Asana is the best overall marketing project management platform for most in-house teams. It combines campaign templates, intake forms, dependencies, approvals, proofing, portfolios, workload visibility, and dashboards without requiring the financial and client-service machinery of an agency platform. For agencies, however, Teamwork.com is the better choice because it is built around billable time, budgets, retainers, client access, resource planning, and profitability.
There is no universal winner. The right choice depends on whether you are coordinating an internal campaign, managing high-volume creative operations, serving external clients, or governing enterprise content production.
This guide compares nine widely used options by operating model, workflow, plan level, pricing mechanics, proofing, capacity planning, client access, and total cost—not just by the number of task-management features.
Pricing note: Prices below are public US list prices supplied for this guide, generally under annual billing, with a pricing snapshot observed on August 10, 2026. Taxes, promotions, nonprofit discounts, negotiated enterprise pricing, regional differences, seat minimums, add-ons, and future plan changes can alter the final bill. Verify pricing immediately before purchasing.

What marketing project management software actually does
Marketing project management software coordinates the operational path from an idea or request to a completed and approved deliverable:
request → brief → plan → production → review → approval → launch → follow-up
A serious implementation normally includes:
- Request intake and prioritization
- Campaign briefs and objectives
- Deliverables, owners, dates, and dependencies
- Content or campaign calendars
- Creative files and version collaboration
- Review, annotation, and approval stages
- Workload and capacity visibility
- Budget, effort, or billable-time tracking
- Status reporting and portfolio roll-ups
- Post-launch follow-up and handoff to analytics
It is not automatically the same thing as marketing automation, a CRM, a digital asset management system, proofing software, or a marketing analytics platform.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Scan for outdated or missing drivers - takes under a minute3Repair Windows errors before they cause bigger problems| System category | Primary job |
|---|---|
| Marketing project management | Coordinate people, work, dates, approvals, dependencies, and delivery |
| Marketing automation | Run email journeys, lead nurturing, segmentation, and campaign execution |
| CRM | Manage contacts, accounts, opportunities, and sales pipelines |
| Digital asset management | Store, govern, tag, approve, and distribute approved assets |
| Proofing software | Collect precise visual feedback and formal approval on creative files |
| Analytics or BI | Measure traffic, conversions, revenue, attribution, and campaign performance |
Some products combine several categories or connect to them through integrations. Before buying, determine whether a capability is native, available only on a higher plan, supplied by an add-on, or dependent on another product.
Choose by team and operating model
In-house marketing department
An internal team usually needs to coordinate product, sales, legal, finance, executives, web, content, and creative. Intake forms, reusable campaign templates, dependencies, approvals, content calendars, portfolio reporting, workload visibility, and integrations with collaboration and file tools matter more than billable invoicing.
Shortlist: Asana, monday work management, ClickUp, Wrike, and Smartsheet.
Default choice: Asana for the best balance of structure, campaign planning, and usability. Choose monday or ClickUp when customization is more important than standardization, and Wrike or Smartsheet when operations and reporting are more complex.

Marketing agency or creative services firm
An agency needs a different operating system. It must separate clients, protect internal work, record billable and non-billable time, monitor budgets and retainers, schedule people, collect client approvals, and report utilization and profitability.
Shortlist: Teamwork.com, Workamajig, Wrike, Scoro, and Adobe Workfront for larger enterprise agencies.
Default choice: Teamwork.com. Its agency offering explicitly covers client portals, client visibility, billable time, retainer management, workload planning, creative proofs, and profitability reporting. See the Teamwork.com agency overview.
Enterprise marketing operations
Large organizations should prioritize centralized intake, standardized workflows, role-based approvals, portfolio and resource planning, auditability, security controls, data governance, enterprise integrations, and reporting across business units and regions.
Shortlist: Adobe Workfront, Wrike Pinnacle or Apex, Smartsheet Enterprise or Advanced Work Management, Asana Enterprise or Enterprise+, and monday Enterprise.
Do not assume that a general-purpose tool is equivalent to Workfront. Workfront is designed for governed review and approval and integrates with Adobe’s content ecosystem, but it also brings a sales process and implementation burden.
Small internal team
A small team normally benefits from fast adoption, simple assignment, a calendar or board, lightweight approvals, predictable pricing, and minimal administration.
Shortlist: Asana, Trello, Basecamp, ClickUp, and monday work management.

