Microsoft 365 Copilot in Teams does not use one universal pool of information. Its answer depends on where you open it, what meeting data exists, your license, your Microsoft 365 permissions, and your organization’s retention settings. In a regular chat, it works primarily from that conversation (with a default 30-day history). In meeting chat, it uses the transcript when one exists, or the meeting-chat messages when it does not. During a live meeting, a configured mode can answer from the meeting’s audio and context without recording or transcribing, but that choice changes what is available afterward. Broader questions about email, files, chats, meetings, people, and projects require work-data grounding (called Work IQ in Microsoft’s documentation) and the appropriate Copilot license.
What Copilot can see in each Teams surface
The first question to ask is not “Does Copilot have access to my organization?” but “Where did I open Copilot, and which context is enabled there?” Microsoft describes several distinct experiences.

These scopes can overlap, but they are not interchangeable. A response generated in a chat should not be treated as proof that Copilot searched every file or meeting in your tenant. Conversely, a work-data question may draw from several sources only when your account and configuration permit that broader grounding.
Copilot in a one-to-one or group chat
What it uses
Open the desired chat, select Copilot from that chat, and ask about the conversation. Microsoft’s current support guidance describes a default 30-day message history for this chat experience. That makes it useful for questions such as “Catch me up on the decisions in this chat” or “Summarize my recent unread messages from this person,” provided the relevant messages are within the available history.

What it does not summarize
Chat Copilot’s thread summary does not support images, Loop components, or files shared in the thread. A message saying “see the spreadsheet above” therefore does not mean the spreadsheet’s contents were included in the summary. If a decision exists only in an image, embedded Loop component, or attached file, read that material directly or ask the sender to restate the relevant text in the conversation.
Channel threads have a text threshold
For a channel discussion, Microsoft lists a minimum of 1,000 characters of text for a thread summary. A short thread may therefore produce no summary even though Copilot is available in the channel. Adding more substantive text to the discussion, rather than repeatedly submitting the same short prompt, is the practical remedy.
Copilot in meeting chat
When a transcript exists
In meeting chat, Copilot can use the meeting transcript when the meeting was transcribed. This gives it spoken content in addition to the written chat, so questions about decisions, action items, or who raised an issue can reflect what participants actually said.
When there is no transcript
If no transcript exists, Copilot uses the meeting-chat conversation instead. It cannot reconstruct spoken remarks that were never transcribed or recorded into another accessible source. Ask questions that match the available text, such as “What decisions are recorded in this meeting chat?” rather than assuming it has a complete account of the discussion.
Why two people can receive different answers
The underlying source can differ by meeting, and each user’s permissions can differ as well. A participant with access to the meeting chat or transcript may receive an answer that another user cannot obtain. Retention policies can also remove older messages or transcripts, changing what remains available later.

Copilot during a live meeting or call
During-meeting-only use without transcription
Microsoft documents a mode that allows Copilot to be used while a meeting or call is in progress without enabling transcription or recording. In this mode, Copilot can use meeting audio and contextual signals to generate live responses. The organizer’s meeting options or an administrator-controlled setting may need to enable it.
This is a timing choice, not a promise that nothing is stored. Prompts and responses may still be retained in the Microsoft 365 compliance substrate and governed by your organization’s Microsoft Purview retention policies, even when recording and transcription are off.

Without a recording or transcript, the live interaction does not automatically become a permanent, searchable account of everything said. Post-meeting Copilot availability depends on whether transcription or recording was enabled and retained. If your team needs a durable recap, action list, or later question-answering, agree on the required recording or transcription settings before the meeting starts.
Recap and Intelligent Recap are separate considerations
Microsoft’s Recap documentation ties meeting Recap and Intelligent Recap to inputs such as the transcript, attendance information, and PowerPoint Live data. Their availability, storage, access, and retention are governed by organizational policy. Turning on live Copilot alone does not guarantee that every Recap feature will appear afterward.
Copilot Chat and broader Microsoft 365 work data
What “work-data grounding” means
For questions that span several sources—such as “What did we promise this customer in email, and which meeting covered it?”—Microsoft describes grounding in permitted work content: emails, files, chats, meetings, people, and projects. This broader context is associated with Work IQ controls in Copilot Chat.

