Client feedback improves web-design quality assurance (QA) by exposing mismatches between the site being built and the client’s goals, requirements, content, or brand decisions. Its value comes from a repeatable loop: agree what success means, gather feedback early, record and prioritize findings, make revisions, then verify the changes. Client review is not a substitute for usability testing with intended users or for accessibility, functional, security, performance, and regression testing.

What client feedback can—and cannot—establish

Client review answers whether the proposed site reflects the client’s needs and decisions. It can catch incorrect content, missing requirements, misunderstood business rules, and visual choices that conflict with an agreed brief. It cannot establish by itself that visitors can find information, complete tasks, or use the site with assistive technology.

Use different evaluation methods for different questions:

These activities complement one another. GOV.UK’s QA guidance recommends checking usability as well as technical parts of a service, while W3C/WAI explains that evaluation with people can find usability issues that conformance evaluation alone misses (GOV.UK Service Manual; W3C/WAI).

Make feedback actionable by agreeing what is being reviewed

Before asking for opinions, establish the goals and constraints that give feedback meaning. Agree on intended audiences, required content and tasks, brand and business requirements, supported devices, and acceptance criteria. A comment such as “make this more prominent” is useful context, but the team should clarify what need or requirement it represents: Is an important action hard to find? Is a required message missing? Is the request a preference without a demonstrated user or business need?

Record requirements with their supporting evidence and rationale, rather than treating a late-stage approval as the only source of truth. The UK Home Office’s engineering guidance recommends connecting needs and requirements to evidence and rationale, and using tests to show whether requirements have been met (Home Office Engineering Guidance).

Gather feedback early, then repeat at useful milestones

Do not wait until the site is nearly finished to ask whether its direction is right. Review sketches, wireframes, prototypes, and working pages at stages when the team can still change the relevant decisions. W3C/WAI recommends involving users early and asking them to review prototypes throughout design and development; early involvement can reduce the need to go back and fix problems later (W3C/WAI guidance on involving users).

Give each review a purpose

  • Early concepts: Check whether the proposed structure and content address the agreed goals.
  • Prototypes: Ask reviewers to examine navigation, page hierarchy, and representative tasks before implementation hardens those choices.
  • Working pages: Confirm the implemented content, interactions, and responsive behavior against the approved requirements.
  • After revisions: Review the changed areas and verify that the original issue is resolved without introducing a new one.

Separate stakeholder review from user evaluation

Clients can assess whether the work reflects their organization and decisions. For task-based evaluation, ask people representative of intended users to attempt specific tasks and observe what they do rather than relying only on general impressions. For example, ask someone to locate a service detail or complete a representative form flow; note where they hesitate, choose the wrong route, or cannot proceed. A stakeholder’s familiarity with the project can make a design seem more obvious than it is to a new visitor.

Turn comments into decisions the team can verify

A comment is not yet a QA finding. Capture enough context to decide what action is appropriate and to check the result later. Digital.gov recommends documenting and discussing feedback in each round, then revising the design as part of the feedback process (Digital.gov feedback guidance).

Use a consistent finding record

  • Location: Page, component, device context, or task where the issue occurred.
  • Observation: What the reviewer said or did, recorded without turning an interpretation into a fact.
  • Context: The task, content, or conditions involved.
  • Affected need: The requirement, user task, or acceptance criterion that may be unmet.
  • Impact and priority: The consequence of leaving it unresolved and how urgently it should be addressed.
  • Decision and owner: The agreed change, reason for deferral or rejection, and person responsible.
  • Verification: The retest or other check that will demonstrate whether the change worked.

Classify before revising

Sort findings so that an important defect is not lost among optional visual preferences. A practical classification is:

  • Defect: The page or interaction does not work as intended.
  • Unmet requirement: An agreed content, business, brand, or functional need is absent or incorrect.
  • Usability barrier: A person has difficulty understanding or completing a task.
  • Accessibility barrier: A person encounters an obstacle related to access or interaction.
  • Discretionary preference: A requested change is not yet tied to a requirement or demonstrated user need.

Cluster repeated issues and look for the underlying cause. One isolated preference should not automatically dictate a site-wide pattern. W3C/WAI advises considering input carefully, seeking a range of users, and combining user involvement with standards; no participant group can cover the full diversity of users and assistive technologies (W3C/WAI involvement guidance).

Verify revisions and keep technical QA in the loop

After a change, retest the affected task or requirement rather than relying on the client’s approval of a screenshot or page. Then run the technical checks relevant to the change and the rest of the release: functional, regression, accessibility, performance, and security testing. A navigation revision, for example, should be checked for the intended content and task flow, and for regressions in links or responsive layouts.

Automated tests can find some defects quickly and are useful in continuous integration, but a clean automated result does not establish that a design is usable or accessible. GOV.UK’s guidance treats automated, exploratory, accessibility, functional, performance, and security testing as parts of QA rather than interchangeable proof (GOV.UK Service Manual). Faster feedback can also expose defects before they become more complex to fix.

Use client feedback as one part of accessibility evaluation

Client sign-off and an automated scan cannot prove a site is accessible. WCAG success criteria are testable through machine and human evaluation, and W3C/WAI recommends usability testing in addition to functional evaluation (W3C/WAI, Understanding Conformance). An initial accessibility review can identify obvious barriers and help focus later evaluation with disabled and older people. Such evaluation can reveal usability problems that a conformance review alone may miss, but it should be combined with standards-based checks rather than treated as a complete representation of everyone.

For formal conformance work, WCAG-EM is an evaluation methodology that supports WCAG; it does not add WCAG requirements. W3C/WAI’s overview says WCAG-EM 2, published 23 July 2026, expands the methodology’s scope beyond websites and web pages to apps and other digital products (W3C/WAI WCAG-EM overview).

Keep the feedback loop useful across rounds

The purpose of another review is to learn something relevant, not to collect unlimited opinions. Digital.gov describes iterating on feedback and notes that moving from people familiar with a project toward people new to it can surface assumptions that insiders no longer notice. In practice, use project stakeholders to resolve goals and decisions, then bring in fresh and representative users to test whether the resulting experience works for them. Track what changed and whether the verification passed so the next review starts from the current state.

Capture review evidence with screenshots

When feedback concerns a visual state, route, or responsive layout, a screenshot can help the client and team refer to the same evidence. For a manual review, open the page in the target browser and viewport, navigate to the state under discussion, capture it with the browser’s screenshot tool, and attach the image to the finding record with the page, viewport, and task context. A screenshot documents appearance; it does not replace interaction testing or prove that the page works.
