A checklist app can make work easier to manage by moving task intentions out of your head and making progress easier to see. That can reduce the effort of remembering what comes next, especially for recurring tasks or time-sensitive plans. But an app is not a guaranteed productivity boost: results depend on whether the list fits the work and stays easy to maintain, and paper can work just as well for some people.

How a checklist app can help your workflow

Psychologists Evan F. Risko and Sam J. Gilbert describe cognitive offloading as using external actions or resources to reduce the information-processing demands of a task. A written list is a simple example: instead of keeping every intention in working memory, you record it somewhere you can check later. Their 2016 review of cognitive offloading explains the concept.

A checklist can also make the state of work visible: what is pending, what is done, and what needs attention. For a team, that visibility is useful only when people keep the shared list current; a stale list can mislead as readily as it can coordinate.

What the evidence does—and does not—show

A 2025 meta-analysis, published online on June 11, 2025, and assigned to the January 2026 issue of Memory & Cognition, found that offloading improved performance on memory-based tasks compared with relying on internal memory alone, and reduced variability between people’s performance. The effects varied by study design and conditions. This supports offloading as a strategy; it is not a direct estimate of how much a workplace checklist app will improve productivity. In a 2024 study, 112 participants reported upcoming plans and later whether they fulfilled them in two online surveys conducted in 2022. Setting a reminder predicted greater fulfillment. The study concerned self-reported real-world plans, not commercial checklist apps, and does not establish that reminders cause better workplace productivity in every setting. See the study record.

The most direct app-versus-standard-practice comparison in the available evidence came from a short, quasi-experimental study in one academic intensive care unit. Among 25 physicians and 1,983 recorded tasks, 99% of tasks were completed with a smartphone task app and 95% with standard practice, a difference reported at p = 0.006. However, the study did not meet its prespecified 8% superiority margin. The standard-practice group used paper notepads, and the findings apply to that specialized clinical setting—not to workplaces generally. A systematic review of electronic checklists in healthcare included 15 of 23 retrieved papers that discussed development and evaluated effectiveness or acceptance in clinical contexts. It found that expected benefits were not achieved in every context and called for greater attention to human-computer interaction and behavioral-science principles. That is a reason to judge a checklist by its fit and design, not proof about every consumer app. Read the review.

Digital checklist app or paper list?

Neither format is universally better. Choose the one that makes capture and follow-through easiest for the work you actually do.

Consideration Digital checklist app Paper task list
Capturing a task Useful if a device is already at hand and the app is quick to open. Useful if a notebook or paper list is already within reach.
Time-sensitive reminders Can surface a reminder at a chosen time, if notifications are enabled and useful to you. Requires you to check the list; it does not provide an electronic alert.
Recurring work May suit repeated tasks if the app supports the needed recurrence; check before choosing. Requires rewriting or reusing a list.
Shared status A shared list can show progress when collaborators update it. Sharing and keeping status visible may require passing around or duplicating the list.
Access and upkeep Consider whether it is easy to find across your devices, and whether setup, duplicate entry, or notifications add friction. Simple to start, but a physical list may not be available in every setting.
Changing work A digital list can be edited, but a fixed sequence may still be a poor fit for work that changes often. Easy to rearrange or annotate, though frequent changes can make a list harder to read.

These are practical trade-offs, not measured claims that one format produces better results. The ICU study compared an app with standard practice in its setting, while the healthcare review emphasized that design and context matter. Neither evaluated current commercial app features.

What to look for when choosing a checklist app

  • Fast capture: You should be able to record a task when it arises without interrupting the work for long.
  • Useful reminders: Look for reminders if you have time-sensitive intentions; avoid a setup that creates more notification burden than value.
  • Recurring tasks: Check that repeat schedules match your actual workflow rather than forcing you to rebuild the same list.
  • Shared lists and clear status: For team tasks, confirm that collaborators can see ownership and progress in a way they will reliably update.
  • Practical access: Make sure the list is easy to find in the places and on the devices where you work.
  • Low maintenance: Account for setup, duplicate entry, list review, and notification management. If maintaining the app becomes another task, it may not be helping.
  • Room for changing work: A checklist is strongest when the work is stable and repeatable. If the sequence changes constantly, a rigid checklist may slow you down.

These criteria are about fit, not a promise that any particular feature guarantees higher productivity. Evidence on healthcare checklists specifically warns that design and user interaction can affect whether expected benefits materialize.

Try a checklist without adding unnecessary overhead

  1. Pick one repeatable workflow. Start with a process that has a recognizable set of steps, rather than trying to list every responsibility in your job.
  2. Capture tasks as they arise. Put an item in the list promptly so you do not have to rely on remembering it later.
  3. Review at a consistent point in the day. Check what is due, what is complete, and what needs to move or change.
  4. Use reminders selectively. Reserve them for intentions where timing matters, and adjust them if they become noise.
  5. For shared work, keep status current. Agree who updates each item and when; otherwise, shared visibility may not reflect reality.
  6. Notice the upkeep cost. If copying tasks, managing alerts, or maintaining a fixed sequence takes too much effort, simplify the list or use paper.

Judge the approach by whether fewer tasks slip through and whether the list makes the work easier to coordinate—not by how many items it contains. The existing studies do not establish a general workplace productivity percentage, or whether checklists change long-term memory or learning independently of immediate task performance.
