Automation can reduce errors caused by repeatedly copying the same information, but it does not make a workflow error-proof. The strongest evidence here comes from healthcare and clinical research: studies found fewer discrepancies with automated or interfaced data capture than with manual transcription, while also showing that OCR and other automated methods still need validation and oversight. There is no established, broadly applicable dollar cost for a data-entry error; the business case depends on the time and impact of errors in your own process.
How does automation reduce data entry errors?
Every manual transfer creates another chance to mistype, transpose, omit, or misread a value. Automation can remove some of those repeated keystrokes by transferring data directly between systems, scanning structured forms, or assisting a person who reviews extracted data. The benefit depends on the source information being correct, the transfer rules being sound, and exceptions being caught.
Direct transfer can avoid rekeying
A study of outpatient point-of-care glucose results found that 260 of 6,930 manually entered results (3.7%) differed from interfaced results. Of those discrepancies, 37 were more than 20%. This is a healthcare-specific study, not an estimate for other kinds of data, but it illustrates why a supported connection between a measuring device and the system of record may be preferable to typing results again. Automating a defined workflow can reduce transfer time and errors
In a 2020 study of 1,933 consecutive vital-sign records in one 23-bed medical-surgical nursing unit, reported entry errors fell from approximately 20% to zero after an automated process was introduced. The authors also reported that transfer time decreased from five minutes to two hours per measurement event. This was one unit and one intervention; it is not a general benchmark for hospitals or other industries. The authors concluded: “Data entry automation eliminates data errors, substantially reduces delays in getting data into EHRs, and improves job satisfaction by giving nurses more time for direct patient care.” That conclusion describes their studied intervention and setting. How do automated methods compare with double entry?
A 2023 systematic review and meta-analysis covering 93 clinical-research papers estimated different error rates for several data-processing methods. The review cautioned that accuracy varied widely among the underlying studies, so these figures compare reported methods in clinical research; they should not be treated as guaranteed rates for a particular organization or as a ranking that applies to every workflow.

These estimates come from the 2023 review and meta-analysis. They show that double entry can be accurate, not that it is automatically the best choice: the extra labor and discrepancy adjudication may be worthwhile where a missed error has serious consequences, but costly for high-volume routine transfers.

Assisted abstraction can reduce errors without removing review
A Journal of the Society for Clinical Data Management study of an electronic health record-to-electronic data capture workflow found 5.8% manual abstraction error versus 1.2% application-assisted error across 2,809 fields. In a separate, limited 477-field subset, manual error was 13.6% and no automated errors were observed. The zero-error result applies only to that small subset and study context; it does not prove automated abstraction is error-free in general. Is OCR accurate enough to trust?
OCR can make paper and image-based information searchable or transfer it into structured records, but accuracy is not the same as certainty. In a 2025 prospective multicenter ICU study, independent validation by eight untrained personnel across 1,018 data points found 98.5% completeness and 96.9% accuracy for an OCR-based photo workflow. That is a promising result in the studied ICU setting, but the accuracy figure also means some captured values were wrong. See the study in PubMed Central.

When OCR is a reasonable fit
- Use it for repeated, structured documents with stable layouts and legible entries.
- Test it on representative examples of the actual forms, images, handwriting, and scan quality you expect to process.
- Route low-confidence fields and high-impact values to a person for verification.
- Keep a way to compare extracted values with the original document and correct mistakes.
A scanner can digitize a paper record, but it cannot guarantee that the resulting data is accurate. Treat OCR as a capture method that needs validation, not as a substitute for a quality-control process.
What does a data entry error cost?
There is no defensible cross-industry dollar figure for the cost of one data-entry error in the evidence summarized here. The expense depends on what the value is used for and what happens when it is wrong: staff time to find and correct it, rework, delayed decisions, quality impacts, or downstream consequences.

Estimate the cost for the specific workflow rather than applying a generic price per error. Track the volume processed, time spent entering and checking records, correction frequency, time to resolve exceptions, and the cost of implementing and maintaining an automated connection or application. Include the consequences of errors that escape detection, but do not assume every discrepancy has the same impact.

Choose based on the risk and mechanics of the particular transfer. Automation is often worth evaluating first for repetitive, structured work with stable source data and clear validation rules. Double entry may remain appropriate where independent verification is important and the additional work is justified. In either case, test the process on representative records before relying on it.

How to introduce automation without hiding errors
- Map the transfer. Identify the source, destination, fields copied, current error and correction rates, and who handles discrepancies.
- Prioritize a suitable task. Start with repetitive, structured transfers that have stable source data and rules that can be checked.
- Check for a direct interface. If a device or application can write to the destination system, assess a supported interface before adding OCR or another manual step.
- Validate on real examples. Test representative records and document types, measure field-level errors and transfer time, and inspect high-impact fields closely.
- Design oversight before rollout. Define an exception queue, audit trail, review responsibilities, and an escalation route. Automation often shifts effort from typing to checking and resolving exceptions.
- Reassess the full cost. Compare local labor and correction time with integration, review, and maintenance costs, along with the impact of errors that remain.
A reduction in keystrokes is not enough to establish a return on investment. The cited studies show that particular workflows can improve; they do not establish universal savings or a universal cost per error.
