If you are looking for free alternatives to Notion, five tools stand out for different jobs: AppFlowy is closest structurally, Obsidian is best for local notes, Anytype emphasizes privacy and offline use, Microsoft Loop suits Microsoft users, and Trello is strongest for visual task boards. None is a universal Notion replacement, and several free tiers have limits.

Notion’s free plan is aimed at individuals organizing personal projects and tasks, so replacing Notion makes sense only when another tool better matches your workflow, privacy requirements, collaboration setup, or tolerance for local administration. The five choices below are alternatives to different parts of Notion—not interchangeable copies of the entire product.

Key takeaways

  • AppFlowy is the closest free alternative to Notion for pages, blocks, projects, databases, and collaborative workspaces.
  • Obsidian’s core application is free for personal, commercial, nonprofit, educational, and government use, and it stores user data locally unless optional services are enabled.
  • Anytype is the strongest privacy and offline-first choice, but its free hosted tier lists 100 MB of remote storage and 10 shared channels.
  • Microsoft Loop is available through personal Microsoft accounts, although storage and feature behavior differs between personal, work, and school accounts.
  • Trello’s free plan supports up to 10 collaborators per workspace and is better for visual task management than for long-form documents or interconnected knowledge.

Which free alternative to Notion should you choose?

The right choice depends on the part of Notion you actually use. Choose AppFlowy for the closest page-and-database structure, Obsidian for local personal notes, Anytype for privacy and connected information, Microsoft Loop for Microsoft-centered collaboration, and Trello when your real requirement is a visual task board.

Tool Best fit What the free access includes Main limitation
AppFlowy Notion-like pages, blocks, projects, databases, and collaboration One collaborative workspace for up to two members, unlimited pages and blocks, 5 GB of storage, search, mobile access, real-time collaboration, and limited AI features on the listed free plan Managed-cloud member and storage limits; self-hosting requires administration, backups, hosting, and updates
Obsidian Personal knowledge management, research, writing, and linked notes Core application free for personal, commercial, nonprofit, educational, and government use; no account is required and data remains local unless an add-on service is used Not a ready-made team workspace; Sync, Publish, collaboration, databases, and some publishing workflows may require paid services, plugins, or configuration
Anytype Privacy-conscious, offline-first, connected information Unlimited private channels, 10 shared channels, and 100 MB of remote storage on the listed free tier Free hosted storage is limited; Anytype distinguishes open-source protocols from source-available applications
Microsoft Loop People already using Microsoft accounts, OneDrive, Teams, Office, or Microsoft 365 Loop web, iOS, and Android access for anyone with a personal Microsoft account Some features depend on OneDrive or SharePoint storage, and personal-account components do not behave exactly like work or school account components
Trello Kanban boards, task tracking, editorial pipelines, and household projects $0 Free plan for up to 10 collaborators per workspace, up to 10 boards, unlimited cards, unlimited Power-Ups per board, 10 MB per-file storage, assignments, due dates, mobile apps, and two-factor authentication Focused on cards, lists, boards, and workflow rather than broad documents, databases, or knowledge management

Notion itself can remain the best choice if a free individual workspace already handles your needs. Notion describes its free plan as aimed at individuals organizing personal projects and tasks, so replacing Notion is most useful when a different architecture—local files, privacy, a simpler board, or an existing Microsoft ecosystem—solves a specific problem better. See Notion’s official plan documentation for the plan context.

What is the closest free alternative to Notion?

AppFlowy is the closest free alternative to Notion if you still want pages, databases, projects, and a familiar block-based workspace. AppFlowy presents itself as an open-source workspace for projects, wikis, teams, notes, tasks, and databases. Its product page also highlights custom views, blocks, properties, mobile applications, offline operation, local AI, and self-hosting.

AppFlowy is therefore the most natural first test for a Notion user who wants to preserve the overall mental model. A page can remain a page, a project can remain a structured workspace, and database-style organization remains central rather than being replaced by a completely different note or board system. The official AppFlowy workspace overview describes those capabilities without suggesting that every Notion feature behaves identically.

Is AppFlowy’s free plan unlimited?

No. AppFlowy’s listed managed-cloud free plan has explicit workspace and storage limits. The official AppFlowy pricing page lists one collaborative workspace for up to two members, unlimited pages and blocks, 5 GB of storage, search, mobile access, real-time collaboration, and limited AI responses and images.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

AppFlowy also offers a self-hosting path. Self-hosting can reduce dependence on a vendor-managed cloud and gives the operator more control, but “free software” does not mean zero total cost. A self-hosted AppFlowy installation may require a server or hosting provider, administration, backups, monitoring, security updates, and recovery planning. Choose self-hosting because you can operate it reliably—not merely because the software license or download costs nothing.

