If you can’t open a shared Freeform board, send an invitation, or edit with other people, check software support and each participant’s Apple Account and iCloud settings first. Apple requires collaborators to be online, signed in, have Freeform enabled in iCloud, and use two-factor authentication. If the board opens but someone can’t edit, review the board’s sharing permissions.
First identify where collaboration is failing
The right check depends on what happens: a shared-board link may not open, an invitation may not reach or be accepted by someone, or a participant may open the board but lack editing access. Freeform shared boards use iCloud, and collaborators see the latest changes when they are online and signed in. Work through the relevant checks below rather than assuming every failure has the same cause.
- Link won’t open: check the device’s software version and Freeform’s iCloud setting.
- Invite won’t send or be accepted: check participant setup and, if you used Messages, iMessage.
- Board opens but editing is unavailable: check the shared-board access and participant permissions.
Check device support and update iOS or iPadOS
For shared-board links, Apple’s troubleshooting guidance lists iOS 16.2, iPadOS 16.2, macOS Ventura 13, or visionOS 1 or later. These thresholds apply to shared-board links; Apple lists different requirements for other link types, so don’t apply them to sharing a copy or a folder. If the device is already on a supported version, continue to the iCloud setting. Apple’s guide recommends updating the operating system and enabling Freeform in iCloud when a supported device still cannot open a shared-board link.

Turn on Freeform in iCloud
- Open Settings on the iPhone or iPad.
- Tap your name, then tap iCloud.
- Tap See All or Show All in the apps using iCloud list.
- Turn on Freeform.
Apple says a device that is not signed in to an Apple Account, or has Freeform turned off in iCloud, cannot access its iCloud boards. The same setting should be enabled on each participant’s device. See Apple’s iPhone guide to setting up iCloud for Freeform.
Confirm every participant meets the collaboration requirements
Check the setup on the owner’s device and ask each invitee to check their own device. Apple says full use of collaboration features requires every participant to meet all four conditions:

- Be online.
- Be signed in to an Apple Account.
- Have Freeform turned on in iCloud.
- Have two-factor authentication set up for the Apple Account.
Apple documents these as collaboration requirements; a participant who has not completed one of them may be unable to collaborate fully. For guidance, see Apple’s iPhone guide to collaborating on a Freeform board and Apple’s iPad guide to collaborating on a board.
Check the invitation method
People invited to view or edit a shared board must be signed in to an Apple Account and use iOS 16.2, iPadOS 16.2, or macOS 13.1 or later. If you sent the invitation through Messages, both you and the invitees must have iMessage turned on. iMessage is a requirement for that invitation route, not for invitations sent through every method.

If Messages is the problem, verify iMessage on both ends or send the invitation using another method available in the board’s sharing controls, such as Mail. Apple’s collaboration guides describe sharing through Messages or Mail.
Review access and participant permissions
If someone can open the board but cannot make changes, the issue may be the board’s access setting or that participant’s permissions. The board owner can use the sharing controls to review who has access and whether they can edit.

- Open the shared board and its collaboration controls.
- Choose Collaborate, then Manage Shared Board.
- Review the participant list and permissions, and adjust them if needed.
- To invite another person, choose Share With More People and select a sharing method.
Apple’s interface labels may vary with the installed software version. The owner, rather than an invitee, manages the shared board’s participants and access. See Apple’s collaboration guide.
If the documented checks don’t resolve it
If all participants meet Apple’s stated requirements, the invitation method is set up correctly, and the board permissions allow the intended action, the cited Apple guidance does not establish a single further cause or universal repair.
