Useful customer-support chatbot scripts identify the bot, say what it can do, and give customers a clear next step. Build a short, separate flow for each common task—such as checking an order or asking about a return—and provide a recovery route when the bot is unsure or a person is needed.
What a good customer-support chatbot script does
A script is more than a polished greeting. It guides the customer through one task at a time, makes the bot’s limits visible, and keeps the conversation moving toward an answer or a person.
- Identify the bot. Do not make a greeting sound as if a human is replying. Salesforce’s guidance says: “Never leading customers to believe they’re chatting with a human if they’re really chatting with a bot.” Salesforce’s bot conversation-design guidance covers bot identification along with greetings, turn-taking, follow-up paths, and closure.
- Set expectations. Name a few tasks the bot can handle rather than implying it can answer anything.
- Ask for one thing at a time. Request the information needed for the next step, then respond to it before asking for something else.
- Offer a route forward. Give a useful next action, a clarification question, or a way to reach support.
- Keep policy and system facts accurate. Use the company’s current rules and information actually returned by connected systems. Do not guess an order status, return deadline, or transfer availability.
The examples below are adaptable templates, not tested scripts. Replace bracketed text with your own policy, system output, and available support options.
Customer-support chatbot script examples
1. Welcome and task menu
Bot: “Hi, I’m [Company]’s virtual support assistant. I can help with order status, returns, or connecting you with our support team. What would you like to do?”

- Read Before You Buy — No Video Output: These adapters support charging and USB 2.0 data transfer, but cannot transmit video signals. Except for standard USB webcams (which use USB data only), they are not compatible with HDMI/DisplayPort cables, video-capable USB-C hubs, or docking stations with video output.
- Convert USB-A Ports to USB-C: Designed to connect USB-C earphones, cables, flash drives, card readers, and other USB-C accessories to standard USB-A ports. Plug-and-play with no drivers or software required.
- Aluminum Alloy Housing: Built with a sturdy aluminum alloy shell that aids in heat dissipation and protects against daily wear and scratches. Designed to maintain a stable and secure connection.
- Compact & Travel-Friendly: The ultra-compact design allows the adapter to stay plugged into your device without blocking adjacent ports or adding bulk, reducing wear and tear on your original USB ports.
- 12-Month Warranty: Backed by a 12-month manufacturer warranty for peace of mind. Designed to meet strict quality control standards for reliable everyday performance.
This opening identifies the bot, names its supported tasks, and invites a clear next turn. Keep the menu limited to tasks the bot can actually complete. If your chat interface supports selectable options, use them for common tasks while leaving room for a customer to describe a different need.
2. Order status
Bot: “I can check that. Please enter your order number.”
Customer: “[Order number]”
Bot: “Thanks. Your order is [status returned by the order system]. Would you like help with anything else?”
Only insert a status the order system has retrieved. If the lookup fails or the customer’s details do not identify an order, use a clarification or escalation flow instead of inventing an answer. Salesforce includes order status among common bot tasks and emphasizes reliable, factual responses in its bot testing guidance.
3. Return request
Bot: “I can help you check the return steps. What’s your order number?”
Customer: “[Order number]”
Bot: “I found [item]. Based on our current return policy, [accurate next step]. Would you like me to explain the next step or connect you with support?”

There is no universal return eligibility rule or timeframe to put in a generic script. Use the business’s actual policy and account for relevant conditions, such as item type or purchase date, only if those rules apply and the bot can verify them.
4. Clarify an unclear request
Bot: “I’m not sure I understood. Are you asking about an order, a return, or something else?”
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Fix the driver behind crashes, sound loss and screen glitches3Repair Windows errors before they cause bigger problemsCustomer: “[Clarification]”
Bot: “Thanks for clarifying. I can help with [supported task], or connect you with a person.”
A concise question can resolve a vague request; repeatedly asking the same question cannot. If the customer’s answer still does not match a supported task, offer the menu again or make human help available. Salesforce’s bot dialog guidance includes confusion and other recovery paths.
5. Transfer to a person
Bot: “I can connect you with a support specialist. I’ll pass along what you’ve shared so you don’t have to start over. Would you like me to transfer you now?”
Customer: “Yes.”
Bot: “All right. I’m connecting you now.”
Use the context-handoff promise only if your system supports it. IBM’s escalation guidance describes carrying context into a human handoff so the customer does not need to repeat the issue.