Is Obsidian really free?

Yes, Obsidian’s core application is free for personal, commercial, nonprofit, educational, and government use, and users can download it without creating an account. Obsidian’s License Overview dated February 20, 2025 says user data is stored locally on the device and is not sent to Obsidian’s servers unless the user chooses add-on services such as Sync or Publish.

Blue Sky 2026-2027 Weekly & Monthly Academic Planner, 8.5"x11", Enterprise
  • [STAY ORGANIZED ALL YEAR] July 2026 - June 2027 professional day planner with 12 months of monthly and weekly pages for easy academic planning and scheduling; 2 additional monthly pages (May 2026 - June 2026) are included
  • [MONTHLY LAYOUTS] Monthly layouts contain previous and next month reference calendars for long-term planning, and a notes section for important projects; Major holidays listed, elapsed and remaining days noted
  • [WEEKLY LAYOUTS] Weekly view pages offer ample lined writing space for more detailed planning, allowing you to keep track of your appointments, reminders, ideas and to-do lists every day of the week
  • [YEARLY OVERVIEW] Yearly calendar planner includes a convenient list of holidays, reference calendars, contacts pages and extra notes pages to accommodate your scheduling needs
  • [BUILT TO LAST] Designed with a flexible cover and premium pages that endure daily use while maintaining a sleek, professional look. Printed on quality FSC-certified paper with convenient laminated tabs that are durable enough to handle daily use throughout the school year

That makes Obsidian the strongest free alternative to Notion for a person who mainly writes notes, stores research, builds a personal knowledge base, or wants linked notes in local files. The local-first model also changes the ownership question: your workspace is not dependent on an account simply to open and edit your notes.

Can Obsidian replace Notion for a team?

Obsidian is not a one-for-one team replacement for Notion. Obsidian is a powerful free notes and knowledge-management application, but built-in collaboration, databases, and publishing workflows may require plugins, configuration, or optional paid services. Obsidian Sync and Obsidian Publish are upgrade paths for readers who need hosted synchronization or publishing; payment is not required to use the core application.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Choose Obsidian when local ownership and personal thinking matter more than a ready-made shared workspace. Do not choose it solely because a Notion page contains tables or databases: reproducing a collaborative database workflow may involve a different setup and more maintenance.

Why is Anytype a strong private alternative to Notion?

Anytype is the most compelling free Notion alternative for readers who want a private, offline-first, connected workspace. Anytype describes its system as local-first, offline-first, encrypted, and designed for notes, tasks, ideas, documents, workflows, and connected information. Its model is closer to organizing objects and relationships than simply arranging conventional pages and tables. The Anytype FAQ explains the product’s local-first and protocol approach.

Anytype’s privacy model is a material difference, not just a marketing label. Anytype’s Terms of Use state that private content is encrypted before leaving the device and that Anytype cannot technically decrypt that content. Users can also use local-only mode or self-host their own network.

How much remote storage does Anytype’s free plan provide?

Anytype’s listed free tier provides 100 MB of remote storage, 10 shared channels, and unlimited private channels. The official Anytype pricing page lists additional remote storage and larger sharing or identity allowances for paid tiers.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

The distinction between local use and hosted synchronization matters. Anytype can be highly capable in local-only mode, but shared and remotely synchronized work is subject to the free plan’s limits. Do not interpret “free application” or “offline-first” as unlimited free cloud storage. Also avoid calling Anytype fully open-source without qualification: Anytype distinguishes open-source protocols from source-available applications.

Does Microsoft Loop work as a free Notion alternative?

Microsoft Loop makes the most sense when your notes and project work already live near Microsoft 365. Microsoft Support says the Loop web, iOS, and Android apps are available to anyone with a personal Microsoft account. That makes personal-account access a legitimate no-cost way to evaluate Loop, but it does not establish that every Loop feature is universally free or independent of Microsoft’s storage services.

Microsoft says that some Loop functionality depends on OneDrive or SharePoint storage and that Loop workspaces and pages count toward Microsoft storage quotas. Personal-account Loop components are also not supported across Teams, Outlook, and other Microsoft applications in exactly the same way as work or school accounts. Review Microsoft’s Loop access documentation before choosing Loop for a group that mixes personal and organizational accounts.

