Cloud services facilitate workplace collaboration by making shared files accessible across locations, enabling teams to edit common documents, connecting communication with shared work, and allowing controlled collaboration with outside partners. These are capabilities, not guaranteed productivity gains: access depends on network connectivity, accounts, permissions, devices, and organizational security settings.
What cloud collaboration means
NIST defines cloud computing as “a model for enabling ubiquitous, convenient, on-demand network access to a shared pool of configurable computing resources” such as networks, storage, applications, and services. In workplace collaboration, that means teams use networked services to reach and work on shared resources instead of relying only on files stored on one office computer or local server. It does not mean every file is public or every user has access.
Here are four practical ways cloud services can support that work.
1. Reach shared work from different locations and devices
Cloud-hosted files can be accessed through supported browsers and devices, including phones and home computers, subject to the service and the organization’s policies. This can reduce dependence on a particular office computer or local network share. Microsoft describes these access patterns for SharePoint and OneDrive, as well as cloud-service access for hybrid staff: Microsoft 365 collaboration with SharePoint and OneDrive.

Access is not automatic or universal. A person needs an appropriate account and permission, a working connection, and a device allowed by the organization. Administrators may limit access by user, device, or other security settings.
2. Edit a shared document and track changes
When supported files are stored in a collaboration service, multiple people may be able to work on the same document rather than emailing separate copies back and forth. Microsoft documents simultaneous editing that can show who else is working and where, along with version history for reviewing or restoring earlier changes. Microsoft Learn says, “Version history is also on by default, so users can view earlier changes and roll back as necessary.” This describes Microsoft 365, not every cloud platform or file type: Microsoft 365 collaboration with SharePoint and OneDrive.

A shared version and recoverable history can make it easier to find the current draft and undo an unwanted change. They do not eliminate every editing conflict, and behavior varies with the application, file format, and service.
3. Connect communication with files and tasks
Some cloud suites bring chat, calls, online meetings, files, and tasks into connected workspaces. For example, Microsoft describes Teams communication alongside SharePoint and OneDrive workspaces and shared tasks; Microsoft Learn also presents Teams as a place to communicate and work with files: Microsoft 365 collaboration with SharePoint and OneDrive and Get started with Microsoft Teams.

Integration can help teams keep discussion and shared materials close together, but the available features depend on the service, setup, and license. 4. Collaborate with people outside the organization
Cloud sharing can let a team work with clients, suppliers, or other partners without repeatedly sending file copies. Microsoft documents external sharing controls and shared channels, as well as options to restrict or block outside access: Microsoft 365 collaboration with SharePoint and OneDrive.
External collaboration should be governed rather than assumed to be open or safe by default. Organizations need to set appropriate permissions for the material, apply identity controls, and choose a sharing method that fits their policies.

Security and access still need attention
Working from outside the office can involve access to non-public organizational resources. NIST defines remote access as “the ability to access their organization’s non-public computing resources from locations other than the organization’s facilities” and notes related security considerations: NIST IR 7966, Security of Interactive and Automated Access Management Using Secure Shell (SSH). Cloud collaboration therefore depends not just on features, but also on decisions about accounts, permissions, devices, and data governance.
What cloud collaboration can—and cannot—establish
The documented capabilities support access, co-authoring, version recovery, integrated communication, and controlled external sharing. They do not establish a reliable numerical productivity gain attributable to cloud collaboration. Vendor descriptions explain what their services offer; they should not be treated as independent proof that a particular organization will become more productive.
If you are evaluating collaboration services, compare whether they support the file types and co-authoring your team needs, access across web and mobile devices, integrated communication, external-sharing controls, identity and security management, and compatibility with your existing tools. The cited documentation describes Microsoft capabilities but does not provide a neutral, side-by-side ranking of platforms.
