Start with a template that matches where your data enters and where it must go. Use a Microsoft Forms template in Power Automate to collect answers and trigger work, Power Automate desktop when you must enter data into an existing website, Acrobat Fill & Sign for completing an existing PDF, and Acrobat’s form-authoring or web-form tools when you need to create a reusable form. Add Acrobat Sign or other connectors only when approval or a legally meaningful signature is part of the process.
Choose the right kind of form automation
“Form filling automation templates” describes several different jobs. Decide which one you have before choosing a product or template.

Filling an existing form is not the same as authoring one. Neither is the same as collecting a signature. Keeping those stages separate prevents a template from appearing to work while leaving a manual or legally important step outside the automation.
Microsoft Forms and Power Automate templates
Start with a gallery template
- Open Power Automate and select Create, then browse or search the template gallery for Microsoft Forms.
- Choose the closest match. Microsoft Learn calls starting with a template “the easiest way to add a form to a flow.”
- Review the trigger, usually a new response, and every action that follows it.
- Connect the requested services, then replace example form IDs, destinations, recipients, and field mappings with your own.
- Save and run a test response. Check both the submitted values and the downstream record, email, file, or task.
A close match is a starting point, not a guarantee that the fields or destination fit your process. Power Automate lets you add, edit, or remove triggers and actions. If the gallery has no appropriate pattern, create a flow from scratch and define the trigger and actions explicitly.

Mapping and validation checklist
- Give questions stable, descriptive names before mapping them.
- Handle optional answers and empty strings deliberately; do not assume every response is present.
- Convert dates, numbers, and choice values to the format expected by the destination.
- Decide what happens when a downstream service is unavailable: retry, queue, notify an owner, or stop.
- Store only the data the process needs and restrict access to response content.
Automating an existing website with Power Automate desktop
For a form that already lives on a web page, Power Automate desktop uses browser automation actions rather than a generic cloud form template. Microsoft’s webpage automation guidance describes installing or configuring the supported browser extension, creating or attaching to a browser instance, and capturing webpage UI elements.
Build the flow
- Install and configure the Power Automate browser extension required for your browser.
- Create a desktop flow and add Launch new browser or Attach to running browser.
- Navigate to the target form and capture each input, select, checkbox, and button as a webpage UI element.
- Add browser actions such as Populate text field on web page, selecting an option, checking a box, and pressing a button.
- Insert waits where the page loads data asynchronously. A selector-based wait is preferable to an arbitrary long delay when the page supports it.
- Run with test data, confirm the visible result, and add an explicit success check before continuing.
Captured elements are tied to the page structure available when you build the flow. A site redesign, changed labels, login challenge, consent dialog, or dynamically generated control can require recapturing elements and revising the flow. Test the actual target page and revisit the automation when that page changes. Automation availability does not mean every site permits automated submission; follow the site’s terms and your organization’s access rules.
When browser automation is the wrong layer
If you own the receiving application, an API or direct data connector is usually less fragile than simulating clicks. Use browser automation when no suitable integration exists, when the process genuinely requires the page UI, or when a human must inspect the rendered result. Keep credentials in the platform’s approved connection or secret mechanism rather than typing them into actions or source files.
Fill and reuse PDF forms with Acrobat
Complete an existing PDF
Adobe’s Fill & Sign guidance covers entering values, adding a signature, and sending the completed file. Acrobat can save an autofill collection so recurring details can be reused. Treat that collection as sensitive: protect the Adobe account and device, and review where completed files are stored and shared.

- Open the existing PDF in Acrobat and choose Fill & Sign.
- Select a field or place text where the PDF has no interactive field.
- Add or select the required signature, then verify names, dates, and attachments.
- Save a new copy with a meaningful filename and send it through the required channel.
This path completes a document; it does not create a reusable data-collection workflow by itself.
Create a fillable PDF from a scan or document
Use Acrobat’s fillable-form tools when the source is a scan or an authored document. Acrobat can detect likely fields, after which you should inspect every field, correct its type and name, set required status and validation, and test keyboard order. Only then distribute the PDF for repeated completion.
Create web forms and signature workflows
Publish a web form from a template file
Adobe’s Create web forms workflow starts from a file and publishes a browser-based form. Adobe states that this feature requires Acrobat Pro or Acrobat Pro for teams; confirm your current entitlement before designing a process around it. A web form is appropriate when respondents should submit online rather than exchange PDF files.
Add approval or e-signature routing
When a document must be approved or signed, use a signature workflow rather than treating a typed field as an approval. Adobe documents reusable Acrobat Sign workflows in Power Automate. The flow must include at least one Acrobat Sign connector before it can be saved, so identify the connector and destination accounts during design. Define recipients, signing order, reminders, storage, and what constitutes completion.

Adobe advertises more than 75 ready-to-use templates for its PDF Services and Acrobat Sign connectors on its developer integration page; treat that count as Adobe’s product claim and verify the current catalog before selecting one.
A repeatable design for multi-record processing
- Collect: receive a response, file, or record and assign a unique correlation ID.
- Validate: check required values, formats, permissions, and duplicate submissions.
- Transform: map names and formats to the target PDF, web fields, or data store.
- Fill: populate the document or page, using a browser instance only when necessary.
- Verify: check a success indicator, generated file, or returned record rather than assuming the last action succeeded.
- Route: send for storage, approval, or signature and record status.
- Recover: retain enough diagnostic information to retry safely without creating duplicate submissions.
Reliability, performance, and data handling
- Prefer stable IDs, API connectors, and named fields over screen coordinates.
- Use idempotency where possible: a retry should update or recognize an existing record instead of submitting twice.
- Wait for a specific element or state when a page loads asynchronously; excessive fixed delays slow every run.
- Separate test and production forms, files, recipients, and connector accounts.
- Log status, timestamps, correlation IDs, and failure reasons, but avoid logging full personal or financial form contents.
- Re-test after browser, page, PDF-template, or connector changes.
Common failures and fixes
The template trigger never runs
Confirm the correct form ID and connection, save the flow, and submit a new response rather than relying on an old one. Check run history for a trigger failure before changing actions.
A web field cannot be found
Reattach to the correct browser instance, confirm the extension is enabled, and recapture the webpage UI element. If the page changed or renders the control inside a different frame, update the element and add a state-based wait.
Values appear in the wrong format
Normalize dates, decimals, locale-specific numbers, and choice labels before the fill action. Test empty and boundary values, not only a typical record.

A PDF has no usable fields
Switch from Fill & Sign completion to Acrobat’s form-authoring workflow, create and inspect fields, then distribute the corrected template.
Signing or approval cannot be saved
Check that the required Acrobat Sign connector is present and authenticated, then verify recipient permissions and the configured destination.
Duplicate submissions occur after a retry
Add a correlation ID, search for an existing result before submitting, and make the retry branch explicit. Do not blindly rerun a browser click sequence.
