Office phone booths can give employees a separate place for calls, video meetings, and focused work—and may keep individual work from occupying group meeting rooms. They do not automatically reduce rent or operating costs. The business case depends on whether people will use the booths and whether that use creates measurable room capacity or lets the organization avoid a specific space or fit-out cost.
How phone booths can free up meeting rooms
A solo call or video meeting does not need the same kind of space as a group meeting. If employees currently take those calls in bookable meeting rooms, a well-placed booth can shift individual use into a smaller, dedicated space. That may leave a group room available at busy times.
The opportunity is strongest when individual calls or quiet work are displacing group meetings or disrupting open work areas. A booth adds a different type of capacity; it does not guarantee that any particular number of meeting-room bookings will be recovered. That depends on local call demand, peak-time patterns, booth location, and adoption.

When recovered room capacity becomes a cost saving
More available meeting-room time is an operational benefit, but it is not automatically a financial saving. The benefit becomes a cost reduction only if the organization can connect it to an avoided expense or a real change in its space needs—for example, avoiding a planned build-out or reducing the amount of leased space required.

Measure actual use before deciding. The U.S. General Services Administration (GSA) treats accurate occupancy measurement as an input to federal space management. Its guidance is relevant as a measurement principle, not as a private-office target or a phone-booth payback formula. GSA’s 2026 reporting context includes a 60 percent minimum acceptable occupancy threshold under the USE IT Act; that threshold applies to federal reporting and is not a universal workplace benchmark. GSA also cautions that its initial government-wide snapshot is imperfect. Read GSA’s March 31, 2026 release.
How to test the business case
Collect a baseline over representative weeks, including busy days, then repeat the same measures after installation. Use actual individual-call displacement—not the number of booths purchased—to estimate recovered group-room capacity.
- Measure meeting-room use. Where possible, compare bookings with actual occupancy, and note peak-time conflicts, turned-away requests, and workarounds.
- Count individual demand. Track solo calls and video meetings that currently take place in group rooms, their duration, and when demand clusters.
- Estimate likely booth use. Consider the number, location, size, and expected adoption of booths. A booth that employees do not use will not shift demand.
- Calculate full costs. Include purchase, delivery, installation, power, cleaning, repairs, and replacement. Compare these with a specific avoided space or fit-out cost, if one exists.
- Recheck after installation. Compare the same room-use and call-demand measures against the baseline. Separate recovered room availability from financial savings.
This is a practical evaluation approach; GSA’s occupancy guidance supports using measured occupancy in space decisions but does not prescribe a phone-booth evaluation.

What to compare before choosing a booth
A solo phone booth is not interchangeable with a larger pod or a conventional meeting room. Compare options against the work they need to support.
| Decision factor | What to check |
|---|---|
| Use and capacity | Solo calls, longer focus sessions, or small-group meetings; intended occupant count and likely turnover. |
| Acoustic evidence | Whether speech-level reduction was measured using ISO 23351-1:2020, which product configuration was tested, and whether the result fits the privacy needed. |
| Comfort | Ventilation, lighting, heat, fan noise, ergonomics, and expected session length. |
| Space and access | External footprint, interior dimensions, doorway and circulation clearances, accessible use, egress, power and data, and placement. |
| Total cost and flexibility | Configured purchase and installation cost, upkeep, any construction avoided, and whether the booth can be moved or reconfigured. |
| Measured usefulness | Expected adoption, peak call demand, actual meeting-room capacity recovered, and any demonstrable property or fit-out cost avoided. |
Acoustic ratings are not a promise of complete privacy
ISO 23351-1:2020 specifies a laboratory method for comparing speech-level reduction in furniture ensembles and enclosures. A result under this method gives a standardized comparison; it does not guarantee that speech will be inaudible or unintelligible in every real office. See ISO 23351-1:2020.
For a vendor’s acoustic claim, ask for the test report and confirm it covers the exact model and configuration being considered. Also consider real placement and surrounding noise: a rated enclosure still needs to suit the privacy level and conditions in the office.
