Choose GST software as a records-and-controls system, not merely an invoice designer. It should produce compliant tax invoices or bills of supply, preserve the accounts and stock information your business must retain, support reconciliation and (where applicable) e-invoicing, and let you retrieve an auditable history years later. It cannot decide whether your HSN/SAC, tax rate, place of supply, or exemption treatment is correct; your business and tax adviser remain responsible for those decisions.
Use the checklist below to map the software to your transactions, registrations, inventory, filing process, and record-retention obligations before comparing plans or prices.
Start with the legal job the software has to perform
GST records are broader than invoices
Section 35 of the Central Goods and Services Tax Act requires a registered person to keep true and correct accounts of production or manufacture, inward and outward supplies, stock, input tax credit, and output tax payable and paid, along with other prescribed particulars. A product that only prints invoices may leave you without the stock, purchase, tax-credit, and payment evidence needed for returns, reconciliations, audits, or a later assessment. Read the statutory wording in the CGST Act, 2017.

Retention is a design requirement
Section 36 generally requires relevant records to be kept for 72 months from the due date of the annual return for the corresponding financial year. If you are a party to specified proceedings or under investigation, the relevant records may have to remain available until one year after final disposal or for the normal period, whichever is later. Your plan therefore needs a dependable export and retrieval path, not just an account that works while a subscription is active.

- Two-Part Carbonless Invoice Book: Each invoice book has 50 sets of invoices, each with a white/light yellow section, with the yellow section retained in the invoice book to maintain detailed records.
- Consecutively Numbered: Enlarged red 6-digit numbers in the upper right corner of each invoice receipt book help you quickly navigate through your orders.
- Wraparound Divider Flap: A thick folded cardboard divider is integrated into the back of each invoice book for use between each two-part sales order to prevent the written content from rubbing off on subsequent copies of the invoice, resulting in wasted invoices.
- 2 Packs/50 Sets (100 Sets Total): Each invoice book provides 50 sequentially numbered carbonless sets of 2 invoice books for long-term use.
- Customizable Space: Each invoice book for small business has space at the top to add a company seal or sticker.
The Accounts and Records Rules also address electronic backups, access to electronic records, audit-trail and inter-linkage information, and a log of every entry that is edited or deleted. Ask a vendor to demonstrate backup restoration, historical search, export formats, permissions, and edit history before you buy.
Know what a valid document must contain
Tax-invoice fields
CBIC’s sectoral FAQ summarizes the core information a tax invoice should carry. Configure these fields as mandatory in the product and have your accountant validate the setup for each type of supply.
| Field or control | What to verify in the software |
|---|---|
| Supplier identity | Legal name, address, and GSTIN where applicable; the correct registration must be selectable when a business has more than one. |
| Recipient identity | Customer name, address, and GSTIN where applicable, with validation that prevents an accidental mix-up between customers. |
| Invoice number and date | A unique number and issue date, with configurable series for branches, locations, or transaction types where your process requires them. |
| Supply description | Item or service description linked to the correct HSN or SAC code and unit information where relevant. |
| Value and tax | Taxable value, applicable rate, and tax amount shown separately; check how discounts, freight, and other charges are treated in your intended transactions. |
| Place of supply | A field and tax workflow that handles the situations in which place of supply must appear and applies the correct transaction logic after your tax decision. |
| Authentication | Signature or the electronic authentication your process requires, plus a stable PDF and data copy for retrieval. |
When a bill of supply is appropriate
A registered person using the composition scheme or supplying exempt goods or services issues a bill of supply rather than a tax invoice in the circumstances described by CBIC. The product should let you select the document type deliberately; it should not force every sale into a tax-invoice template or show tax when tax must not be charged.

Do not configure one universal deadline. The CBIC invoice-rules guidance states a general 30-day deadline for invoices for taxable services and 45-day cases for specified financial suppliers, while other supplies and situations have their own provisions. Use the rule that applies to your supply type and confirm unusual cases with your adviser.

