Short answer: use the dedicated Word, Excel, or PowerPoint app to edit an existing Office file. The Microsoft Copilot app is primarily an AI entry point for chat, questions, file previews, and creating new Office files. On mobile, Microsoft’s current guidance says that choosing edit in Copilot redirects you to the matching Office app. Copilot can also appear inside Word, Excel, or PowerPoint, where it assists with the file that is already open. These are related experiences, but they are not the same editor.
Which Copilot commands you see depends on whether you use a personal or work/school account, your license or subscription, the app and platform, and Microsoft’s rollout stage. Ordinary editing in the Office apps can be available without every Copilot entitlement, so do not treat “Microsoft 365” as a requirement for opening or editing every file.
What “Copilot app” and “Microsoft 365” mean here
The comparison is easier once the names are separated. The Copilot app is a conversational interface available on mobile, the web, and desktop. You ask a question, attach or select a file when supported, request a draft, or ask Copilot to create a Word, Excel, or PowerPoint file. It may show a preview and answer questions about that file, but it is not intended to replace the full editing surface of the Office applications.

Microsoft 365 can mean three different things in everyday conversation:
#1 Best Overall
- Classic Office Apps | Includes classic desktop versions of Word, Excel, PowerPoint, and OneNote for creating documents, spreadsheets, and presentations with ease.
- Install on a Single Device | Install classic desktop Office Apps for use on a single Windows laptop, Windows desktop, MacBook, or iMac.
- Ideal for One Person | With a one-time purchase of Microsoft Office 2024, you can create, organize, and get things done.
- Consider Upgrading to Microsoft 365 | Get premium benefits with a Microsoft 365 subscription, including ongoing updates, advanced security, and access to premium versions of Word, Excel, PowerPoint, Outlook, and more, plus 1TB cloud storage per person and multi-device support for Windows, Mac, iPhone, iPad, and Android.
- The subscription or license that gives an account access to Office applications and selected Copilot capabilities.
- The suite of applications, including Word, Excel, and PowerPoint, where files are edited.
- Copilot features embedded inside those applications, such as an in-document editing assistant.
Those meanings overlap but are not interchangeable. You can edit an Office file in its dedicated application without having every Copilot feature. Conversely, having access to the Copilot app does not guarantee that an embedded Copilot command is enabled in your copy of Word, Excel, or PowerPoint.
Copilot app versus Office apps at a glance
| Reader task | Copilot app | Word, Excel, or PowerPoint |
|---|---|---|
| Ask questions or brainstorm | Chat and file-oriented questions are available when the signed-in account and feature support them. | Some Office builds provide Copilot commands that use the open document, workbook, or presentation as context. |
| Create a new Office file | Copilot can generate Word, Excel, and PowerPoint files. On mobile, a generated link opens the file in the appropriate Office app. | The dedicated app is where you continue editing and formatting the generated file. |
| Edit an existing file on a phone or tablet | Copilot may preview the file and answer questions, but Microsoft’s mobile guidance sends editing to the matching Office app. | The dedicated mobile app provides the full editing workflow, subject to its own account, device, and file requirements. |
| Use Copilot to change content | File chat and creation features vary by account and rollout. | Features such as Edit with Copilot in Word work directly in the currently open document for eligible accounts and releases. |
| Manage the file library | Microsoft is moving full mobile file browsing and management toward OneDrive rather than keeping a complete library inside Copilot. | Office apps open and edit files; OneDrive remains the central place for supported cloud-file management. |
How to edit an existing Office file on mobile
For a file you already have, the reliable path is to let Copilot help you find or understand it, then switch to the dedicated editor. Microsoft’s mobile guidance, updated in February 2026, describes a changing flow in which full in-app Word, Excel, and PowerPoint editing is being discontinued in Copilot.
- Sign in to Copilot. Use the personal or work/school account that has access to the file. A different account can show a different recent-file list or feature set.
- Open or select the file. Copilot may display a preview for a supported document, workbook, or presentation. In that previewer you may be able to ask questions about the content.
- Choose the edit action. When you request editing, Microsoft says Copilot redirects you to the appropriate Word, Excel, or PowerPoint mobile app rather than applying full edits inside the Copilot surface.
- Finish the edit in the dedicated app. Use Word for document text and layout, Excel for cells, formulas, and sheets, or PowerPoint for slides, objects, and presentation design.
- Save in the intended location. If the file is stored in OneDrive or another connected service, confirm that the Office app is signed in to the same account before closing it.
If the Office app is not installed, the link may take you to its installation or sign-in flow. A preview in Copilot is therefore not evidence that Copilot itself can perform every edit you need.

