To digitize business assets for a live stream, first identify what you have: paper documents and photographs need scanning or camera capture, existing digital files need preparation, and legacy video needs a working playback device plus a compatible capture path. Then prepare approved, readable assets and add them to your streaming scene as image, text, or media sources. The right method depends on the original format and your equipment.
Start by sorting assets and checking permission
Make three groups before choosing tools: paper documents and photographs, files that are already digital, and legacy or external video. A document scanner, a file transfer, and a video capture device solve different problems; there is no single digitizing workflow for all three.
- Confirm display rights. Make sure the business has permission to show each asset, including photographs, logos, music, and video.
- Review sensitive information. Remove, cover, or avoid broadcasting personal, confidential, or otherwise inappropriate details in documents and images.
- Decide how each item will appear. A logo may be a persistent overlay; a product image may be a scene element; a document may need a close-up; a prerecorded clip may be played as media; external video may need to be captured live.
Digitize paper documents and photographs
Use a scanner for flat, detailed originals
A scanner is usually a practical choice for paper documents and flat photographs when legibility and consistent framing matter. Scanner setup, drivers, and software depend on the scanner manufacturer. Adobe’s Photoshop guidance describes importing from a camera or scanner and recommends saving scans as TIFF before opening them in Photoshop: Adobe Photoshop: acquire images from cameras and scanners.
- Install the scanner manufacturer’s supported driver or scanning application for your computer and operating system.
- Scan the original at a resolution that keeps small text and important detail legible at the size it will appear on screen.
- Save a clean master file. For a scan that will be edited in Photoshop, Adobe recommends TIFF as the handoff format.
- Crop, rotate, and adjust the image as needed, then export a broadcast-ready copy in a format your streaming software accepts.
- Preview the result at the size and position it will occupy in the live scene; check that text remains readable.
Use a camera or phone when a scanner is unavailable
A camera or phone can capture documents and still images when scanning equipment is not available. Place the original on a flat surface, use even light, avoid reflections and shadows, keep the camera parallel to the page, and check focus before capturing. Crop and straighten the image afterward. For a document that viewers must read, test the final on-screen scale rather than assuming a high-resolution capture will remain legible when reduced in the stream.

Prepare assets that are already digital
Locate approved logo files, product images, banners, overlays, lower-thirds, text, and prerecorded clips before building the live scene. Keep reusable assets organized so the person operating the stream can find the approved version quickly. Adobe’s guidance discusses creating graphics for streams and organizing brand assets: Adobe: graphics for streaming and Adobe Creative Cloud: organize assets.
- Use the current approved logo and brand colors; avoid old campaign artwork unless it is intentionally part of the broadcast.
- Check that text, dates, product details, and contact information are current.
- Keep overlays and lower-thirds uncluttered, with enough contrast against the underlying footage.
- Prepare static graphics and prerecorded clips as separate files so they can be positioned, shown, or played independently in the scene.
Capture legacy or external video
Capturing video from an old tape or another external source requires a working playback device and a capture device whose input supports the playback device’s output. A capture card is not universal: connectors, signal formats, operating-system drivers, and software compatibility vary by model. - Identify the source format and the playback equipment required to play it reliably.
- Check the playback device’s available video and audio outputs.
- Before buying a USB video capture card, confirm that its inputs match those outputs and that its drivers support your operating system and streaming application.
- Connect the playback device to the capture device, then connect the capture device to the computer.
- In the streaming software, add the capture device as a video-capture source and confirm both picture and sound before the broadcast.
If a tape deck, adapter, cable, driver, or compatible capture input is missing, the computer alone cannot digitize the signal. Compatibility must be checked for the specific source device and capture model; the cited guidance does not establish that any one card handles every tape format or connector.

Add the digitized assets to a live scene
In OBS, add each item as the source type that fits its use. OBS documents image, text, media, and video-capture sources; consult its current source guidance for supported options: OBS: sources guide.
- Logo, banner, or product still: add an image source, position and scale it, and check that it does not cover essential content.
- On-screen wording: add a text source and verify spelling, contrast, and readability at the stream’s output size.
- Prerecorded clip: add a media source, test playback and audio, and confirm the clip starts and ends as intended.
- Legacy or external video: add a video-capture source and verify that the chosen device is selected and producing a stable picture.
Build the scene before going live. Check framing, legibility, audio levels, source order, and transitions in the preview. If you switch among multiple scenes, test the transition sequence rather than relying on a still image of each scene.

Connect the encoder to YouTube and verify the broadcast
YouTube describes webcam, mobile, and encoder routes. An encoder handles the outgoing stream and can connect external audio and video equipment for a more involved production. For an encoder setup, use the server URL and stream key provided by YouTube, then check the preview and stream status. YouTube’s setup steps and eligibility requirements can change, so confirm the current instructions in YouTube Help before publishing.
- In YouTube’s live control room, choose the encoder workflow and retrieve the current server URL and stream key.
- Enter those values in the streaming software’s YouTube or custom-server settings, following the software’s current interface.
- Keep the stream key private; anyone with access to it may be able to send a stream to the channel.
- Start the encoder and wait for YouTube to show an incoming signal and preview.
- Check picture, sound, framing, graphics, and stream status in the preview before starting the public broadcast.
Do not assume that successful ingestion means every asset is cleared for broadcast. You remain responsible for the rights and sensitive information in the material you display.
