AI meeting notetakers need access to meeting audio before they can transcribe speech, label speakers, or write a recap. Depending on the product, that audio may come from a bot that joins the call, a desktop app that captures system sound, a microphone, or a recording uploaded afterward. The transcript and summary are separate outputs, and each can be incomplete or wrong in different ways.
How an AI meeting notetaker works
A meeting notetaker is a sequence of audio-capture and language-processing steps, not a single listener that automatically understands everything said in a meeting. It first needs an audio signal, then converts speech into text. It may estimate who spoke when, and a summarization stage can use the transcript and other available context to produce notes or action items. Finally, the service saves or shares some combination of the recording, transcript, and notes.
The exact sequence, inputs, and stored files vary by product and capture mode. A tool that joins a call as a participant has a different capture path from one that records at the computer or processes an uploaded file. The word “notetaker” alone does not tell you what it records, whether attendees can see it, or how long the data remains available.

The product obtains audio through a call bot, desktop or system-audio capture, microphone capture, or an existing recording. A bot may appear in the meeting participant list. A desktop app may capture sound playing through the computer, potentially including remote participants heard through headphones. A microphone records sound reaching the device microphone; it does not necessarily capture remote voices playing only through headphones.

2. Convert speech into text
A speech-recognition system processes the audio and produces a transcript. Some meeting-audio systems may perform additional work before recognition, such as aligning audio streams, beamforming, or separating overlapping speech. These are approaches described in research systems, not steps that every commercial notetaker necessarily uses.
3. Estimate who spoke when
Speaker diarization estimates where one speaker stops and another begins, then attaches labels to those sections. A system may also use context, such as calendar participants, when assigning names. The label is an estimate: a transcript can capture the words correctly while assigning them to the wrong person.
4. Generate a recap or action items
A summarizer uses the transcript to create a shorter account of the discussion and may identify tasks or decisions. The information it can use differs by product. Notion says its summary can consider notes prepared before a meeting. Other systems may rely on different context or limit their summary to transcript text. The presence of a concise recap does not mean that every point in the transcript was captured accurately.
5. Store or share the outputs
Audio, transcripts, and summaries are separate artifacts; a service may handle each differently. Notion, for example, documents local temporary audio copies and conditional retention for retrying live capture, while uploaded files are stored on its servers until deleted. Its notes inherit page permissions, and enterprise workspaces can configure transcript deletion. These are Notion-specific policies, not a standard rule for meeting notetakers as a category.

Does a notetaker record the meeting?
Often it records or otherwise processes audio, but “recording” can describe different things. A bot-based product may record call audio. A desktop app may capture audio locally as the meeting happens. A microphone-based feature may capture only sound reaching the device, while an upload feature processes a recording made earlier. Check the product’s exact capture method rather than assuming that every notetaker creates the same kind of recording.
Audio capture may be live even when the app does not appear as a meeting participant. Fellow describes a botless desktop mode that captures audio locally while the meeting runs on a conferencing platform. That is still audio capture; the absence of a visible bot does not mean a meeting is unrecorded.
For its bot-based workflow, Fellow says the bot joins the conference link to record, and its presence and a chat message indicate recording. Its help article explains: “The audio from the recording is then sent to one of our transcription partners which then produces a transcript from the recording.” That describes Fellow’s stated process, not a universal arrangement; other products may use different systems or service providers.

What each capture method can and cannot hear
| Capture method | What it does | Important limitation or trade-off |
|---|---|---|
| Call bot | Joins the conference as a participant and records call audio. | It is visible to attendees and depends on being admitted and supported by the conferencing setup. Fellow says its bot presence and chat message indicate recording. |
| Desktop or system audio | Captures audio at the computer while a meeting runs. Notion documents desktop capture of system audio and the microphone; Fellow describes a botless desktop approach. | It requires the appropriate app and operating-system permissions. Product behavior differs, so confirm whether the app captures remote audio, microphone audio, or both. |
| Microphone | Records sound reaching the computer or phone microphone. | If remote participants are heard through headphones, microphone-only capture may miss them. Notion documents this limitation for browser and mobile capture. |
| Uploaded recording | Processes an audio file after the meeting. | It can be useful if live capture was not running, but upload and storage rules depend on the service. |
Before relying on any mode, check which people and sounds it can actually receive. For a remote call, determine whether the tool captures system audio when headphones are connected. For an in-person meeting, consider whether people are close enough to the recording microphone and whether the room is noisy. If the notetaker only receives a narrow or unclear signal, later transcription and summarization cannot restore speech that was never captured.

