Choose Gemini when your notes and task list already live in Google Workspace; choose ChatGPT when you want to start with meeting or voice-note audio, or work through another supported connected app. Both can help turn information into next steps, but the documented workflows differ—and neither product’s official documentation establishes that it extracts tasks more accurately than the other. Check every task against the notes before adding it to a task manager.
How the workflows differ
The main distinction is where the information starts and where the tasks need to go. Gemini’s documented route connects Google Workspace information with Google Tasks, Keep, Docs, and eligible Meet features. ChatGPT’s Record feature starts with audio, while its connected apps can work with information in supported services and, where permitted, take actions.

When Gemini is the better fit
Notes and tasks are already in Google Workspace
Gemini Apps can connect to Workspace services to find or summarize information in Gmail, Docs, and Drive. With the relevant connection enabled, it can add or edit Google Tasks and create or retrieve Google Keep notes and lists. Google’s Tasks guidance says to connect Workspace to Gemini Apps; Keep Activity and supported service setup may also be prerequisites. Google’s connected-app instructions explain the setup, and its Google Tasks guidance covers task use.
For example, a user could ask Gemini to find project notes in Drive, identify explicit next steps, and add confirmed tasks to Google Tasks. This is a practical use of the documented connections, not a guarantee that every account or request will support the same actions.

Meeting notes should be saved as a Google Doc
In eligible Google Meet meetings, “Take notes for me” organizes generated notes in a Google Doc saved to Drive. Google describes the notes as covering summaries, decisions, action items, and details. Availability depends on the organizer’s Workspace edition and organizational settings. Google Meet’s feature guidance describes the workflow and its conditions.
Gemini in Meet can also answer questions about a discussion, such as “Are there any action items for me?” and provide takeaways, decisions, and action items. This requires an eligible Workspace subscription and is subject to language and meeting conditions. Google’s Ask Gemini in Meet guidance lists availability details.

Chat action-item summaries are a conditional option
Gemini in Google Chat can summarize a conversation and list action items—for example, in response to “What are the action items in this conversation?” Google’s cited help describes this as a Workspace Experiments or specified beta feature, so it should not be assumed to be available to every user. Google Chat’s Gemini guidance explains the feature and its availability.
When ChatGPT is the better fit
You want to start with a recording or voice note
ChatGPT Record can transcribe and summarize meetings, brainstorms, and voice notes. Its summaries are saved as canvases in chat history and can be transformed into deliverables such as project plans or emails. The cited OpenAI help page describes Record for the macOS desktop app and lists Plus, Enterprise, Edu, Business, and Pro workspaces as eligible. Check OpenAI’s current Record documentation for platform and plan details before relying on it.

A useful follow-up is to ask for a task list with the supporting note, an owner only when named, and a due date only when stated. Record is an audio-to-transcript-and-summary workflow; it does not make the generated tasks authoritative.
You need to work with a connected service
ChatGPT connected apps can retrieve information from services such as Google Drive or Slack. Depending on the specific app, they may support finding a file, summarizing a document, or taking an authorized action. OpenAI says availability varies by app, plan, region, workspace, role, model, and interface. OpenAI’s connectors guidance describes the general model.

OpenAI’s Google Drive app documentation gives “Update this document with the action items from our meeting” as an example. Whether ChatGPT can actually create or update a file depends on the action being available and authorized, as well as account access and workspace controls. The Google Drive app guidance covers those limits.
Keep an ongoing project’s context together
ChatGPT Projects can group related chats, files, and context for work such as planning or ongoing research. They can help keep source material and follow-up prompts organized, but they are not themselves a task manager. OpenAI’s Projects guidance explains how they work.

Check eligibility before choosing
Feature availability is account- and configuration-dependent; a feature documented by a vendor may not appear in a particular account. Before building a workflow around one, verify:
- Account and edition: Check whether the feature supports your personal or work account and subscription.
- Administrator controls: A work or school administrator may need to enable a Google connection, Meet feature, or ChatGPT app.
- Connection and permissions: Confirm the right account is connected and that the requested app action has been granted.
- Platform, region, and language: These can affect access; ChatGPT Record’s cited guidance specifically describes macOS desktop, while Google lists conditions for Workspace features.
Google’s connected-app, Tasks, and Meet instructions provide feature-specific setup and eligibility details: Gemini Workspace connections, Google Tasks with Gemini, and Meet note-taking. For ChatGPT, consult the current connectors and Record guidance.
Review extracted tasks before creating them
Meeting notes can misstate or omit details: Google says generated Meet notes may be incomplete or inaccurate, or may not generate, and recommends reviewing and editing them. Google also warns that Gemini can hallucinate or provide outdated information. OpenAI cautions that Record transcription can make mistakes. Treat extracted tasks as drafts, not confirmed commitments.
- Check the source: Make sure the note actually contains the commitment, rather than a suggestion, question, or tentative idea.
- Verify the task: Preserve the intended action and check any name, owner, date, or dependency against the original.
- Do not fill gaps by guessing: Mark an unstated owner or deadline as missing instead of inferring one.
- Confirm before sending or saving: Review the final task list and authorize any connected-app action yourself.
For a general-purpose prompt, try: “From these notes, create a task list. For each task, include the exact supporting note, owner only when explicitly named, deadline only when explicitly stated, and mark missing owners or deadlines as ‘not specified.’ Separate decisions from tasks. Do not infer commitments. Then ask me to confirm before creating tasks.” This is a suggested prompt pattern, not a vendor-guaranteed feature.
Is either one more accurate?
The official feature documentation cited here does not provide a controlled comparison using identical notes, nor an accuracy rate for task extraction. It supports choosing by workflow, destination, and eligibility—not declaring Gemini or ChatGPT the more accurate option. If accuracy is decisive, compare both on the same representative notes and check each proposed task against the source before adopting a workflow.
