Data persistence means keeping information available, intact, and recoverable when devices fail, files are deleted, accounts are compromised, or ransomware strikes. The dependable approach is layered: maintain several encrypted copies on different media, keep at least one copy away from the device, and regularly prove that restoration works.

What data persistence protects against

A laptop, phone, or server is not a safe archive by itself. Storage can fail, become corrupted, be stolen, or be encrypted by malware. Synchronization services can also replicate an accidental deletion or damaged file rather than preserve an earlier version.

A persistent-data plan separates the working copy from recoverable copies and defines how far back recovery must go and how quickly it must happen. It should cover personal files, photographs, credentials, business records, application data, configuration files, and encryption keys needed to open protected backups.

Start with the 3-2-1 backup rule

The 3-2-1 rule, published by US-CERT/CISA in 2011, is a practical baseline:

  • 2 media types: for example, an internal drive and an external drive, or local storage and cloud storage.
  • 1 off-site copy: stored in another location or with a properly vetted cloud provider.

Three copies do not help if every copy is permanently connected to the same computer or located in the same room. The rule is intended to separate failures by device, medium, and location. Add retention, version history, encryption, immutable or locked copies, and tested restoration to turn the baseline into an operating plan. As CISA’s guidance puts it, “Saving just one backup file may not be enough to safeguard your information.”

Define how much loss and downtime you can accept

Before choosing hardware or a service, write two targets for each important workload:

  • Recovery point objective (RPO): the maximum amount of recent work you can afford to lose. An RPO of 24 hours may require a daily backup; an RPO of 15 minutes requires much more frequent capture or continuous protection.
  • Recovery time objective (RTO): the maximum acceptable time before the data or service is usable again. A local drive can often restore quickly, while a large cloud restore may be limited by download bandwidth.

Separate targets prevent overbuying for low-value files and underprotecting records that cannot be recreated. Record the owner, backup frequency, retention period, and restoration priority for each data set.

Choose a combination of external drive, NAS, and cloud storage

No single destination satisfies every persistence requirement. The following comparison describes typical characteristics; exact features depend on the backup software, device model, cloud plan, network, and provider.

External hard drive RPO follows the schedule; a directly attached drive can provide a fast restore. Depends on the backup application and available capacity; rotate dated drives for longer retention. Use full-disk or backup-set encryption and keep recovery keys separately. Strong offline option when disconnected after backup; not protected while left attached. Requires taking a drive to another location or using a rotation scheme. Usually fast over USB; you must have the drive, cable, and compatible software available. Low one-time hardware cost, with hands-on rotation and monitoring.
Network-attached storage (NAS) Can support frequent schedules and quick local restores over a network. Snapshots, retention policies, and replication vary by model and software. Enable encryption where supported; administrator accounts and encryption keys remain your responsibility unless a managed service is used. Snapshots can limit damage, but an always-online NAS is exposed to network attacks; use protected snapshots, a locked target, or a disconnected secondary copy. Needs replication to another site or a separate cloud destination. Fast on the local network; off-site recovery depends on the replication path. Higher purchase and maintenance burden than one drive; requires storage and security administration.
Cloud backup Can provide frequent or continuous capture; RTO depends on internet speed, provider workflow, and whether a local cache exists. Provider-specific retention, versioning, deletion windows, and legal hold features must be checked before enrollment. Verify encryption in transit and at rest, who controls the keys, and how account recovery works. Look for immutable, write-once, or retention-locked backups and protection against an administrator deleting all versions. Usually offers provider-managed geographic redundancy, but the regions and number of copies must be confirmed. Convenient for small restores; full-system recovery can require substantial download time or a provider-assisted restore. Recurring subscription cost; less hardware work but continuing account, policy, and access management.

An external hard drive is an effective component, not a complete strategy. A hardware-encrypted USB flash drive can carry a protected portable copy, but removable media alone is too easy to lose, damage, or overwrite and should not be the only backup.

Encrypt every layer and protect the keys

CISA recommends encrypting computers, mobile devices, hard drives, removable media, and files. Apply that principle to the endpoint and to each backup destination:

  • Turn on device encryption for laptops, phones, and desktops when the operating system supports it.
  • Use encrypted backup sets or encrypted volumes for external drives and NAS shares.
  • Confirm that a cloud provider encrypts data both in transit and at rest; determine whether you can supply or manage the encryption key.
  • Store recovery keys, passwords, and recovery codes in a separate protected location. A key stored only on the failed or stolen device cannot unlock its backup.
  • Limit key access, rotate keys according to your risk and compliance requirements, and document the process for an authorized successor to recover data.