How speaker labels work—and why they can be wrong
Speaker labels are generally based on diarization: detecting changes in the voice signal and assigning turns to speaker identities. The task is harder when people interrupt each other, speak at once, sound similar, or move around a room. Assigning a real name can require another step beyond detecting a voice change. Notion says its system can use non-audio context such as calendar event information when labeling speakers; its cited help page says speaker labels are available in English only.
Treat labels as navigation aids, not proof of identity. If a quote, commitment, or decision matters, compare the label and text with the available audio or transcript context. Greenhouse’s interview-notetaker documentation similarly recommends checking AI notes against the transcript and recording before relying on them; that is a product-specific recommendation that also illustrates a sensible verification practice.
What affects transcription and summary quality
The first constraint is what audio reaches the notetaker. Microphone distance and room noise can make speech harder to distinguish. Overlapping speech can obscure words; accents and platform capture limits can also affect recognition. A transcript may therefore omit or misstate a phrase, and a summarizer can carry that error into its recap or action items.
Speaker attribution is an additional estimation step. Correct words do not guarantee a correct speaker label, and a fluent summary does not prove the underlying transcript is complete. When a point is consequential, check the transcript against the original audio if it is available, then verify the speaker and meaning rather than relying only on the generated summary.

Research papers demonstrate specific technical approaches but do not establish a universal accuracy rate for commercial meeting notetakers. In a 2019 paper describing a continuous speech-separation system, the authors reported a 16.1% word-error-rate improvement over a highly tuned beamformer. A separate 2019 virtual-microphone-array experiment reported a 22.3% word error rate using seven input audio streams. Those figures belong to the papers’ particular systems and conditions; they are not consumer-product guarantees or a basis for ranking current services.
There is no single accuracy percentage in the cited sources that represents all AI meeting notetakers. For an important record, inspect the vendor’s stated testing conditions and verify uncertain details against the source audio instead of treating a general accuracy claim as a promise about your meeting.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone. What can appear in the finished notes?
Depending on the tool, the output may include transcript text, speaker labels, a summary, and action items. Some products may also use context such as notes prepared before the meeting, while others may draw on additional meeting materials. Notion documents summaries that can consider preparation notes. The available inputs are product-specific, so check what a particular service uses rather than assuming that all recaps are generated from speech alone.
A summary is a compressed interpretation, not a substitute for the source record. It may omit qualifications, distinguish poorly between a proposal and a decision, or attach a task to the wrong person if the transcript or speaker label is wrong. Review the transcript and audio for commitments or other details where accuracy matters.

Privacy, consent, and data handling checks
Before enabling a notetaker, establish what signal it captures and how participants are informed. Also review where audio and transcripts are sent, which subprocessors may receive them, how long each artifact is retained, who can access saved notes, and how deletion works. These policies differ by service and capture mode.
- Capture and notice: Find out whether the product joins visibly, captures audio from a desktop app, or uses a microphone. Check what attendees will see or hear.
- Consent: Notion recommends obtaining consent from all participants. Follow applicable requirements and the expectations of everyone in the meeting rather than assuming that software visibility alone settles consent.
- Data flow: Check whether audio leaves the device and which providers may process it. Fellow’s description of sending recorded audio to a transcription partner is specific to its stated workflow.
- Retention and deletion: Ask separately about audio, transcripts, and summaries. A service may retain these for different periods or offer different deletion controls.
- Access and sharing: Confirm who can open notes and whether they inherit permissions from another workspace or page. Notion says its notes inherit page permissions.
“Botless” describes the absence of a meeting bot, not the absence of capture. Fellow says internal users are notified for its botless mode, while external attendees may not see an in-platform notice. Make sure participants understand what is happening even when no bot appears in the call.
How to choose and use a notetaker responsibly
Compare tools by their capture path and the record they leave behind, rather than by the word “AI” or a summary demo alone. The following checks help surface differences that affect both usefulness and privacy.
- Identify the capture path. Is there a call bot, desktop/system-audio capture, microphone capture, or file upload? Determine whether capture is live or post-meeting.
- Check audio coverage. Confirm whether remote participants are captured when you use headphones, whether the tool also receives microphone audio, and how it handles in-person participants.
- Inspect the transcript workflow. Check whether speaker labels are offered, whether the transcript is editable, whether it includes timestamps, and whether you can access the audio to review uncertain passages.
- Find out what feeds the summary. Determine whether it uses transcript text alone or can also use preparation notes, agenda details, or other context.
- Review data controls. Understand subprocessors, retention, deletion, access permissions, and participant notices for the specific capture mode you plan to use.
- Test a low-stakes meeting. Compare a few transcript passages and labels with what you heard, especially with the device and headphones you normally use. Do not treat that informal check as a guaranteed accuracy benchmark.
For clearer room capture, microphone placement and the room’s acoustics matter because the recognition system can only work with the audio it receives. Research on meeting transcription describes microphone arrays and multiple recording devices, but the cited material does not compare consumer microphones or establish that a particular accessory improves a particular app. Choose capture equipment only if it addresses a demonstrated problem in your setup.
Quick Recap
Common misunderstandings
- “It joined the call, so it must have captured everything.” Admission and conferencing support affect whether a bot can participate; audio quality and overlapping speech can still limit the record.
- “There is no bot, so nobody is recording.” A desktop app can capture locally without appearing as a participant.
- “The speaker name is certain.” Diarization estimates speaker turns; context may help, but a label can still be wrong.
- “A polished recap means the transcript was accurate.” Summaries depend on their inputs and can repeat errors or omit detail.
- “All notetakers keep the same data.” Storage, retention, access, and deletion depend on the service and whether audio was captured live or uploaded.
