To save a grayscale copy of a color PDF in Windows, open it in Acrobat Reader, press Ctrl+P, select Microsoft Print to PDF, enable Print in grayscale if available, and save with a new filename. This print-to-PDF method is convenient, but it is distinct from converting the PDF itself with Acrobat Pro’s document-level tools.
Choose the right kind of black-and-white output
“Black and white” can mean either shades of gray or strictly monochrome—only black and white, without gray tones. The Reader print option described here produces shades of gray, also called grayscale; it does not promise a strict monochrome conversion.
There are also two different outcomes to consider:
- A grayscale print or print-to-PDF output: The print dialog applies a setting to the output. It does not edit the original PDF.
- A document-level conversion: The PDF itself is converted using an editing tool, such as Acrobat Pro’s Preflight fixup.
Adobe explains that color PDFs can be printed in shades of gray in its Acrobat Reader Help. For the Reader route below, Adobe’s guide uses Microsoft Print to PDF to save the grayscale output as a new file: how to convert a PDF to black and white.

- Keep the original color PDF, or decide on a different filename for the new copy.
- Open the PDF in Acrobat Reader and press Ctrl+P.
- In the printer list, select Microsoft Print to PDF.
- Turn on Print in grayscale or the equivalent grayscale option if it appears in the dialog.
- Choose Print, then select a location and filename for the new PDF. Use a different name from the original so you do not overwrite it.
- Open the saved file and inspect pages with colored graphics, charts, or small text to confirm they remain legible in gray.
This method uses a virtual PDF printer; it does not require printing on paper. The grayscale control may not appear in every configuration. Microsoft notes that available color options depend on the selected printer: manage a printer in Windows.

If the grayscale option is missing
- In the print dialog, check that Microsoft Print to PDF is selected.
- Open Printer Properties or Preferences and look for a grayscale or black-and-white setting. The available controls depend on the selected printer and its driver, so the wording and location can vary.
- If no suitable setting is available, use Acrobat Pro’s document-level conversion workflow instead, if you have access to it.
Adobe also documents preferences for its own Adobe PDF printer, but those settings are specific to that printer and should not be assumed to apply to Microsoft Print to PDF or other virtual printers: Adobe PDF printer preferences.
Convert the PDF itself with Acrobat Pro
When you need a document-level conversion rather than a print-to-PDF result, Adobe’s guide describes this Acrobat Pro route:

- Open the PDF in Acrobat Pro.
- Open Preflight, then go to PDF fixups.
- Select Convert to Greyscale.
- Choose Analyze and Fix and save the converted document as a separate file.
Menu placement varies by Acrobat version. Adobe notes that older versions may put Preflight under Tools > Print Production. See Adobe’s PDF conversion guide for its documented workflow.

Keep the color original and check the result
Save the converted output under a new filename and retain the color PDF. Adobe warns that color cannot be restored from a converted black-and-white copy; if you need color again, create a new output from the original. Adobe says grayscale conversion may reduce file size, but does not give a universal amount, so the result depends on the file.

After conversion, check pages with charts, colored labels, shaded backgrounds, or fine text. Colors that were easy to distinguish may become similar shades of gray, so confirm that the information is still readable before sharing or printing the new file.