Loop is a good fit when the surrounding Microsoft account, storage, and collaboration context is already in place. Loop is a weaker standalone recommendation for someone seeking a provider-neutral personal knowledge base or a self-hosted workspace.

Is Trello a better choice than Notion for task management?

Trello is the honest free alternative when you do not need another all-in-one workspace and simply need a clear visual board that moves tasks forward. Trello centers on cards, lists, boards, due dates, assignments, and workflow automation. That narrower scope is an advantage for Kanban-style work, editorial pipelines, household tasks, and lightweight project tracking.

Trello’s official pricing page lists a $0 Free plan for up to 10 collaborators per workspace. The listed free features include unlimited cards, up to 10 boards, unlimited Power-Ups per board, 10 MB per-file storage, assignments, due dates, mobile apps, and two-factor authentication. Check the official Trello plan details if file limits or team size will determine the decision.

Trello is not a general-purpose Notion clone. Long-form documentation, interconnected knowledge, and broad database modeling are not its central purpose. Trello is a better choice when the limitation is useful because it removes distractions; Trello is a worse choice when the reader needs a document-and-database system in the same workspace.

If your main Notion use is… Start with… Why Reconsider if…
Pages, databases, projects, and team collaboration AppFlowy It preserves the closest overall workspace structure and offers managed cloud plus self-hosting paths The two-member free cloud limit or self-hosting workload does not fit
Personal notes, research, writing, and linked knowledge Obsidian The core app is free, local, and usable without an account You need a polished shared workspace without plugins or additional configuration
Private information, offline use, and connected objects Anytype Local-first encryption, offline operation, and relationship-based organization are central to the product You need substantial free remote storage or broad shared access
Work already organized around Microsoft accounts and services Microsoft Loop Personal-account apps are available and the tool fits naturally beside Microsoft collaboration software You need personal and work/school account behavior to be identical
Cards, due dates, and a visual workflow Trello The free plan provides a focused board system with generous card and board basics You need long-form documentation or interconnected databases

How should you test a Notion alternative before migrating?

Test one representative workflow before moving an entire Notion workspace. A small trial exposes missing views, permissions, attachments, mobile behavior, and storage constraints while the original workspace remains available.

  1. Export or duplicate a small sample. Use one Notion project, a small notes collection, or one task board rather than starting with the complete workspace.
  2. Recreate one database-like workflow. Test properties, filtering, views, relationships, or equivalent organization in the candidate tool.
  3. Recreate one long-form document. Check headings, embedded content, attachments, links, editing, and export behavior.
  4. Test the daily access pattern. Check offline access, mobile behavior, search, sharing, permissions, and export options on the devices and accounts you actually plan to use.
  5. Confirm the free-tier limits. Check storage, collaborators, boards, shared channels, account requirements, and any dependency on OneDrive, SharePoint, or another hosted service.
  6. Keep an independent backup. Do not assume that an import feature preserves every Notion relation, view, attachment, or permission.

AppFlowy’s official release notes document Notion ZIP-file import support and also show that import functionality has received fixes. That is a reason to test a small export and verify the result, not a guarantee that a full migration will be lossless.

What hidden costs should you check?

The main hidden costs are hosted storage, paid synchronization or publishing, account dependencies, and the operational work of self-hosting. A free download and a free cloud tier are not the same offer.

  • AppFlowy: the managed free plan has member and storage limits; self-hosting shifts responsibility for hosting, backups, maintenance, and security updates to you.
  • Obsidian: the core app is free, while Sync and Publish are optional paid services for hosted synchronization and publishing.
  • Anytype: local-only use is distinct from remote storage and sharing, which are limited on the free tier.
  • Microsoft Loop: access and functionality can depend on Microsoft account type and OneDrive or SharePoint storage.
  • Trello: the free plan has concrete workspace, board, and per-file storage limits even though cards and Power-Ups are generous.

The practical result is simple: select the architecture that matches your work, then validate the exact free limits before deleting or abandoning Notion. AppFlowy is the closest structural substitute, but Obsidian, Anytype, Loop, or Trello may be better if you only need one part of Notion.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

The Bottom Line

Bottom line: You probably do not need to pay for Notion if you choose around your actual workflow. Start with AppFlowy for a broad Notion-like workspace, Obsidian for local notes, Anytype for privacy and offline use, Microsoft Loop for Microsoft-centered work, or Trello for straightforward visual task management—but test the free-tier limits before migrating.
