Yes. Accounting software can automate parts of IOLTA reconciliation—such as importing bank transactions, matching entries, totaling balances, and preparing reports—but it cannot establish by itself that the records are accurate or compliant. Lawyers remain responsible for reviewing exceptions, retaining required evidence, and supervising the work. The procedure and timing depend on the jurisdiction.

What IOLTA reconciliation checks

A three-way reconciliation compares three records:

  1. Bank statement: The bank’s record of deposits, checks, fees, and the account balance.
  2. Trust-account register or general ledger: The firm’s running record of activity in the trust account.
  3. Client subledgers: The individual records showing how much of the trust balance belongs to each client or matter.

After accounting for outstanding transactions and other reconciling items, the adjusted bank balance, the trust register or general ledger, and the combined client-ledger balances should agree. California’s Handbook on Client Trust Accounting for California Attorneys explains that comparing the records can reveal an incorrectly recorded transaction. Iowa’s Trust Accounts guidance gives a practical reconciliation sequence.

Which parts can software automate?

Depending on the system and the firm’s setup, software may import bank activity, suggest matches, total client balances, identify unmatched items, and produce reconciliation reports. Automation can reduce repetitive entry and make discrepancies easier to spot, but a match is not proof that a transaction was recorded correctly or assigned to the right client.

A responsible workflow keeps the three records distinct and sends exceptions to a person for investigation. Review unmatched items, outstanding checks and deposits, bank charges, and client-level balances—including negative balances—rather than accepting a report simply because the software completed it.

A practical three-way reconciliation workflow

  1. Collect the records for the same period. Obtain the bank statement and the firm’s trust register or general ledger, plus the client or matter subledgers. Include a separate bank-charge ledger when applicable.
  2. Balance each client ledger. Check the transactions and ending balance for every client or matter. Investigate any negative client balance; do not let another client’s funds conceal it.
  3. Total the client balances. Add the subledger balances and compare the result with the trust-account records.
  4. Balance the register or general ledger. Check that its recorded deposits, payments, and ending balance reflect the firm’s records.
  5. Calculate the adjusted bank balance. Account for valid outstanding checks, deposits in transit, bank fees, and other reconciling items against the bank statement.
  6. Compare all three results and resolve differences. Trace discrepancies to their source, correct errors through the firm’s accounting controls, and document the resolution.
  7. Review and retain the completed reconciliation. Preserve the report and supporting records in the format and for the period required by the applicable jurisdiction.

This sequence reflects Iowa’s published guidance; local rules may prescribe different steps or documentation.

What still requires human review

  • Exceptions and errors: Investigate unmatched transactions and differences between records; do not treat automated matching as an audit.
  • Client-level accuracy: Confirm that funds are attributed to the correct client or matter and that client balances do not go negative.
  • Evidence and retention: Preserve the records that demonstrate the reconciliation was completed and reviewed.
  • Supervision: Assign appropriate review and oversight even if a bookkeeper, employee, or service provider performs the reconciliation.

The California State Bar says a lawyer remains personally responsible when reconciliation is delegated. Its handbook states: “Therefore, even if you do not personally perform the monthly account reconciliations, you must understand the process and exercise supervisorial oversight.”

Requirements vary by jurisdiction

Do not assume a single national procedure or schedule. California’s handbook requires monthly reconciliation and a written record for IOLTA and non-IOLTA client trust accounts. Iowa identifies monthly three-way reconciliation as required under Iowa Court Rule 45.2(3)(a)(9). Washington’s IOLTA Lawyer Trust Accounting FAQ describes a two-step process: reconcile the register to the bank statement, then compare total client-ledger balances with the reconciled register balance.

California also has a designated-licensee requirement specific to that state: accounts opened starting January 1, 2026 require designated-licensee information, and existing accounts must provide it between January 1 and July 1, 2026. The designated licensee must be a signatory and is responsible for performing or supervising monthly reconciliations. Consult current state bar or court guidance for the rules that apply to your account, including cadence, procedure, record retention, and any filing duties.

Choosing between manual, spreadsheet, and software workflows

California’s handbook says a three-way reconciliation may be maintained on paper, in Excel, in accounting software, or in another format that supports the process. That guidance does not make paid software a prerequisite. When evaluating a tool, focus on whether it supports the firm’s controls and applicable rules—not just whether it can import a statement.

  • Can it reconcile the bank record, trust register, and client or matter ledgers as separate views?
  • Does it handle the firm’s bank statement format and account for outstanding checks, deposits, fees, and other reconciling items?
  • Does it flag unmatched transactions and negative client balances rather than silently masking them?
  • Can the firm review and export reports, supporting records, and an auditable history?
  • Are backup, retention, access control, and security arrangements appropriate for the firm’s obligations?
  • Can the lawyer supervise staff or service providers using the tool, and does it fit the existing accounting and practice-management workflow?

The American Bar Association’s May 2025 article, “What Precautions Should Lawyers Using Online Services to Manage Trust Accounts Be Aware Of?”, describes legal-specific services and features including client ledgers, reconciliation, positive-pay controls, and separation of payment processing. Treat a vendor’s feature descriptions as claims to verify with the vendor using the firm’s own workflow; they do not demonstrate that a product satisfies a particular state’s rules.

For example, IOLTA Guard’s product page advertises monthly three-way reconciliation, client and matter ledgers, bank-statement import, audit trails, and reports. These are vendor claims, not independent verification of compliance. Confirm local-rule coverage, integrations, security terms, exportability, and exception handling before relying on any product.

Records to keep when using computerized records

Iowa’s guidance says firms keeping trust records by computer should print and retain the checkbook register, subaccount balances, and reconciliation report monthly, and should back up electronic records regularly. Requirements for format, backups, and retention can differ elsewhere, so check the applicable jurisdiction’s current instructions rather than assuming Iowa’s process applies nationally.
