Microsoft 365 sensitivity labels can protect a Teams meeting recording, its transcript, and meeting notes when those artifacts are saved to SharePoint or OneDrive. The important qualification is that the result depends on the artifact type, storage location, and whether the label applies encryption. An encrypted Teams recording cannot be downloaded; an unencrypted download can be made, but the downloaded copy does not retain the labeling information.
That documented behavior should not be generalized to every file produced by an audio-generation tool. Microsoft’s guidance is specific about Teams meeting artifacts and separately names supported Office formats and PDFs. Other audio formats and export destinations require their own product-specific verification.
What a sensitivity label protects in Microsoft 365
A sensitivity label is a Microsoft 365 classification that can also enforce protection. Depending on how an administrator configures it, the label can apply encryption and usage rights to the content. Those rights govern what an authorized person can do with protected data, rather than merely displaying a classification name.
For this topic, three boundaries matter:
- Artifact: Microsoft documents inheritance for Teams meeting recordings and their transcripts in
.mp4form, plus meeting notes in.loopform. - Storage: The documented inheritance path is when the artifact is saved to SharePoint or OneDrive, including the storage used by a Teams meeting.
- Protection setting: A label that applies encryption behaves differently from a label that only classifies the file.
A label by itself is therefore not a universal “cannot copy” switch. The configured protection, the service handling the file, and the operation a user attempts determine the outcome.

How labels move from a Teams meeting to its artifacts
1. Label the meeting
A sensitivity label can be applied to a calendar item or Teams meeting when labels for meetings are enabled in the organization. The label attached to the meeting establishes the classification and any protection settings that Microsoft 365 will use for eligible artifacts.
2. Save the recording, transcript, or notes
When the meeting artifacts are saved to the meeting’s SharePoint or OneDrive location, Microsoft documents inheritance for:
- The recording and its transcript, stored as an
.mp4artifact. - Meeting notes, stored as a
.loopartifact.
The inherited label is associated with the saved artifact. This is a service-specific behavior for these Teams outputs, not proof that every audio file created elsewhere will inherit a label.
3. Treat later meeting changes separately
If someone changes the sensitivity label on the meeting after the files have already been saved, Microsoft says the existing artifacts do not automatically receive the new label. The saved recording, transcript, or notes keep the label they inherited unless a permitted user relabels them in SharePoint or OneDrive.

- [Desktop Only & Customer Support] — To install and use on one PC or Mac, on desktop only. Microsoft 365 has your back with readily available technical support through chat or phone.
This creates a practical governance issue: a meeting can show one current label while an older recording in the document library still has another. Review existing artifacts when a meeting’s classification changes.
What encryption changes about downloading a Teams recording
For a labeled Teams recording or transcript, the encryption setting is decisive:
| Label configuration | Attempt to download the .mp4 |
What happens to labeling |
|---|---|---|
| The label applies encryption | Users cannot download the file. | The protected file remains in the controlled Microsoft 365 location, subject to the usage rights assigned by the label. |
| The label does not apply encryption | Users can download the file. | The downloaded copy does not retain the labeling information. |
The second row is easy to misunderstand. A successful download does not mean the label traveled with the file. The downloaded copy can therefore be outside the labeling controls that applied in SharePoint or OneDrive. If a person needs a protected copy, use a supported workflow that preserves protection rather than treating an ordinary download as equivalent.
Microsoft’s cited guidance specifically describes this download distinction for Teams recordings and transcripts. It does not establish the same outcome for every file extension or every audio export.

How other Microsoft 365 files are handled
Word, Excel, and PowerPoint files
Microsoft identifies modern Office formats—.docx, .xlsx, and .pptx—in SharePoint and OneDrive sensitivity-label processing scenarios. For supported encrypted files, the service preserves the label and encryption settings when users access or download the files, subject to the documented limitations of the particular collaboration and Office for the web scenario.
This is a different service boundary from an encrypted Teams .mp4. Do not infer from Office-file behavior that an encrypted recording can also be downloaded.
Uploaded PDF files
Uploaded PDFs are also named as supported in the SharePoint and OneDrive file-labeling guidance. A PDF’s behavior still depends on the label configuration and the operation being performed. The fact that PDFs are supported does not make every PDF-producing or audio-producing application label-aware.

Unsupported extensions
Microsoft’s auto-labeling documentation names PDFs and the modern Office formats above. Unsupported extensions can be skipped. That means an administrator should not assume that an unfamiliar audio container, a tool-specific export, or a renamed file will receive automatic labeling merely because it is stored in a labeled library.

