A chatbot connects to a help desk through two complementary paths: its server makes API calls to look up or change support data, while webhooks let the help desk send event notifications back. Put a server-side integration service between the public chatbot and the support platform, protect credentials, verify incoming events, and design for rate limits and delivery failures.

APIs and webhooks do different jobs

A REST API is typically the request-and-response path. The bot’s backend asks the support platform for information or requests an action, such as checking a ticket or creating a support record. Zendesk’s API reference documents capability-specific APIs covering tickets, users, organizations, help center, chat, voice, and CRM. Zendesk API reference.

A webhook works in the other direction: the platform sends an HTTP request to a URL when a subscribed event occurs. Zendesk documents examples such as a new ticket being created or a user being deleted. Zendesk Webhooks API reference.

A two-way design commonly uses both: API calls for bot-initiated work and webhooks for platform events that need to update the bot’s service or trigger a workflow. This is an architectural pattern based on documented capabilities, not a tested, ready-made integration recipe.

A secure connection architecture

Use a backend integration service as the boundary between the browser-based chatbot and the help desk. The browser sends the conversation or requested action to your service; the service authenticates to the support API and returns only the information the chatbot needs. The support platform sends webhooks to a separate endpoint on that service. Keeping this boundary server-side prevents API secrets from being exposed to visitors.

  1. Browser or chat client: Collects the user’s message and sends it to your backend over HTTPS. It should not contain support-platform credentials or secret model-provider keys.
  2. Integration service: Applies your authorization and data-handling rules, calls the support API, and returns an appropriately limited result to the chatbot.
  3. Support platform: Handles actions such as ticket lookup or creation through its documented APIs and emits subscribed events through webhooks.
  4. Webhook receiver: Checks the request’s authenticity, records and processes the event, and avoids repeating side effects if delivery is retried.

OpenAI’s API key guidance says keys are secrets and should not be exposed in browser or app client-side code. The same principle applies to support-platform credentials: store them in server configuration or a managed secrets system, restrict who can access them, and rotate them when required. How to connect a chatbot to Zendesk

Use this workflow to plan an integration. Exact endpoint paths, request fields, and permissions depend on the Zendesk API capability and account setup; consult the relevant endpoint documentation rather than assuming one generic ticket endpoint covers every use case.

  1. Define the bot’s jobs and events. List the required actions: for example, look up a ticket, create or update one, retrieve permitted user context, escalate a conversation, or notify another service after a ticket event. Map each action to a documented API and each notification to a supported webhook event. Zendesk’s API reference is organized by capability. Zendesk API reference.
  2. Confirm account and plan constraints. Check that the needed API and webhook capabilities are available for the account, then identify the applicable limits and authentication options. Zendesk limits vary by endpoint and plan, and webhook trial accounts have separate restrictions.
  3. Build a backend integration layer. Have the chatbot call your service rather than Zendesk directly. Keep credentials out of client code, validate the user’s authority to view or change records, and expose only the actions the bot needs.
  4. Choose the supported authentication method. For Zendesk webhook destinations, its documentation describes API key, basic, and bearer authentication over HTTPS. Zendesk also supports request signing; when enabled, verify the signature with the configured signing secret before acting on a webhook. Zendesk webhook documentation.
  5. Separate request work from event work. Use authenticated API requests when the user’s interaction calls for an immediate read or write. Subscribe to webhooks for support-side changes that should update your service. Validate webhook authenticity before processing, and make event handlers safe against duplicate processing.
  6. Handle limits and transient failures. Read rate-limit headers, track usage, and when Zendesk returns HTTP 429, respect its Retry-After header instead of retrying immediately. Use bounded retries with backoff for transient failures; do not retry permanent validation or permission errors as if they will clear on their own.
  7. Test and monitor the deployed flow. Start with non-production credentials and representative request and event payloads. Check the API result, webhook receiver behavior, authentication failures, delivery attempts, request identifiers, and remaining rate-limit capacity. Zendesk documents API activity and webhook invocation monitoring; production monitoring should make failures visible to both developers and support operators.

Zendesk documents 429 responses and a Retry-After header for rate limiting. Its webhook documentation also describes retries for certain failed responses and a circuit breaker. Security and reliability checklist

  • Keep API keys and other credentials on the server; never embed them in browser or mobile client code.
  • Use HTTPS/TLS for requests and webhook destinations.
  • Use the destination’s supported authentication method; verify webhook signatures when signing is enabled.
  • Authorize each bot action against the requesting user and limit access to the records and fields the bot needs.
  • Make webhook processing idempotent: record handled event identifiers or otherwise prevent a retry from repeating an irreversible action.
  • Respect rate-limit headers and Retry-After; bound retries and alert on sustained failures.
  • Monitor API errors, webhook invocation attempts, and remaining request capacity.
  • Track credential policy changes and plan token migration before an announced shutdown date.

How to choose the connection pattern

  • Use API calls when a user’s request needs an on-demand answer or a bot-initiated change, such as checking a case or submitting an escalation.
  • Use webhooks when your system needs to react to a support-platform event without waiting for a chatbot request, such as a ticket being created.
  • Use both when the bot both acts on support records and needs to stay informed about later changes.
  • Check the data model before committing to a flow: confirm that the chosen API exposes the needed ticket, user, messaging, or help-center information, and that the relevant webhook events exist.
  • Compare operational behavior across the particular endpoints you will use: authentication, signature support, plan limits, retry behavior, and delivery visibility can differ by API surface.

What is the difference between a chatbot API and a webhook?

An API is generally called by the bot’s backend to request data or perform an action. A webhook is an event notification sent by the support platform to your service when a subscribed event occurs.

Can a chatbot create or update a Zendesk ticket?

Zendesk documents a tickets API as part of its API reference. The bot should request the change through a server-side integration service using the endpoint, authentication, and permissions documented for the account.

Should the chatbot call the support API directly from the browser?

No. Keep credentials server-side. OpenAI’s API key guidance explicitly says secret keys should not appear in browser or app client-side code.

What happens if Zendesk rate-limits an API request?