6. No representative is available
Bot: “No support specialists are available in chat right now. You can [available next step, such as leave a message or contact us through an available channel], or try again [accurate support availability]. Would you like help with [supported self-service task] while you wait?”
Replace each bracket with an option your company actually offers. Do not promise a callback, response time, or future availability unless the support operation can meet it. Preserve a route to self-service or another contact option rather than abruptly ending the conversation.
7. Close and invite another task
Bot: “You’re welcome. Is there anything else I can help with?”
Customer: “No, that’s all.”
Bot: “Thanks for contacting [Company]. Goodbye.”

This closes the conversation while giving the customer an opportunity to start another supported task. Salesforce’s design and dialog guidance covers both closure and an “anything else” follow-up.
How to design scripts customers can use
Give every flow a clear job
Create separate flows for common needs instead of relying on a single catch-all answer. An order lookup, return question, agent transfer, confused response, unavailable-agent message, and closing prompt each need different information and next steps. A focused flow is easier for customers to follow and for a team to revise when a policy changes.

- Please Note: To reach 10Gbps speed, keep the cable under 3.3 ft. For USB A Male to USB C adapters, try flipping the USB C connector. USB C Male to USB A adapters support bidirectional 10Gbps transfer within 3.3 ft
Separate behavior rules from tone examples
Write down what the bot must do—such as retrieve an order status before stating it—separately from how it should sound. Then add short examples that demonstrate the desired wording and tone. Zendesk recommends clear, topic-based rules supported by examples for areas such as greetings, closings, channel-specific language, and message length in its AI-agent guideline documentation.
Make options helpful, not restrictive
Buttons or suggested replies can make routine choices easier, but customers also need a useful way to describe a problem that does not fit the menu. Use familiar terms consistently, keep instructions short, and ask for the specific input required for the next step.

When a request is unclear, acknowledge that plainly and ask a brief question if the answer could resolve it. Offer a route to a person when the bot cannot help or the customer asks for one. When no representative is available, state the real alternatives and keep the conversation open for supported self-service.
How to test and maintain chatbot scripts
- Test the expected wording. Try the direct phrase the flow is designed to handle, such as “Where’s my order?”
- Test synonyms and incomplete requests. Check variations such as “track my package” and “order help,” plus messages missing required details.
- Test off-topic messages. Confirm the bot can say what it supports and offer a relevant next action rather than pretending to understand.
- Check answers against the source of truth. Confirm that order details, policy steps, support hours, and other claims match the systems and current rules the bot is meant to use.
- Review the conversation path. Make sure each response gives a useful next step, clarification, or available human route, and that customers are not trapped in a repeat loop.
- Revise after changes. Update scripts when policies, capabilities, or support availability change, then retest the affected paths.
Salesforce describes testing as checking whether an agent’s instructions generate appropriate responses to user messages. Zendesk recommends regularly testing and updating guidelines; IBM’s escalation guidance also emphasizes maintaining knowledge sources and monitoring feedback. These are design and review recommendations, not evidence that any particular script guarantees a customer outcome.

| What to compare | A useful question |
|---|---|
| Task coverage and next steps | Does the flow clearly handle the customer’s task and say what to do next? |
| Human access | Can the customer reach a person when the bot cannot resolve the request? |
| Context handoff | Where supported, can the human agent see what the customer has already shared? |
| Bot identity and limits | Does the customer know they are speaking with a bot and what it can help with? |
| Testing and maintenance | Can the team test variations and keep answers aligned with current policies and capabilities? |

What should a chatbot say when it does not understand?
Acknowledge the misunderstanding, ask one short clarifying question if it is likely to help, and offer a supported task or human contact route. Avoid repeating the same unsuccessful prompt indefinitely.
What should a chatbot say when no agent is available?
State that chat support is unavailable, give only the contact options or availability details the business can honor, and offer relevant self-service if the bot can provide it.
Should a chatbot transfer the conversation history to an agent?
When the system supports it, passing along the conversation context can spare customers from repeating information. Do not promise a handoff unless that capability is available.
How often should chatbot scripts be updated?
Update and retest a flow when the underlying policy, bot capability, or support availability changes. Regular testing also helps catch responses that no longer match the intended rules.
