Dedicated cloud backup is generally better for recovering a computer’s files after deletion, device failure, or corruption—especially when it preserves historical versions and offers a clear restore process. Cloud storage is better for keeping files accessible and sharing them, but synchronization can also carry deletions or encrypted changes across devices. For stronger protection, use storage for access, add an independent backup, and verify that you can restore files.

Cloud backup vs. cloud storage: what is the difference?

Cloud storage keeps files available through an online account and often synchronizes them across devices. Cloud backup is intended to preserve copies that can be recovered after something goes wrong. The categories overlap: storage services may offer trash folders and version history, while backup products may let you browse or download files. The key question is not the product label but what it covers, how independently it keeps earlier copies, and how restoration works.

Cloud storage is built for access and sharing

A synchronized folder is useful when you want to work on the same documents from a laptop and phone, share files, or retrieve them through a browser. But synchronization normally mirrors changes: deleting a file or saving an encrypted replacement may affect the cloud copy too. A recycle bin or version history can help, but its scope and retention depend on the service, account, and settings.

Cloud backup is built for recovery

A backup product may protect more than a selected synced folder, such as files across a computer, and may keep earlier versions that can be restored after loss or corruption. Check the product’s actual coverage rather than assuming it includes every drive, folder, or device. Also check whether you can restore an individual file, a group of files, or a whole computer, and how long recoverable copies remain available.

Which approach protects files better?

What to compare Cloud storage and sync Dedicated cloud backup
Typical purpose Access, synchronization, and sharing Preserving copies for recovery after data loss
Coverage Often limited to selected synced folders; confirm what is included May cover a broader set of computer files; confirm drives and exclusions
Earlier versions May offer version history or a recycle bin, subject to service rules May retain historical versions separately from the current working copy; check retention settings
Deletion or unwanted changes May propagate through sync, with recovery limited by the service’s recovery tools and window Earlier copies may help, if retained and accessible to the account
Restore options Often convenient for retrieving or restoring individual cloud files; whole-device recovery is not guaranteed May support restoring files or broader computer data; exact process varies by product
Offline copy Not necessarily; synced files may be online-only Not necessarily; cloud backup still depends on account access and the service

Neither approach is invulnerable. Cloud storage can provide useful recovery features, and backup can fail to protect files that were never included, were already damaged before backup, or cannot be reached because of account or service problems. Compare the recovery path against the losses you are trying to guard against.

Does cloud storage back up my files?

Sometimes it provides backup-like recovery, but syncing alone is not the same as maintaining an independent backup. If an unwanted change synchronizes, the cloud copy may no longer be a clean copy; version history or a recycle bin might still let you recover the earlier state. Read the service’s current rules for which files qualify, how long they remain recoverable, and whether the recovery feature applies to your account.

OneDrive recovery depends on account type and feature

Microsoft’s OneDrive guidance, checked October 4, 2026, says deleted files can be restored for 30 days in personal accounts and 93 days in work or school accounts, unless an administrator changes retention. Microsoft 365 subscribers can roll back an entire OneDrive to a point within up to 30 days after an attack or other data loss. These are distinct recovery paths, not a promise that every OneDrive user has the same protection. Microsoft also notes that online-only files deleted from the cloud do not appear in the computer’s Recycle Bin or Trash. See Microsoft’s OneDrive deleted-file recovery guidance and how OneDrive safeguards data.

Google Drive’s bulk restore has a stated revision window

Google Drive Help’s bulk restore feature is labeled beta and says it keeps the last 25 days of revisions. That figure describes the tool’s stated revision window, not a guarantee that every file or account can be restored in every situation. Google’s instructions for ransomware recommend stopping Drive for desktop from syncing before restoring: “Disconnect your account: To stop encrypted files from syncing and overwriting other versions from your computer, sign out of your Google Account on Drive for desktop.” Google then advises restoring files, removing the malware, and only afterward syncing again. See Google Drive’s bulk restore instructions.

Computer backup history also has settings and limits

Backblaze Computer Backup documents 30-day version history by default, a free option for one-year history, and a Forever option that charges for versions older than a year. Its Version History FAQ says increasing retention does not bring back versions that were purged before the setting was changed. These details are product terms checked October 4, 2026; verify current settings and charges before relying on them. See Backblaze’s version-history options and Version History FAQ.

Can cloud storage protect against ransomware?

Version history can help recover files encrypted by ransomware, but it is not a complete safeguard. Recovery depends on a clean earlier version existing, remaining within retention, and the malware not continuing to alter files as the service synchronizes. A 2023 USENIX Security study found that versioning helped against the ransomware tested at several providers, but it did not provide complete protection when encryption happened before a backup was made. Its provider-specific results describe experiments from 2023, not a guarantee about current products. See the USENIX Security 2023 study.

  1. Stop synchronization from the infected device. Follow the provider’s current instructions so encrypted files do not keep replacing cloud versions. For Drive for desktop, Google advises signing out of the Google Account.
  2. Restore an earlier clean copy. Use the provider’s version history or recovery tool, staying within its stated retention and eligibility rules.
  3. Remove the malware before reconnecting. Restoring cloud files does not clean an infected computer; reconnecting too soon can sync unwanted changes again.

Should you keep an external hard drive as well?

A portable external hard drive can add a local recovery copy that does not depend on the same cloud account. It is not automatically safe: a drive left connected may also be exposed to ransomware or accidental deletion. Disconnect it after a backup and periodically test that files can be restored. TechRadar’s March 2026 overview describes the 3-2-1 approach: keep three copies, on two storage technologies, with one copy offsite. Treat this as a useful resilience principle rather than a guarantee. See TechRadar’s cloud-backup overview.

Add dedicated cloud backup for computer recovery

Choose a computer-backup product when you need a recoverable copy beyond the files in a synchronized folder. Check which computers, drives, and folders it includes; whether it retains older versions; and how you would restore data if the computer failed or the current files were damaged.

Use separate copies for higher resilience

For important files, combine convenient cloud access with a backup that has suitable version history, and consider a disconnected local copy. This gives you more than one recovery route if one account, device, or copy is affected. No single configuration eliminates every risk.

Checklist: make sure your files are recoverable

  • Confirm that every important folder and drive is included; do not assume a sync folder covers the whole computer.
  • Check the recovery window, account eligibility, and any administrator-controlled retention rules.
  • Enable the version-history or extended-retention setting you need before a problem occurs.
  • Secure the cloud account with strong authentication and keep recovery options current.
  • Make a separate local copy if appropriate, disconnect the drive afterward, and test restoring a sample file.
  • Know how to stop sync from an affected device before trying to recover cloud versions.

What about Microsoft 365 Backup for organizations?

Microsoft 365 Backup is an organizational service for selected OneDrive accounts, SharePoint sites, and Exchange mailboxes; it is separate from ordinary OneDrive storage and should not be assumed to be included for every personal account. Microsoft Learn describes append-only backup storage and says backup restore points are ordinarily immutable unless deleted through product offboarding. Microsoft defines immutability as storage that “can’t be altered, deleted, or overwritten for a specified period of time.” Its overview also documents a 90-day recovery grace period after offboarding. Organizations should check workload coverage, eligibility, configuration, and current service terms. See Microsoft 365 Backup overview.
