To get more useful work features from Gemini, check three separate smart-feature controls—not just one toggle—and, if you use a work or school account, confirm that your administrator allows Gemini. The controls govern different kinds of personalization and data access. They can enable features such as finding information, summarizing content, and creating drafts, but Google does not claim that switching them on guarantees a productivity gain.
Which Gemini settings matter for work?
Google separates smart-feature controls into three areas. Choose based on where you want personalization or data use to apply; enabling one area does not mean you have enabled the others.

What does the Workspace smart-feature setting enable?
Google says turning on smart features for Google Workspace can enable cross-Workspace personalization and Gemini experiences that summarize content, create drafts, and find key information. Turning the setting off makes the listed experiences unavailable until it is enabled again. These are documented capabilities, not a promise that a particular task will be faster or that every account will see every feature.
Google’s smart-feature guidance describes these controls as choices about how information is used to provide features. Consider the benefit you want alongside your preference for personalization and data use.
How can Gemini use connected Workspace apps?
Google announced in May 2025 that Gmail, Drive, Docs, Calendar, Keep, and Tasks were generally available as connected Workspace apps for the Gemini app. When the apps are enabled and accessible to your account, Gemini can reference information from them to answer questions or help carry out tasks. For example, connecting an app can make its relevant information available as context instead of requiring you to provide it manually.

Why might a setting or Gemini feature be missing?
Account type and administrator controls
Gemini in the consumer Gemini app and Gemini features inside Workspace services are not interchangeable. For an organization-managed account, an administrator can enable or disable Gemini features in supported Workspace services. Google lists Enterprise Standard and Enterprise Plus, the Teaching and Learning add-on and Education Plus, and Google AI Pro for Education in its administrator guidance on managing access to Gemini features. Google also says users need smart features and personalization enabled to access Gemini in Workspace services.
If you use a work or school account and cannot find a feature, ask your administrator whether Gemini access is enabled for your account and service. The available settings and features can depend on the account and its organization.
Regional settings
Google says smart-feature settings are off by default for users in the European Economic Area, Japan, Switzerland, and the United Kingdom. If you are in one of these regions, check the current Google smart-feature settings guidance and your account’s controls rather than assuming the defaults are the same everywhere.

Google has described Gems as customizable versions of Gemini tailored to specific tasks, and in a September 18, 2025 post announced sharing Gems with Workspace teammates. Its current productivity overview describes Skills as reusable tailored instructions and says Google is transitioning from Gems to Skills. Names, workflows, and availability may change during that transition, so use the options shown in your account rather than relying on older click-by-click instructions.

How to choose settings without enabling more than you need
- Identify the task. Decide whether you need Gemini to find or summarize Workspace information, draft content, or reference material from connected apps.
- Open the relevant smart-feature controls. Review the separate options for Gmail, Chat, and Meet; Google Workspace; and other Google products. Enable only the scope that fits the features you want.
- Check connected apps separately. If you want Gemini to use Gmail, Drive, Docs, Calendar, Keep, or Tasks as context, confirm the app is enabled and available to your account.
- Check organization access. For a work or school account, ask your administrator if Gemini in Workspace services is unavailable or the controls are restricted.
- Revisit the live interface. Regional defaults and the transition from Gems to Skills can affect what appears. Use Google’s current help pages and your account’s displayed settings for the latest options.