Turning Work IQ off
The Work IQ control can turn off this work-data grounding. Attached content and web information can still be used when those options are available, so disabling Work IQ does not turn Copilot into an entirely context-free assistant. It specifically limits the use of the connected Microsoft 365 work corpus.
Permissions remain the boundary
Copilot presents data that the individual user is allowed to access under Microsoft 365 permission controls. It is not a mechanism for bypassing a SharePoint permission, a mailbox restriction, a private chat boundary, or a meeting access rule. If you cannot open a source yourself, you should not expect Copilot to reveal it.
Licensing and account requirements
Microsoft’s comparison of Copilot Chat with and without a Microsoft 365 Copilot license distinguishes limited and full work-data reasoning. Copilot Chat without the add-on has limited ability to reason over work data. The add-on license provides broader reasoning across meetings, emails, chats, files, and other work content.
Users need a qualifying Microsoft 365 business or enterprise subscription and a work account for the organizational experiences described here. The exact menu, model capability, and available grounding can vary by tenant configuration and license assignment. If a colleague sees a work-data option that you do not, check the assigned license and the account used to sign in before troubleshooting the prompt itself.
A practical workflow for asking the right question
- Open the source you intend to analyze. For a specific conversation, launch Copilot from that chat. For a meeting, decide whether you are in the live meeting, meeting chat, or a later Recap view.
- Identify the available evidence. Check whether the meeting has a transcript, whether the relevant messages are within the chat’s 30-day default history, and whether a channel thread reaches the 1,000-character requirement.
- State the scope in your prompt. Ask “Summarize this chat’s decisions” for a thread, or “List decisions from the transcript and cite the speaker or time” for a transcribed meeting. For cross-source work, explicitly name the time period, project, or people.
- Check Work IQ and licensing. For questions spanning email, files, meetings, and chats, confirm that work-data grounding is enabled and that your account has the required Copilot capability.
- Inspect the evidence. Microsoft says citations or source details are available where supported. Open the cited message, transcript passage, email, or file and verify that the response reflects it.
- Handle gaps explicitly. If an attachment, image, Loop component, or untranscribed discussion contains the answer, read it directly or request a text version. Do not infer that a confident response covered unsupported material.
Prompt examples by use case
Chat catch-up
- “Catch me up on unread messages in this chat from the last 30 days.”
- “List decisions, owners, and due dates stated in this conversation.”
- “What changed since the beginning of this chat?”
Meeting questions
- “What happened in my last meeting?”
- “From the transcript, list unresolved questions and the person who raised each one.”
- “If there is no transcript, summarize only the decisions written in meeting chat.”
Cross-source work questions
- “Find the project status discussed in my recent meetings and related emails, then show the source for each claim.”
- “Compare the commitments in the customer email with the action items in the meeting transcript.”
Prompt wording does not expand access. These examples work only to the extent that the selected surface, license, permissions, and retained data support them.

Accuracy, citations, and human review
Microsoft warns that AI-generated responses can be incorrect. Treat a summary as a time-saving draft, not as an authoritative record. Verify names, dates, owners, numbers, and quotations against the cited source, especially when a decision affects customers, contracts, security, or personnel.
When citations are shown, use them to trace each material claim. If no citation is provided, narrow the question, ask Copilot to identify its sources, or inspect the chat, transcript, email, or file manually. A fluent answer is not evidence that the relevant source was available.

Access controls and model training
Microsoft states that Copilot presents work data each user can access through Microsoft 365 controls, and that prompts and responses are not used to train foundation models. Your organization’s own access design still matters: overshared files, broad group membership, or an incorrectly configured meeting can expose information to a user who already has permission to see it.
Purview retention can apply without a transcript
During-meeting Copilot prompts and responses may be retained under Microsoft Purview policies even when recording and transcription are disabled. Do not describe a no-transcription meeting as invisible to compliance systems. Ask your administrator which retention label, eDiscovery process, or policy applies to Copilot interactions in your tenant.

If a chat message, transcript, or file is deleted or reaches its retention limit, Copilot cannot reliably use it later. A response generated immediately after a meeting can therefore differ from one requested after the organization’s retention period has removed the underlying material.

Troubleshooting common surprises
Copilot ignores an attachment
In a regular chat, this is expected for files, images, and Loop components used in thread summarization. Open the attachment separately, paste the relevant text into the conversation, or use a work-data experience that explicitly supports the file and your permissions.
The meeting answer is too short or misses spoken discussion
Check whether the meeting was transcribed. Without a transcript, meeting-chat Copilot is limited to written chat. During-meeting-only use can help in real time, but it does not create the same post-meeting evidence as a retained transcript or recording.
The work-data option is missing
Verify that you are signed in with a work account, have a qualifying business or enterprise Microsoft 365 subscription, have the required Copilot license, and have Work IQ enabled for the intended question. Tenant administrators can also restrict features.

That indicates a permissions or retention issue, not proof that Copilot bypassed security. Ask the owner or administrator to confirm your access, and do not redistribute the response until you can validate the underlying source.
