This helps catch avoidable problems; it cannot predict how every employer’s applicant-tracking system (ATS) will handle a file.
What an ATS does—and what it cannot tell you
An ATS can collect and organize applications, parse resume details into candidate records, and let recruiters search those records. The available features and employer settings vary. Roche describes searches across skills, qualifications, experience, and other qualities, while Concordia explains how these systems may support the application process: Roche’s resume parsing FAQ and Concordia’s ATS and job-search guidance.
That variation matters: there is no universal ATS score or single formatting trick that guarantees an application will be found or accepted. A checker can help you review a document or compare text, but its result is not the score an employer’s system assigns.
Step 1: Keep the resume structure easy to parse
Make the document straightforward for both software and a person to follow. Use conventional headings such as Experience, Education, and Skills. Keep each role’s employer, job title, and dates together; use a consistent date format; and present information in one clear reading sequence with standard bullets.

Avoid relying on tables or complex layouts to convey essential details. Kent State’s career-services guidance cautions that some systems may skip tables and recommends standard bullets and consistent dates. That is a reason to choose a conservative layout, not proof that every ATS fails on tables: Kent State’s ATS resume guidance.
After arranging the document, check that it still reads naturally to a recruiter. Roche advises that the resume remain readable to the person receiving parsed information; machine extraction is not the only audience.

Step 2: Follow the employer’s file instructions
Check the application portal’s accepted file types and upload directions before choosing a format. Submit what the employer requests rather than assuming that PDF or DOCX always performs better.
Roche recommends PDF or DOCX in its candidate guidance and says DOCX is parsed most accurately in its context. Concordia also advises applicants to submit the requested format. If no format is specified, weigh the trade-off: PDF can preserve visual layout, while Roche’s stated parsing preference for DOCX applies to its own context, not every employer’s system. Step 3: Inspect the text a parser can see
A polished-looking page can still produce confusing extracted text. Copy the resume’s text into a plain-text editor or use an extraction checker, then read it in sequence. Verify that the following are present and associated correctly:
- Your name and contact details
- Section headings in a sensible order
- Employers, job titles, and dates for each role
- Bullets and their associated accomplishments
- Skills and credentials you intend to communicate
Look for missing characters, scrambled reading order, detached dates, or a skill list that appears in the wrong place. If extraction is poor, simplify the layout or adjust the source document, export it again, and repeat the check. An online checker can show what its own extraction process sees, but cannot certify how a particular employer’s ATS will process your application.

If you upload a resume to a web service, read its file-handling and privacy statements first. ATS Resume Tools says its utilities run in-browser without uploading resume text; that is the service’s own claim, not an independent audit. A keyword check should produce a review queue, not a target score. Compare the job description with the resume text, investigate missing terms, and add terminology only when it accurately describes your skills or experience. Relevant wording can make genuine qualifications easier to find; unsupported terms and hidden keyword stuffing misrepresent your background.

A transparent Python keyword check
This script takes two text files—one containing the job description and one containing your resume—normalizes case and punctuation, and reports terms found in the posting but not the resume. It checks individual words rather than understanding synonyms, context, or qualifications. Review the output manually.

For each relevant term, ask whether you can substantiate it with your actual experience, training, or credentials. If so, express it accurately in a relevant resume section; otherwise, leave it out.
The script is deliberately simple: a missing phrase may be present under a synonym, and a shared word does not prove that you have the capability the employer seeks. It also does not reproduce an employer’s ATS configuration. Concordia recommends tailoring relevant terms to the posting, and Roche describes recruiter searches of parsed candidate records: Concordia’s ATS guidance and Roche’s resume parsing FAQ.
Step 5: Review the results like a debugging report
Use each check to locate a specific problem, then retest the document you plan to submit:
- Information missing from extracted text: Simplify the layout or move the content into a conventional section, then extract again.
- Details appear out of order or separated: Rework the reading sequence so a role’s employer, title, dates, and bullets stay together.
- A job-ad term is missing: Check for a valid synonym or equivalent experience. Add the posting’s wording only if it truthfully describes your background.
- A checker shows a low percentage: Treat it as that tool’s result, not a universal ATS verdict. ResumeATS distinguishes its own checker scoring from employer systems, which are configured individually: ResumeATS.
Before uploading, confirm that the document meets the portal’s file requirements and that the final exported version still passes your text-order and content checks.