Creating a new Word, Excel, or PowerPoint file with Copilot
Creation is where the Copilot app is more than a launcher. Microsoft describes prompts that produce a new Word document, Excel workbook, or PowerPoint presentation. On mobile, subscriber guidance says to make the request in Chat and then follow the generated link to open the result in the relevant Office app.

- [Ideal for One Person] — With a one-time purchase of Microsoft Office Home & Business 2024, you can create, organize, and get things done.
- [Classic Office Apps] — Includes Word, Excel, PowerPoint, Outlook and OneNote.
- [Desktop Only & Customer Support] — To install and use on one PC or Mac, on desktop only. Microsoft 365 has your back with readily available technical support through chat or phone.
Typical creation sequence
- Open Copilot and start a chat.
- State the file type and the outcome you want, such as a structured report, a worksheet with specified columns, or a slide outline for a particular audience.
- Review the generated result and any assumptions before sharing it.
- Follow the link or open command that hands the file to Word, Excel, or PowerPoint.
- Make the authoritative edits in that Office app, including page layout, formulas, slide positioning, citations, and accessibility checks.
Non-subscribers may be directed to the dedicated Office applications to create new files. Copilot can still show recent files in some accounts, while Microsoft directs full mobile file management to OneDrive. The exact buttons and prompts can change as the mobile experience is updated.
Copilot inside Word, Excel, and PowerPoint is a different workflow
Embedded Copilot uses the Office file that is already open as its working context. This is different from opening the standalone Copilot app and asking it to create or discuss a file.
Edit with Copilot in Word
Microsoft describes Edit with Copilot in Word as a co-creator that works directly in the current document. Depending on the enabled release, it can create, edit, refine, and format content in that document. It does not create a separate new Word file in this mode; start a new document or use the standalone creation flow when you need a separate file.
The Word guidance also says this feature cannot generate or insert images into the document. Treat that limitation as specific to Edit with Copilot in Word, not as a statement about every Copilot feature or every Office application. Review the result as you would any assisted edit: check facts, formatting, references, and the document’s intended audience.

Excel and PowerPoint
Copilot commands in Excel or PowerPoint, when enabled, operate within the open workbook or presentation. Their exact actions, supported file types, and availability can differ from Word. The presence of the Copilot app does not establish that an equivalent in-app command is available in your Excel or PowerPoint build.
Platform differences: mobile, web, and desktop
Mobile
Mobile is the clearest dividing line. Microsoft’s February 2026 guidance says the Copilot mobile app is moving away from full file browsing and in-app Office editing. Subscribers may preview a supported file and ask questions, then are sent to the corresponding Office app to edit. For new files, a Chat prompt can produce a link that opens the file in the Office app. Users without the relevant subscription are directed to the Office apps for creating new files and can use OneDrive for full file management.
Web
On the web, Copilot and Microsoft 365 applications can appear as separate browser experiences or as connected launch points. The browser account determines which files and commands are visible. Open the file in the web version of Word, Excel, or PowerPoint when you need the editor, and use Copilot’s chat surface for supported questions or generation tasks.
Desktop
Desktop Office applications provide the richest traditional editing controls. Copilot features may be integrated into the application for eligible accounts, but Microsoft’s rollout can place a command in one release channel and not another. An updated desktop app, a supported account, and an eligible license are all necessary but do not guarantee identical features in every geography or tenant.

