A notebook, calendar, spreadsheet, or farm software can work; the best choice is the simplest system people on the farm will keep accurate and use.
Why farm records matter
Records reduce reliance on memory and guesswork. They can help identify productive livestock, compare crop practices, and inform management decisions. Maryland Extension describes recordkeeping as a basis for decisions rather than memory, while UF/IFAS Extension explains how production records can support decisions about livestock and crop practices.
The aim is not to document everything. Keep information that can help answer a real question: What worked in this field? When did the problem begin? Which animals performed well? What did this activity cost?
Build a repeatable capture-and-review habit
The “memory loop” below is a practical way to apply Extension guidance, not a formal or validated method. Each step helps turn an observation or completed task into information that can guide a later choice.

Notice and capture
Write a short note when an event, observation, treatment, task, or result occurs. A field notebook, calendar, spreadsheet, or phone app can all serve. Maryland Extension recommends short, consistent notes rather than waiting to create perfect records.

Give the note context
Include enough detail to find and interpret it later: the date, field or location, crop and variety, animal identifier, input, or season, as relevant. Crop records are more useful when inputs and yields are connected to fields and dates; livestock records need identifiers that distinguish one animal from another.

Use consistent categories
Keep names and categories stable over time. If one person records a field as “North 5” and another calls it “N-5,” future searching and comparisons can become harder. For digital tools, consider whether structured entries, data import and export, offline access, and reports fit the operation.

Review before a decision
Before planting, treating, rotating pasture, making a purchase, or setting a budget, look at the records relevant to that choice. Wisconsin and Oklahoma State Extension guidance describes records feeding summaries or reports that can support production and business decisions.

Record what happened next
After acting on what the records suggest, note the decision and its outcome. That creates a useful basis for the next review instead of leaving the result to memory.
Choose records that answer your farm’s questions
What to record depends on the farm’s enterprises and the decisions its people need to make. These are options, not a mandatory checklist.

Crops and fields
- Field or location, crop and variety, and planting date or rate
- Seed, fertilizer, and other inputs
- Pest, disease, pesticide, or irrigation events
- Harvest date, yield, and field history
Livestock
- Animal identification and inventory, including births, deaths, sales, and purchases
- Breeding, outcomes, illness, and treatment
- Feed, pasture rotations, and rest periods
- Weights and production performance
Whole-farm context
- Paid and unpaid labor, if useful for management or reporting
- Relevant weather events
- Income and expense receipts, invoices, checks, and bank statements for the farm’s financial recordkeeping needs
Pick the least cumbersome system that will work
There is no universally best farm recordkeeping tool. Wisconsin Extension describes paper, electronic, and outsourced approaches, while Illinois Extension notes that no software program meets every farm’s needs. Compare the options against the people who will enter the information, how quickly it needs to be retrieved, and the decisions it must support.

Before adopting a digital system, consider whether staff can enter records consistently and retrieve them when needed. Oklahoma State Extension advises reviewing current records and assessing the value of a software system before purchase. A tool with more features is not automatically more useful if it adds friction or goes unused.

Evaluate farm software by workflow, not feature count
Vendor pages can help you understand what a product says it offers, but they are not independent evaluations. Features can change, and product descriptions should not be treated as proof that a tool is right for a particular farm.
- Entry: Can people record the relevant events without creating an unreasonable extra task?
- Organization: Can records be tied to the farm’s actual units, such as fields, crops, animals, and seasons?
- Retrieval and reporting: Can users find past records and summarize them for the decisions they make?
- Connectivity: Will the workflow work where records are entered, including any needed offline use?
- Portability and cost: Check data export, price, and the time required to learn and maintain the system.
For example, Agworld’s Essentials page describes recording spray, fertilizer, seeding, harvest, and field observations, with notes, photos, map annotations, and offline access. Farmbrite’s farm-management page and pricing page describe crop, livestock, task, recordkeeping, mobile, offline, and reporting features. These are vendor descriptions, not independent tests; check current capabilities and pricing directly with the providers.
Keep the system simple enough to maintain
University of Wisconsin–Madison Division of Extension Farm Management Outreach Specialist Katie Wantoch puts the trade-off plainly: “Recordkeeping is best kept simple. There is no best recordkeeping system for all situations.” The right system is not the most elaborate one; it is the one that provides essential information on time and makes useful records findable without making accurate entry feel burdensome.
