For an HR town hall, leadership update, policy briefing, or employee Q&A, choose the event format by audience size and the interaction employees need. A broadcast-style town hall suits a large audience when most people will watch and submit questions; a more interactive format is better when attendees need to speak, use cameras, or participate in chat. In Microsoft Teams, the available settings depend on event capacity, policy, and licensing.
Start with the communication job
Decide what employees should understand or be able to do after the event. A leadership update may need a short presentation and moderated questions; a benefits or policy briefing may need a clear explanation followed by answers from subject-matter experts. Keep the central messages limited and make the question process explicit.
Live streaming is a way to deliver the event, not evidence that employees will be more engaged, stay longer, or become more productive. Plan for a useful communication experience and treat attendance, questions, and feedback as operational information rather than proof of business impact.
Choose the format for audience scale and interaction
Before inviting employees, compare the likely audience size with the participation you want. Microsoft’s current Teams event documentation describes these capacities and configurations; they are product limits, not recommendations or guarantees that a particular tenant has the necessary licensing or settings.

Microsoft says that when large-audience optimization is off, microphone, camera, and interactive chat can be available; when it is on, attendee microphones and cameras cannot be enabled on demand. Confirm the specific options with your administrator before choosing a format. Microsoft also notes that customers in China currently cannot create events optimized for large audiences, while under described access conditions they may join events hosted outside a China tenant. Check Teams status, policy, and access before scheduling
As of October 3, 2026, Microsoft says Teams Live Events retired on June 30, 2026. Events scheduled before that retirement date are supported through February 28, 2027. Microsoft directs organizers to the unified Teams Events experience, whose creation flow can support creation from scratch or templates when tenant policy allows. Existing webinar and town hall policies still apply. Set the intended audience and access model first. Microsoft documents organization-only and public event options, along with administrator policies. Ask the Teams administrator to confirm who can attend, whether the event can be shared externally, and what the tenant permits. Separately decide how recordings and follow-up materials should be distributed under your organization’s HR, privacy, and records requirements; the platform documentation does not establish a universal retention policy.
Microsoft Adoption says its unified Teams events experience became available in the Teams Meet app starting April 1, 2026. Its town hall information labels some capabilities as in product and others as in development. Do not plan around a feature marked in development; verify current availability, licensing, and tenant settings with the administrator. The Teams town hall page describes capabilities including eCDN support, recordings, engagement reporting, and live translated captions, but availability remains configuration-dependent.

Assign people and prepare the production
For a small internal briefing, one person may cover more than one role. For a high-profile broadcast, assign clear owners so presenters are not also expected to manage production and questions. Microsoft’s Virtual Event Playbook emphasizes planning for the attendee experience and organizing around production roles; its guidance for tier-one events describes a dedicated event team.
- Organizer or producer: Owns the event setup, run of show, transitions, and what is live.
- Presenter: Delivers the message and knows when to hand off to another speaker.
- Moderator: Watches incoming questions, applies the agreed moderation rules, and groups or routes questions where appropriate.
- IT or production support: Checks the tenant configuration, presenter devices, audio/video path, and escalation contact.
Build a run of show with timings, speaker order, screen shares, handoffs, and a contingency contact. Rehearse the actual transitions and question workflow—not just the opening slides. Ensure presenters know how to recover if a handoff or screen share fails, and decide who communicates with attendees if the event is interrupted.

Choose equipment for the production you actually need
A basic online employee meeting does not automatically require dedicated capture hardware. Microsoft documents several production approaches, including producing in Teams or using an external app or device and a hardware or software encoder. An HDMI capture device is relevant in the narrower hybrid setup where an external production feed is brought into an event produced in Teams. Confirm device and platform compatibility before buying equipment. Microsoft’s tier-one event guidance describes that production path; it does not endorse a particular capture-card brand or model.
For large internal audiences, network distribution may also matter. Microsoft describes enterprise content delivery networks (eCDNs) as a way to distribute video within an organization and help avoid impacting network performance. Its documentation naming its first-party eCDN and Hive, Kollective, and Ramp concerns the retired Live Events platform. Check current compatibility with unified Teams Events and the provider before treating any of those integrations as available for your event. Details are in the Live events overview.

Run the event, then follow through
During the broadcast
- Keep a producer responsible for the live program and, where staffing allows, a separate moderator focused on audience questions.
- Tell employees how to submit questions and whether answers will be live, grouped, or handled afterward. Do not imply that every question will be answered during the event.
- Monitor attendance and the attendee experience using the analytics available to your event and license. Microsoft documents event reports, but the available data depends on configuration.
Microsoft’s 2019 employee town hall case study described its program as “a fully virtual, two-way communication channel between our employees and senior leadership team.” It is an example of a company’s approach, not evidence that streaming by itself improves HR outcomes. After the broadcast
- Publish the recording or follow-up only to the audience authorized to access it.
- Check captions and transcripts for accuracy before using machine-generated text as an authoritative HR record. Confirm which caption, transcript, translation, and recording options were actually enabled for the event.
- Share unanswered questions with an accountable owner and a realistic follow-up route.
Microsoft’s materials describe recordings, captions, and transcripts, but settings and retention behavior should be checked for the specific tenant and event. Its planning documentation and town hall information are useful starting points.
Troubleshoot common planning problems
- Employees cannot use microphones or cameras: Check whether the event is optimized for a large audience and review event policy and configuration. In the documented optimized setup, attendees cannot turn on microphones or cameras on demand.
- Expected capacity or features are unavailable: Ask the administrator to check event type, tenant policy, license, and whether the feature is available in the current Teams experience. Product limits do not guarantee availability in every tenant.
- External attendees cannot join: Recheck the intended audience and access controls, including organization-only or public settings and any administrator restrictions. Test the attendee route before sending the invitation.
- A planned Live Event cannot be created: Microsoft states that Teams Live Events retired June 30, 2026. For new planning, review the unified Teams Events guidance; events scheduled before retirement are supported through February 28, 2027.
- Captions or transcripts are missing or unsuitable: Verify that the relevant feature was enabled and is available under the tenant’s configuration. Review the output before sharing or relying on it as an HR record.
- The production team is considering a capture card for an ordinary meeting: First determine whether the event really needs an external production feed into Teams. Capture hardware is an optional path for that hybrid arrangement, not a general requirement.
- Large internal distribution may burden the network: Ask IT whether enterprise video distribution is needed and verify current compatibility with unified Teams Events before selecting an eCDN.