Understand e-invoicing before you pay for an integration
The business creates the invoice; the IRP authenticates its details
GSTN describes e-invoicing under Rule 48(4) as a workflow in which a notified registered person prepares the invoice in its accounting, billing, or ERP system, reports prescribed particulars to an Invoice Registration Portal (IRP), and receives an Invoice Reference Number (IRN) and a QR-coded copy. GSTN’s wording is explicit: Please note that “e-invoice” in GST doesn’t mean generation of invoice by a Government portal.
See the GSTN E-Invoicing FAQs.
- Prepare. Enter the sale in your own software, including supplier and recipient data, document number, values, tax, and other required particulars.
- Submit. Send the prescribed payload to an IRP through the product’s supported integration or an approved intermediary.
- Validate and receive. Resolve validation errors returned by the IRP. A successful response supplies the IRN and QR-coded invoice data that must be associated with the document.
- Reuse the authenticated data. Check whether the product can carry the same details into the GST and e-way-bill workflows instead of making you re-key them.
Whether e-invoicing applies depends on the taxpayer rules and aggregate turnover in preceding financial years. The official FAQ refers to the prescribed limit but the applicable threshold can change through notifications. Verify the latest CBIC notification or ask your tax adviser rather than relying on a number in a sales brochure.
NIC’s GST e-invoice description explains the system-level flow from the IRP to the GST portal and e-way-bill portal and identifies interoperability as an objective, so data produced in one software can be read by another. That does not certify any particular product. In a demonstration, test IRN generation, QR output, cancellation or correction handling, and the exact error messages you will see.
Match features to the way your business operates
Service businesses
A service firm may need strong customer, project, expense, time, and receivable records but little stock control. It still needs HSN/SAC handling, place-of-supply decisions, tax-inclusive or tax-exclusive pricing, credit and debit notes, and reports that tie invoices to the general ledger. Confirm that the product can show service-level descriptions without forcing an inventory quantity workflow.

- QUALITY INVOICES: Adams Order books provide a professional invoice or customer receipt; a great way to create and maintain a professional image for small businesses and service providers
- 50 TWO-PART CARBONLESS FORMS: Customers get the perforated white top copy; retain the canary and pink copies for your records
- WRAP-AROUND COVER: Fold the back cover between sets to keep invoices neat and legible
- ROOM FOR CUSTOMIZATION: A blank space at top leaves room for your company stamp; a big savings over custom-printed forms
- CONSECUTIVELY NUMBERED: Large 6-digit numbers in the upper right hand corner help you thumb through orders quickly
Traders and manufacturers
If you buy and sell goods or manufacture them, stock balances and item-level inward and outward records are central. Check units, purchase returns, opening balances, adjustments, warehouses or locations, batch or serial requirements where applicable, and whether reports can explain a closing stock figure. The CGST record requirements include stock records for relevant registered persons, with scheme-specific exceptions; configure the system around your actual scheme rather than assuming a generic inventory module is sufficient.
Businesses with several registrations, branches, or users
Compare the number of GSTINs, legal entities, branches, warehouses, users, and accountant seats included in each plan. Test whether a user can be restricted to a branch, whether an accountant can review without unrestricted editing rights, and whether numbering and reports remain distinct by registration. A low headline price can become expensive when each additional GSTIN or user is charged separately.
Businesses that file through an accountant or external process
Ask what the product exports: invoices, ledgers, tax summaries, purchase data, stock, attachments, and audit logs. Determine whether your accountant can review a report before filing, compare portal data with the books, mark a mismatch, and preserve the explanation for the correction. A button labelled “returns” is not evidence that every filing, correction, or reconciliation step is supported.

| Decision area | Questions to ask and evidence to request |
|---|---|
| Invoice correctness | Can you configure tax invoices and bills of supply, supplier and customer GSTINs, HSN/SAC, rates, place of supply, credit/debit notes, numbering series, and transaction-specific fields? Can an accountant approve the configuration? |
| Returns and reconciliation | Which reports are produced, can they be reviewed before filing, how are books compared with GST-portal data, how are mismatches and corrections recorded, and which CSV, spreadsheet, or machine-readable exports are available? |
| Stock and purchasing | Does the system track the quantities, locations, adjustments, purchases, returns, and stock valuation your business actually needs, and can it preserve the underlying item history? |
| E-invoice and e-way-bill workflow | If applicable, is there a current IRP connection, validation-error view, IRN and QR output, cancellation or correction path, and reuse of authenticated data for related documents? |
| Durability and controls | How often are backups made? Can you restore them? Are edits and deletions logged with user and time information? Can you export old documents, attachments, audit history, and inter-linked records in a readable form? |
| Access model | Is it browser-based, desktop-based, or both? What works offline? How are users, roles, approvals, accountant access, branches, and multiple GSTINs handled? |
| Support and migration | Who helps configure tax masters and opening balances, what response channel and hours are included, and can you import data from the current system without losing document numbers or history? |
| Total cost | Price the required users, GSTINs, inventory, e-invoice or e-way integrations, storage, support, migration, and taxes for a full year. Check what happens to access and exports after cancellation. |
Cloud or desktop: decide by control and recovery, not fashion
| Question | Cloud/browser-oriented setup | Desktop or local-oriented setup |
|---|---|---|
| Where is day-to-day data entered? | Usually through an internet-connected browser or app; confirm offline capability instead of assuming it. | Often on a local computer or network; verify multi-location access and how remote users connect. |
| Who carries backup responsibility? | Ask the provider for backup frequency, retention, restore testing, and an export you control. | Your business may need a documented backup schedule, off-device copies, and restore tests; a local copy alone is not a resilience plan. |
| How do you preserve records after cancellation? | Confirm that invoices, ledgers, attachments, audit logs, and a usable data format remain exportable after the paid period. | Confirm that the application and database can still be opened years later and that a future computer can read the files. |
| How are updates managed? | Updates may be delivered centrally; ask how changes are announced and tested. | You may control the update schedule but must plan compatibility, security updates, and access to installers or licences. |
Neither model is automatically compliant. The practical test is whether you can restore a complete period, explain who changed an entry, and produce the requested document and supporting records when the business no longer uses the original plan.