Teams artifacts versus arbitrary generated audio
The phrase “generated audio” can describe several different things: a Teams meeting recording, a transcript-bearing recording, an AI voice export, a podcast file, or an audio attachment produced by another service. The Microsoft documentation summarized here establishes the Teams path, not a universal rule for all of those products.
| Artifact or file | Documented location or process | What is established |
|---|---|---|
Teams recording and transcript (.mp4) |
Saved to SharePoint or OneDrive from a labeled Teams meeting | The meeting label can be inherited; encrypted files cannot be downloaded, while unencrypted downloads lose labeling information. |
Teams meeting notes (.loop) |
Saved to SharePoint or OneDrive from a labeled Teams meeting | The meeting label can be inherited. A separate download rule for the .loop artifact is not stated in the cited meeting guidance. |
Modern Office file (.docx, .xlsx, or .pptx) |
SharePoint or OneDrive file-label processing | These formats are named as supported in relevant encrypted-file scenarios. |
| Uploaded PDF | SharePoint or OneDrive file-label processing | PDF is named as a supported format for the documented auto-labeling scenarios. |
| Other audio format or another export destination | Product- and format-dependent | The cited Microsoft guidance does not establish inheritance or download behavior for arbitrary generated audio. |
For an audio file created outside Teams, check whether the producing application can write Microsoft sensitivity-label metadata, whether the destination supports that metadata, and whether encryption and usage rights survive export. Without those answers, describe the file as unverified rather than assuming it is protected.
How Copilot and agents interact with labeled content
Microsoft says Copilot and agents check the applicable usage rights when they access encrypted, labeled content. When an operation returns data from protected content, the EXTRACT right is relevant. A user or agent that lacks the required right should not be able to extract the protected source data through that operation.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Fix the driver behind crashes, sound loss and screen glitches3Repair Windows errors before they cause bigger problemsThis explains access to the source content; it does not prove that every generated answer, summary, voice file, or other output automatically inherits the source file’s sensitivity label. Treat the source and the generated output as separate governance objects unless the output workflow explicitly supports label propagation.

A practical workflow for protecting meeting recordings
- Choose the label before the meeting. Select the sensitivity label that matches the meeting’s content and decide whether the policy should apply encryption and usage rights.
- Confirm the meeting storage. Verify that the recording, transcript, and notes will be saved in the Teams-connected SharePoint or OneDrive location covered by the organization’s labeling configuration.
- Check the saved artifacts. After processing, inspect the recording/transcript
.mp4and the notes.loopitem in SharePoint or OneDrive to confirm that the expected label is present. - Set expectations for recipients. Explain that an encrypted recording cannot be downloaded. If encryption is not applied, a download can lose the label, so recipients must handle the copy as potentially outside the original controls.
- Revisit files after a classification change. If the meeting label changes, locate previously saved artifacts and manually relabel them when your permissions and policy allow it.
- Control secondary exports. Before sending an audio or transcript to another service, determine whether that destination preserves the label and encryption. If it does not, use the organization’s approved protected-sharing method.
Troubleshooting common surprises
The recording has the old label
Changing the meeting label is not retroactive for artifacts already saved. Find the file in SharePoint or OneDrive and apply the appropriate label manually if you are authorized to do so. Check related files separately; the recording, transcript, and notes are individual artifacts.
A user cannot download the recording
First check whether the label applies encryption. Microsoft’s documented behavior is that encrypted Teams recordings and transcripts cannot be downloaded. This is an enforcement result, not necessarily a storage failure. Provide access in place or use a policy-approved alternative that does not require downloading the protected .mp4.
A downloaded copy no longer shows the label
If the label did not apply encryption, the downloaded Teams recording can lose the labeling information. Do not treat the absence of a label in the downloaded copy as evidence that the source was unlabeled. Verify the original item in SharePoint or OneDrive and secure the exported copy according to policy.
An audio file was skipped by auto-labeling
Review the extension and the service handling it. Microsoft’s documented auto-labeling list names PDFs and modern Office formats; unsupported extensions can be skipped. A non-Teams audio file may need a manual label or a different protected workflow.
Office collaboration behaves differently than expected
Encryption can impose limitations for Office for the web and collaboration scenarios, depending on the key and rights configuration. Consult the organization’s label policy before promising that every protected Office workflow will support editing, coauthoring, or browser access in the same way.
Checklist for administrators and content owners
- Define which sensitivity labels are available for Teams meetings and who can apply them.
- Decide which labels encrypt content and which only classify it.
- Document the SharePoint and OneDrive locations used for Teams recordings, transcripts, and notes.
- Test an encrypted and an unencrypted
.mp4with representative user permissions so download expectations are clear. - Include a review step for artifacts saved before a meeting’s label changes.
- List supported Office and PDF formats separately from unsupported or untested audio extensions.
- Explain Copilot and agent usage rights, including the EXTRACT right, without promising automatic labeling of generated outputs.
- Require a decision for every export to another service: preserve the label, apply a new label, or keep the export inside an approved protected location.
The bottom line
Microsoft 365 sensitivity labels provide a documented protection path for Teams meeting recordings and transcripts saved as .mp4 files, and for meeting notes saved as .loop files, when those artifacts land in SharePoint or OneDrive. Encryption is the key dividing line for recording downloads: encrypted files cannot be downloaded, while unencrypted downloads can lose labeling information. Office formats and PDFs have their own documented SharePoint and OneDrive support, but arbitrary generated audio does not inherit protection by assumption. Verify the format, destination, label configuration, and rights at each handoff.