Encryption without recoverable keys is data loss, so test key retrieval as part of a restoration exercise rather than assuming that a saved password is sufficient.

Make backups resistant to ransomware

Ransomware often searches for attached drives, mounted network shares, and backup credentials. Use several barriers:

  1. Disconnect local removable media: after an external drive finishes backing up, eject it and unplug it. CISA warns that a connected drive can be reached, corrupted, or deleted by ransomware.
  2. Separate credentials: do not let the everyday laptop account administer the NAS or cloud backup. Use a dedicated account with multi-factor authentication where available.
  3. Use version history: retain earlier clean versions so a newly encrypted file does not replace the only usable copy.
  4. Lock or isolate a copy: use offline storage, protected snapshots, immutable object storage, or retention locks that an infected administrator cannot immediately shorten.
  5. Protect the management plane: restrict backup consoles, review deletion alerts, and record who can change retention or encryption settings.

Immutability is not a substitute for geographic separation. A locked copy in the same building can still be lost to theft, fire, or a site-wide incident.

Set frequency, retention, and lifecycle rules

Choose schedules from the RPO, then decide how long each version must remain available. A practical policy might retain frequent short-term versions, daily versions for a longer period, and monthly or annual archives when legal, tax, or business obligations require them. The exact periods should come from the value of the data and applicable obligations, not from a universal number.

Document when media are replaced, how old devices are securely erased, and how cloud data are deleted at the end of a contract. Lifecycle management prevents an expired account, failing disk, or obsolete encryption format from silently ending the persistence plan.

  1. Inventory important data. List locations, owners, dependencies, and whether the data can be recreated.
  2. Set RPO and RTO. Decide the acceptable loss and restoration time for each category, then prioritize critical systems.
  3. Create the copies. Keep the working copy and two backups on different media, with one copy off-site.
  4. Enable encryption. Encrypt endpoints, removable media, files, and backup sets; store recovery keys separately and securely.
  5. Schedule and retain. Configure automatic backups, versioning, retention, and alerts for failures or unusual deletion.
  6. Add ransomware controls. Disconnect inactive local media and use offline, locked, isolated, or immutable protection for at least one backup.
  7. Document restoration. Write the exact steps, credentials, software versions, key locations, and replacement hardware needed to recover.
  8. Exercise the process. Restore representative files and, periodically, a complete system or service. Record the elapsed time and fix every gap.
  9. Review after change. Revisit the plan when devices, applications, threats, locations, providers, or regulatory obligations change.

Test restoration instead of trusting a success notification

A backup job can report success while excluding a folder, preserving unreadable data, or using an expired key. Perform tests that match the consequences of failure:

  • Restore a recently changed document and an older version to confirm both the schedule and retention policy.
  • Restore files to a separate location and open them with the applications that normally use them.
  • Simulate a lost laptop: obtain a clean device, retrieve the key, reinstall required software, and measure the time to resume work.
  • For a NAS or cloud service, verify that an administrator can recover after the primary account is unavailable and that deletion protections cannot be bypassed casually.
  • Record what was restored, when it was restored, who performed it, and which step or dependency failed.

Update the written procedure after each exercise. A restoration plan that exists only in the system being recovered is not a recovery plan.

What to do when something goes wrong

Laptop or drive failure

Stop using the failing device if continued operation could worsen corruption. Replace or repair the hardware, then restore the newest verified backup that meets the required RPO. If the latest copy is unavailable, use the next clean version rather than repeatedly retrying a damaged one.

Accidental deletion or overwrite

Use version history or the backup’s point-in-time view before deleting anything else. Restore to a separate folder first, compare the contents, and then return the recovered files to production.

Suspected ransomware

Disconnect the affected device from networks and attached storage, preserve evidence, and do not reconnect backup media to “check” it from the infected system. After containment and remediation, restore from an offline, immutable, or otherwise verified clean version.

Theft or site loss

Use the off-site copy and the documented key-recovery process. Change credentials that may have been stored on the missing device and review whether the remaining copies satisfy the 3-2-1 design.

Essential checklist

  • At least three recoverable copies exist.
  • Two different media types are used.
  • One copy is off-site.
  • Devices, files, removable media, and backup sets are encrypted.
  • Recovery keys and administrative credentials are stored separately.
  • Retention and versioning cover the required history.
  • At least one copy is offline, locked, isolated, or immutable.
  • Inactive external drives are disconnected.
  • RPO and RTO are written down.
  • Restores are tested and the procedure is updated after changes.