TallyPrime
TallyHelp’s GST FAQ, updated October 12, 2026, documents GST setup, purchases, sales, returns, reports, reconciliation, and related workflows. It also states that online GSTR-9 filing was not supported in TallyPrime at the time of that article and describes exporting and reconciling through the GST portal or its offline tool. That is a useful warning: check the exact return and reconciliation route your business uses instead of inferring capability from the label “GST software.”
These examples illustrate how to read product documentation. Neither was hands-on tested here, and no independent measurement of performance, support response, security certification, or current commercial terms was established. Treat the pages as starting points for a demonstration and written confirmation of your requirements.

Implement the system without losing control of the books
- Map your transactions first. List each GSTIN, state, customer type, goods and services, exempt or composition situations, purchase categories, inventory locations, credit/debit notes, and the returns your accountant actually files.
- Prepare clean masters. Gather legal names and addresses, GSTINs, HSN/SAC codes, units, tax categories, opening stock, opening receivables and payables, bank accounts, and existing invoice-number series. Remove duplicates before import.
- Configure with tax review. Set document types, numbering, place-of-supply workflows, tax rates, rounding, discounts, and user permissions. Have the person responsible for GST decisions approve the configuration; do not let a default rate become an unexamined tax conclusion.
- Run parallel test documents. Create representative local and inter-state sales, purchases, exempt or composition documents where relevant, returns, discounts, and credit/debit notes. Compare the rendered invoice, ledger postings, tax summary, stock movement, and exported data with your expected results.
- Test government-facing flows where applicable. Use a controlled transaction to verify IRP submission, IRN and QR output, e-way-bill reuse, rejection messages, cancellation or correction handling, and the hand-off to your filing process.
- Schedule reconciliation. At a defined frequency, compare books with portal data, investigate missing or duplicate invoices, record the reason for each correction, and lock or approve periods according to your internal controls.
- Prove recovery. Export a complete period, restore a backup in a separate environment, open old invoices and attachments, and inspect the edit/delete trail. Repeat the exercise before a migration, major update, or cancellation.
Common failure modes and practical fixes
A document is rejected or lacks a required field
Stop issuing the same template. Compare the document with the CBIC field checklist, make the required field mandatory in the master or template, and have the corrected setup reviewed. Do not solve a missing field by typing inconsistent free text on each invoice.
The tax rate, HSN/SAC, or place of supply is wrong
Software can apply a configured rule but cannot determine the legal classification of your transaction. Preserve the original evidence, ask your tax adviser for the correct treatment, and follow the applicable process for correcting the books, document, and return. Record who approved the change so the audit trail explains why historical entries changed.
The IRP returns a validation error or duplicate
Read the exact response, correct the source data, and resubmit only after checking the document number and status. Keep the accepted IRN and QR information linked to the invoice. If the software cannot show request status or the returned payload, ask how you can retrieve that evidence before relying on the integration.

Reconcile using a consistent key such as GSTIN, document number, date, taxable value, and tax amount. Separate timing differences from genuine errors, document the correction, and retain both the original and revised evidence. A summary total without drill-down is not enough for resolving a mismatch.
An employee edits or deletes a posted entry
Check whether the product retains the required user, timestamp, old value, new value, and reason information. Restrict permissions, use approval or period-lock controls where available, and export the audit history with the affected records. If the system cannot show what changed, treat that as a control gap rather than a cosmetic inconvenience.
The subscription or computer is being replaced
Before cancellation or migration, export invoices, bills of supply, ledgers, stock movements, tax reports, attachments, master data, and edit/delete logs. Restore the export on another system and open a sample from each financial year. Keep the application or a documented reader available for the retention period required for your records.
A purchase decision you can defend
Shortlist products only after your transaction map and record-retention test are written down. Give each candidate the same sample data and ask for a live demonstration of invoice creation, tax-invoice versus bill-of-supply selection, reconciliation, e-invoice handling if applicable, export, backup restoration, user permissions, and historical audit retrieval. Then compare the full annual cost and operational effort. The appropriate choice is the one that fits your registrations, supply types, stock complexity, filing route, and recovery controls—not a universal ranking or the most attractive invoice design.