Account, license, and rollout checks
Before troubleshooting a missing command, check the eligibility factors that Microsoft lists across its Copilot and Office documentation:
- Account type: personal and work/school sign-ins can expose different experiences and administrative controls.
- Plan or license: some Copilot capabilities require a qualifying Microsoft 365 subscription or Copilot-enabled license, while ordinary Office editing is a separate question.
- Application: the standalone Copilot app, Word, Excel, and PowerPoint do not share one universal feature list.
- Platform and release channel: mobile, web, desktop, preview, Insider, and production builds can differ.
- Rollout status: Microsoft labels some features as rolling out, so availability can change without a change to your file.
- Storage and permissions: the account must be able to open the file, and organizational policies can restrict Copilot or sharing.
For Edit with Copilot in Word specifically, Microsoft has described eligibility that can include an appropriate license, Frontier or Insider preview participation, or a particular app channel, depending on the release. These conditions are not a permanent license matrix; verify the current requirements shown in your account and application.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Supported formats and storage locations
Copilot compatibility is task-specific. Microsoft’s personal-plan format guidance says supported files are stored in OneDrive and used in Microsoft 365 apps, but the accepted formats differ by task.
| Task or app | Formats listed by Microsoft | Important qualification |
|---|---|---|
| Word document tasks | DOCX, DOC, PDF, TXT, RTF, HTML, and HTM | Use the format row for the exact Word task; support is not a blanket promise for every operation. |
| Excel analysis | XLSX, XLSM, and XLSB | Analysis support does not mean every workbook feature or external connection can be changed by Copilot. |
| PowerPoint creation or enhancement | PPTX, PPT, PDF, and DOCX | The listed formats apply to the creation or enhancement tasks described in Microsoft’s guide. |
Confirm both the file extension and its storage location. A file in an unsupported location, an attachment that has not been saved to an accessible drive, or a format outside the relevant task row can prevent the expected Copilot action even when the account is eligible.

Limitations, privacy, and recovery
Do not confuse preview with editing
A Copilot preview can help you identify a file or ask questions about it, but the authoritative edit still happens in Word, Excel, or PowerPoint on mobile. Keep the dedicated app in your workflow when you need tracked changes, formulas, slide-object control, page layout, or other native editing tools.
Review generated or changed content
Copilot output can contain incorrect statements, unsuitable formatting, or assumptions that are not obvious from a short prompt. In a shared or sensitive document, check recipients, permissions, comments, tracked changes, and confidential material before saving or sharing.
Undo and version recovery
Microsoft’s Word guidance advises that changes can be undone and that prior versions can be reviewed. Use the document’s normal undo controls immediately after an unwanted change, or restore an earlier version through the file’s version history when the edit has already been saved.

Edit with Copilot in Word cannot generate or insert images, according to Microsoft’s feature guidance. Use Word’s normal insert tools or another approved workflow for images, and do not infer that a limitation in this feature applies to all Copilot surfaces.
Which workflow should you choose?
- You already have a file and need precise editing: open it in Word, Excel, or PowerPoint. On mobile, let Copilot redirect you there.
- You want a first draft or a new file: start in Copilot if your account exposes file creation, then continue in the appropriate Office app.
- You want AI help while revising an open Word document: use Edit with Copilot in Word when the command is present and your account is eligible.
- You only need an explanation or summary: Copilot’s file preview and chat may be sufficient, provided the file format, storage location, and account support the task.
- You work with confidential or shared material: confirm the signed-in account and organization policy before uploading, prompting, or accepting changes.
Troubleshooting when the expected command is missing
- Check which account is signed in and switch to the account that owns or can access the file.
- Open the file from OneDrive or the supported Microsoft 365 location rather than an inaccessible local or external location.
- Verify the extension against the format list for the specific task.
- Update the Copilot and Office applications, then restart the app.
- Check whether your plan or work/school administrator enables the Copilot capability.
- Look for release-channel or preview requirements when the feature is identified as rolling out.
- If mobile Copilot only previews the file, use the redirect to the dedicated Office app; that behavior is expected under Microsoft’s current mobile design.
- If an edit is wrong, use Undo or restore a prior version before continuing.
The practical distinction is stable even while buttons and eligibility change: Copilot is the conversational and generative entry point; Word, Excel, and PowerPoint are the authoritative editors for Office files. Use both together rather than expecting the standalone Copilot app to become a full replacement for each Office application.
