1. Create your Dropbox account and choose where to use it
Go to Dropbox and create an account, then choose the Basic plan or a paid plan if you need more storage. Dropbox Basic starts with 2 GB of storage. Dropbox’s October 2025 setup guidance says a Basic account can connect up to three devices.
You can use Dropbox in three ways:
- Website: Sign in at dropbox.com to upload, organize and share files from a browser.
- Desktop app: Install Dropbox for Windows or macOS. It creates a Dropbox folder in File Explorer or Finder and synchronizes files placed there.
- Mobile app: Install the Dropbox app for iOS or Android to browse files and upload photos or other files from your phone.
Install only the apps you need. The website is enough for occasional transfers; the desktop app is more convenient when Dropbox should behave like a normal folder on your computer.
2. Upload a file or folder
Upload through the Dropbox website
- Sign in at dropbox.com.
- Select Upload.
- Choose File or Folder, select the item on your computer, and confirm.
- Wait for the upload to finish before closing the browser tab.
Dropbox’s upload help updated April 21, 2026 lists a maximum of 350 GB per file or folder uploaded through dropbox.com. Limits and availability can change, so check Dropbox’s current upload guidance for an unusually large transfer.

Upload with the desktop app
- Install and sign in to the Dropbox desktop app.
- Open the Dropbox folder in File Explorer or Finder.
- Drag files into it or copy and paste them there.
- Leave the computer connected to the internet while Dropbox synchronizes the items.
The same April 21, 2026 Dropbox article lists a maximum of 2 TB per file or folder for desktop-app uploads. The desktop app first writes the file to your local disk, so you need enough free space for the transfer.
Upload from a phone
In the mobile app, open the folder where the item belongs, tap the add or upload control, select the file or photos, and wait for the upload indicator to complete. Large mobile uploads are more reliable on Wi-Fi and with the app allowed to run in the background.
3. Organize Dropbox so files are easy to find
Create folders with names that describe their contents, such as 2026 Tax Documents or Client Project – Website. Use subfolders for projects, dates or file types rather than putting everything in the root of Dropbox.
When creating a shared folder, select the people who should have access and choose Can edit or Can view. Access to a subfolder can inherit from its parent: a subfolder set to Everyone with access is available to everyone who can access that parent folder. Keep sensitive material outside broadly shared parent folders.

What syncing does
Syncing keeps a Dropbox copy and connected devices aligned. If you edit a synchronized file on one device, the change is uploaded to Dropbox and then delivered to other connected devices. A deletion or rename can also propagate, so treat a synchronized folder as a shared working copy rather than an independent archive.
Online-only versus available offline

Online-only files still appear in the Dropbox folder, which can make them look locally present. They cannot be opened without an internet connection until you make them available offline.
Why backup is different
Dropbox Backup creates a safety copy of files from a computer or external drive. It is not ordinary two-way synchronization: changes made to backed-up files in Dropbox do not update the original computer or drive. Dropbox explicitly says, “Backed-up files aren’t meant for sharing.” Use the synced Dropbox folder for collaboration and Backup for recovery of source files.
An external hard drive is optional. It can provide local storage or another backup layer, but it is not required to use Dropbox.
5. Share files with the right permission
Shared folder for collaboration
Invite people to a shared folder when they need an ongoing workspace. Can edit can allow recipients to add, edit, download, delete and reshare content, depending on the account and team settings. Give edit access only to people who should be able to change the contents.
View-only link for distribution
Use a view-only link when recipients should read or download a file without changing the Dropbox copy. Dropbox says recipients can view and download from dropbox.com without a Dropbox account for this link type. Copy the link from the file or folder’s Share control and test it in a private browser window before sending it.
File request for collecting material
Create a file request when other people need to send files to you. Dropbox says contributors can use a file request without having Dropbox accounts, making it useful for collecting documents, photos or assignments without granting access to your existing folders.
Passwords, expiration and team controls
Password protection and link-expiration settings are available only on certain Dropbox plans. Team administrators can also control sharing defaults, so a control shown in one account may be absent in another. Review the options displayed in your account instead of assuming every link has the same restrictions.

6. Verify that a file has synced
On Windows, select the Dropbox icon in the taskbar notification area. On macOS, select the Dropbox icon in the menu bar. The desktop app’s Sync & storage dashboard can show progress, sync problems and Dropbox or local-disk usage.
- Your files are up to date: Dropbox has finished syncing the current changes.
- Indexing: Dropbox is preparing files for synchronization.
- Syncing: The status shows a file name or an item count still being transferred.
- Paused: Resume syncing, then wait for the status to return to up to date.
- Unable to sync: Open the listed issues and follow the repair steps. Common causes include an invalid file name, a locked file, insufficient disk space or a disconnected account.
Before sharing a newly uploaded file, wait for “Your files are up to date,” then open the file on dropbox.com or another device to confirm that the correct version is present.
7. A reliable first-use checklist
- Create the account and install the desktop or mobile app if needed.
- Create a clearly named folder for your test file.
- Upload one small file.
- Confirm the desktop status says “Your files are up to date,” if you are using the desktop app.
- Open the file on dropbox.com to verify the uploaded version.
- Choose view-only, edit access or a file request based on what the recipient must do.
- Send the link or invitation and check the permission before sharing sensitive content.
How much storage do you need?
Dropbox Basic provides 2 GB. If your account reaches its limit, remove unneeded files, move content elsewhere or review Dropbox’s current paid storage options. Dropbox’s July 8, 2026 storage guidance lists 2 TB for Dropbox Plus; plan names, availability and terms can change.
