers.

Do I need managed IT services for my small business?

An MSP may be useful if the business needs regular maintenance, monitoring, or support but does not have enough internal capacity to provide it. It is not automatically the right choice for every business. Compare the actual scope and accountability of an MSP with the internal or self-managed alternative; the guidance cited here does not endorse one staffing model for all organizations.

What should I ask before hiring an MSP?

Use these questions to turn a broad promise of “IT support” into specific, verifiable expectations. They are selection prompts based on CISA and FTC guidance, not a standard contract prescribed by either agency.

  • Which systems and tasks are in scope, and which are excluded?
  • What monitoring is performed, by whom, and which events trigger a response?
  • How are provider accounts limited, authenticated, logged, and removed when no longer needed?
  • Is MFA used, and is there a dedicated secure path for remote access?
  • How often are backups performed, where are they stored, and who tests restoration?
  • What incident-notification timeline and contact process will be written into the agreement?
  • Which patches and updates will the provider install, and how are delayed or exceptional updates prioritized?
  • What reports or records can the business review to verify that the agreed work occurred?

How can a business check that the service is working?

Agree on evidence and review it on a regular schedule. Depending on the contract, useful records may include patch status and exceptions, monitoring and incident summaries, backup completion and restore-test results, provider access records, and open issues with owners and next steps. The point is not to collect reports for their own sake: confirm that agreed tasks happened and that unresolved risks have a named owner.

Write down who receives incident notifications, how to reach the provider during an urgent event, and which business decisions the provider cannot make on the company’s behalf. Clear governance makes it easier to respond when a warning, outage, or suspected compromise occurs.
