What is an iPhone or iPad shortcut?
A shortcut is a reusable workflow made from one or more actions in Apple’s Shortcuts app. An action is an individual step, such as getting information from an app or passing it to another action. Apple describes a shortcut as “a quick way to get one or more tasks done with your apps” and an action as “the building block of a shortcut.”

You can build a workflow yourself or start with a ready-made example in the app’s Gallery. A shortcut can handle a task in one app or connect steps across apps, depending on the actions and services available on your device.
How to create your first shortcut
-
Open the Shortcuts app on your iPhone or iPad.
-
Tap the add button to create a shortcut, then tap its name to rename it. Choose a clear, distinctive name that will be easy to find and say to Siri.

Start small and test as you edit
For a common task, choose a shortcut in the Gallery and inspect its actions before customizing it. For a workflow you build from scratch, begin with only the necessary steps. Test after meaningful changes: if a later action lacks the information it needs, or an app requests access, a short workflow makes the cause easier to find.

Where can you run a shortcut?
Shortcuts can be launched from several places. Availability and the steps needed to add a shortcut to a particular surface can vary by device and software version.
- Shortcuts app: Open the app and tap the shortcut.
- Home Screen: Add a shortcut for quick access.
- Shortcuts widget: Run one from a widget.
- Siri: Ask Siri to run it by name.
- Share sheet: Start a shortcut from another app’s sharing options when it is available there.
- Apple Watch: Run supported shortcuts from the watch.
A descriptive name helps distinguish shortcuts in the app and makes voice requests to Siri less ambiguous.

How personal automations differ from shortcuts
A normal shortcut is launched by you. A personal automation is triggered by an event instead. Apple describes it as “similar to a shortcut; however, rather than being launched manually, personal automation is triggered by an event.”
Triggers you may see
Depending on your iOS or iPadOS version and device, personal automation triggers can include time of day, alarms, sleep, arriving at or leaving a location, CarPlay, email, messages, transactions, Wi‑Fi, Bluetooth, Apple Watch workouts, NFC, opening an app, Airplane Mode, Do Not Disturb, Low Power Mode, battery level, connecting a charger, and sound recognition.

Set up an automation carefully
In the Shortcuts app, open the automation-creation flow and choose a trigger offered on your device. Configure its event and the actions to run, then review the available confirmation or automatic-run controls before saving. Eligible triggers can be set to run without asking, but individual actions may have separate requirements or automatic-run settings. Do not assume that turning off a confirmation for the trigger makes every action run unattended.
Automations can have side effects: for example, a workflow might send a message or change a setting. While experimenting, disable an automation if you do not want its trigger to fire unexpectedly. Personal automations are specific to the device on which they are created. Apple says they are backed up to iCloud but do not sync to other devices.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Organize, edit, and share shortcuts
Shortcuts can be reordered, duplicated, deleted, and grouped into folders. Duplicating a shortcut gives you a copy to use as a starting point; deleting obsolete shortcuts keeps the list easier to navigate. Apple also supports syncing shortcuts between devices, while personal automations remain device-specific.
Before sharing a shortcut, review its information and actions. Remove personal data and any sensitive steps you do not want someone else to receive or run. A shortcut that works as a personal workflow may contain details or actions that are unsuitable as a shared template.

What to check if a shortcut or automation is unavailable
- An action or app is missing: The apps, services, and content shown in Apple’s Shortcuts guide are not available in every country or region. Check what appears on your device.
- A trigger is not listed: Trigger availability can vary with the installed iOS or iPadOS release. Verify the current options in the Shortcuts app rather than relying on instructions for another version.
- A shortcut stops during a run: Test it in the app and check which action needs attention, including whether an app requires permission or an earlier action needs to provide input.
- An automation asks before running: Review the trigger’s confirmation settings and the settings or requirements of its individual actions; they are not necessarily controlled by one switch.
