Cloud-based point-of-sale (POS) software can give a business shared access to sales, inventory, and reporting from connected devices. It can also support mobile checkout and link in-store activity with online orders. The practical benefits depend on the provider’s features, internet connection, compatible hardware, and how the system is set up.

What cloud-based POS software can do

A POS system records sales and supports related business workflows, such as inventory, payments, and reporting. With a cloud-based setup, some operational data and tools are available through connected devices rather than only at a fixed register. The precise functions vary by provider and configuration.

Benefits for day-to-day operations

Access sales and inventory information across devices

Shared access can help owners and staff check sales activity, stock information, or reports without relying on a single register. POS tools may also track inventory, flag low stock, and surface sales insights. These capabilities are useful only when the relevant features are included and product, stock, and transaction data are configured accurately. Xero’s POS guide describes these functions; exact availability depends on the product.

Serve customers away from a fixed register

A mobile-first POS can let staff complete checkout and other store tasks around the shop floor. Depending on the system, mobile workflows may also provide customer context or support clienteling. These are platform-specific capabilities, not a standard feature set shared by every cloud POS. Salesforce’s Retail POS information describes mobile store workflows.

Connect store activity with other systems

POS integrations can link sales and operations with payment providers, accounting, tax, order management, and online commerce systems. That can reduce disconnected workflows, but an integration’s existence does not guarantee that it supports the data flow your business needs. Confirm which systems connect, what information synchronizes, how often it syncs, and whether records can be exported. Salesforce describes integration categories in its POS documentation.

Support reporting across business activity

Depending on the provider, reports may cover sales, inventory, staff activity, or financial reconciliation. This can make it easier to review operations in one place, but reports are only as dependable as the data and setup behind them. Check that the system’s reports answer the questions you actually use to run the business. Salesforce’s POS documentation outlines reporting areas for its platform.

Potentially simplify initial setup

A cloud or mobile system may offer flexibility, easier setup, or lower startup costs than a traditional on-premises system. This is a directional benefit, not a guaranteed saving: subscriptions, payment fees, hardware, onboarding, support, integrations, and connectivity all affect total cost. Xero discusses these potential advantages in its POS guide; it does not establish a universal savings figure.

What to check before choosing a cloud POS

Offline operation and payment handling

“Offline mode” does not mean every feature continues to work without internet access. Ask which sales, customer, inventory, return, and gift-card workflows remain available; whether card payments are authorized immediately or queued; what data waits to sync; and how reconciliation works after reconnecting.

For example, Shopify’s offline-feature guidance says orders and inventory do not sync while offline and documents restrictions on several workflows. Card-payment behavior can depend on setup. Treat this as a provider-specific example, not a description of every POS system.

Payment security responsibilities

Cloud hosting does not make payment security automatic. The PCI Security Standards Council says payment terminals that capture card data are within PCI DSS scope; the applicable controls depend on the device and system configuration. Ask the POS provider and payment processor for current documentation that identifies your responsibilities. See the Council’s explanation, “How does PCI DSS apply to payment terminals?”

Compatible hardware

List the hardware your workflow requires—such as payment terminals, receipt printers, barcode scanners, and cash drawers—and confirm exact supported models and connection types before buying. A provider’s support for a category does not establish compatibility with every device. Salesforce’s POS documentation describes hardware categories for its system.

Integrations and data portability

Verify that your existing accounting, e-commerce, tax, payment, and order-management tools are supported. Ask what records each connector moves, whether synchronization is one-way or two-way, how errors are surfaced, and how you can export your data if you change systems. Check the specific connector and workflow rather than relying on a broad claim of integration support.

Implementation effort and workflow fit

Moving inventory, training staff, configuring integrations, and ensuring reliable network access can all affect rollout. A 2025 market study from Toshiba Commerce identifies integration complexity and organizational change as implementation challenges, and lists architecture, functionality, hardware and installation, payment and security, omnichannel, and reporting among POS and mobile POS evaluation dimensions.

Map the system to your actual operation: number of locations, sales channels, permissions, fulfillment steps, product workflows, and reporting needs. A feature matters only if it fits the way your business works.

A practical comparison checklist

  • Offline: Which workflows work without internet, and what happens to transactions and payments when service returns?
  • Inventory and reporting: Can it track the stock and sales details your team needs, with reports at the right level?
  • Integrations and exports: Do your required systems connect, and can you retrieve usable records?
  • Hardware and payments: Are your specific devices supported, and are payment responsibilities documented?
  • Implementation: What work is needed for migration, configuration, training, and ongoing support?
  • Total cost: Compare subscriptions, payment fees, hardware, onboarding, support, integrations, and connectivity—not just the starting price.
  • Workflow and scale: Does the system match your locations, channels, fulfillment, permissions, and expected reporting?
