Use a Project when it needs an ongoing home for related chats, reference files, and instructions that ChatGPT can use as context. They serve different roles, and OpenAI says using a Space does not replace existing Projects—so many teams can use both.
Spaces and Projects organize different kinds of work
The practical distinction is what your team returns to: a shared document or a continuing body of ChatGPT conversations and context. OpenAI describes Spaces as homes for pages, files, and other work, while Projects keep related chats, files, and instructions together.

Choose based on what the team needs to reuse
Choose a Space for shared documents
Use a Space when the desired output is a page the team will write, revise, and organize together. It suits work such as a project brief, meeting notes, a research summary, or a team update. Pages can be grouped in folders, and pages can contain subpages.

Choose a Project for continuing ChatGPT context
Use a Project when the work develops over time and people need to return to its conversations, reference files, and instructions. Projects are designed to keep that material together so ChatGPT can draw on it across an ongoing effort such as writing, research, or planning.
Use both when documents and context matter
A team can keep its evolving conversations and reference material in a Project while using a Space for shared pages that serve as deliverables. OpenAI’s Space guidance states: “Projects continue to organize chats, files, and project instructions. Creating or using a space does not replace your existing Projects.”

Check availability and workspace controls before rollout
Feature access depends on plan and, for managed workspaces, administrator settings. OpenAI’s current guidance lists Space creation and editing for Pro, Business, or Enterprise; administrators may need to enable sharing. Projects sharing is listed for Free, Go, Plus, Pro, Business, Enterprise, and Edu, subject to workspace settings. These details can change; confirm the current rules for your account and region in the official Space guide and Projects guide.
Understand collaborator access and privacy
Space permissions

Project permissions and memory
For shared Projects, OpenAI documents chat and edit access, invitations to individuals or groups depending on plan and workspace, and owner controls for membership. Administrators can control whether people may create or share projects. Shared Projects use project-only memory: they cannot access a member’s context or memories outside that Project.
In either feature, people who are granted access can see the shared content. Workspace settings may add restrictions, but sharing should not be treated as a way to hide content from collaborators who have access.

When a GPT is the better fit
A GPT is a separate option if the goal is a reusable custom assistant rather than a shared working area. OpenAI describes Projects as collaborative, evolving context hubs and GPTs as custom versions of ChatGPT intended to scale reusable knowledge across functions and contexts. See the Projects FAQ.
There is no published productivity figure to compare
OpenAI’s reviewed Help Center material does not publish a statistic quantifying Space or Project adoption, time saved, or team productivity. The documented differences concern organization, collaboration, access, and availability—not a measured productivity advantage for one feature.
