Clockify lets individuals and teams record work with a running timer, manual timesheets, a shared kiosk, or automatic activity tracking, then organize and review the entries by project and task. The best method depends on how people work: a live timer suits task-by-task tracking, a timesheet suits retrospective entry, and a kiosk suits on-site clock-ins. These tools can support operational review, but useful records still depend on consistent categorization, employee adoption, and follow-up.
Choose a time-entry method that fits the work
Clockify describes its product as a way to “Track productivity, attendance, and billable hours with a simple time tracker and timesheet” on its features page. That is the vendor’s description, not independent evidence that a particular tracking method improves productivity. The practical choice is the one employees can use consistently and managers can review.

When to use a timer
A timer is a natural fit when people can start and stop tracking without disrupting the task. It can make contemporaneous records easier, but missed starts or stops can still require edits. Teams should agree on project and task names so similar work is categorized consistently.

When to use a timesheet
A timesheet is useful when employees prefer to enter work after completing it or need a weekly review before submission. A recurring template can reduce repeated entry, while reminders and approval workflows can help establish a review routine. Ask employees to record time often enough that entries remain meaningful rather than relying on memory at the end of a period.

When a shared kiosk makes sense
A kiosk can give an on-site team one place to clock in and out. A tablet may be a practical shared device, but Clockify’s reviewed material does not identify a required or endorsed tablet. Verify current app or browser compatibility, network access, placement, accessibility, privacy expectations, and the available kiosk controls before choosing hardware.
What automatic tracking and calendar views do—and do not do
Automatic tracking can help reconstruct activity across digital tools, while a calendar view can put time and scheduled events in context. Neither replaces decisions about which activity belongs to which project, whether the record is accurate, or how it should be used. Set a review step and make expectations clear to employees before enabling activity monitoring.

Organize time records so they answer business questions
Clockify describes organizing work by projects and tasks, comparing estimates with tracked time, reviewing costs and profit, tracking attendance, and exporting or sharing reports. A well-defined structure makes those views more useful: decide how projects, tasks, clients, and billable work should be named before a team builds up a large set of entries. - Project and task breakdowns: See which work accounts for recorded hours and compare actual time with estimates where available.
- Billable hours and costs: Separate billable work from other time, and use cost or profit analysis where the account plan supports it.
- Attendance and overtime: Review recorded attendance and overtime when those reports fit the team’s processes.
- Reports and exports: Filter, share, or export records for further analysis or business workflows.
These are management inputs, not automatic conclusions: a report can show where recorded time went, but the record alone does not explain why a project ran over estimate or prove that productivity or profitability changed.

Use review and controls before relying on the data
For records that may feed billing, payroll, or project decisions, define who checks them and what happens when entries are incomplete or disputed. Clockify describes submission and approval features for timesheets, reminders for due timesheets, and controls such as required fields and audit-related capabilities across its product materials. Check the current plan and setup to confirm which controls apply to your account.
- Set the rules: Specify when people should use timers or timesheets, how to choose projects and tasks, and how to mark billable work.
- Set a review cadence: Have employees inspect entries before submission and designate a manager to review exceptions, missing time, or unusual totals.
- Use approvals where appropriate: An approval step can add review before records are used in downstream processes. Do not treat software approval as a substitute for your organization’s payroll checks or applicable legal requirements.
- Follow up on estimates and budgets: Budget alerts or scheduled reports, where included, can prompt a closer look when work approaches an estimate.

Check plans and integrations before designing a workflow
Feature availability, plan assignments, prices, seat rules, and integration details can change. Clockify’s Standard plan page describes time-off management, approvals, attendance and overtime, kiosk customization, invoicing, and sending time to QuickBooks for billing and payroll.