Detailed reviews
1. Asana: best overall for most in-house marketing teams
Asana has one of the clearest end-to-end marketing workflows in this group. Its campaign management documentation covers planning, forms, execution, approvals, portfolios, and workload management.
Where it fits
- In-house marketing departments
- Product marketing and cross-functional launches
- Content and campaign teams
- Organizations using Google Workspace, Microsoft 365, Slack, or Adobe tools
Useful marketing capabilities
- Campaign templates and project briefs
- Forms that can be submitted by people who do not use Asana, with submissions becoming tasks
- List, board, calendar, timeline, and Gantt views
- Dependencies, rules, and custom fields
- Approvals and image proofing
- Portfolios, dashboards, and workload visibility
- Time tracking, formulas, and expanded integrations on higher tiers
Public US pricing
- Personal: free for up to two users
- Starter: $10.99/user/month annually or $13.49 monthly
- Advanced: $24.99/user/month annually or $30.49 monthly
- Enterprise and Enterprise+: custom pricing
Advanced adds portfolios, goals, workload, approvals and proofing, time tracking, formulas, and expanded integrations according to the Asana pricing page. The free or Starter plan may be enough for basic campaign coordination, but a team that specifically needs portfolio workload and richer proofing should price Advanced.
Limitations
- Personal is limited to two users.
- The marketing-relevant capabilities are distributed across plan levels.
- It is not a CRM, marketing automation platform, or DAM.
- Agencies may need separate client-service and financial tooling.
Do not choose Asana if billable utilization, retainers, project margins, or formal Adobe-centered content governance are the core requirements. Choose Teamwork.com or Workfront instead.

Teamwork.com is unusually aligned with the economics of client delivery. Its agency product page emphasizes client portals, billable and non-billable time, budgets, retainers, workload planning, proofs, and profitability reporting.

Where it fits
- Digital, advertising, and creative agencies
- Client-service marketing departments
- Teams tracking utilization, margins, retainers, and client budgets
Public US pricing
- Free: up to five users and five projects
- Basics: $9.99/user/month annually
- Accelerate: $24.99/user/month annually
- Optimize and Enterprise: custom pricing
The financial and resource features that make Teamwork.com particularly relevant to agencies should be checked against the selected tier rather than assumed to be available on the cheapest paid plan. Teamwork.com’s pricing information also says paid plans include TeamworkAI for an introductory period and that usage-based AI credits are scheduled to launch in September 2026. Recheck that policy before purchase.
Limitations
- It may be more operational and financially detailed than a small internal team requires.
- Higher plans are likely needed for the full agency workflow.
- Client access still needs a permissions test: confirm exactly what clients can view, comment on, approve, upload, and download.
Do not choose Teamwork.com solely because it has project tasks if you do not need client work, time tracking, or profitability. Asana or Trello may be simpler for a small internal department.
3. monday work management: best for visual, customizable workflows
monday is a strong choice for teams that think in visual boards and want to configure their own operating model. Its marketing work-management material covers content calendars, campaigns, creative requests, asset management, event management, dashboards, timelines, automations, annotations, and file versioning. The page identifies PageProof as a proofing app, so verify whether the required proofing is native or integration-based.
Public pricing
- Basic: $9/user/month annually
- Standard: $12/user/month annually
- Pro: $19/user/month annually
- Enterprise: custom pricing
monday uses seat buckets. Paid plans start at three seats and then generally increase in multiples of five. A four-person team will commonly pay for five seats, while a six-person team will commonly pay for ten. Confirm the exact bucket at checkout using the monday pricing rules.
Standard and above include automations and integrations. The published limits list 250 automation actions and 250 integration actions per month on Standard, 25,000 on Pro, and 250,000 on Enterprise. Workload is listed as a Pro capability and portfolio management as an Enterprise capability. See the automation and integration limits and Work Management plan comparison.
There is also an AI-cost caveat: monday says customers joining its AI work platform from May 6, 2026 purchase AI credits alongside seats, with listed monthly minimums of 1,000 credits on Basic, 2,000 on Standard, and 3,000 on Pro. It says Sidekick began consuming credits under the new model on July 27, 2026. Treat these dates and quantities as volatile and verify them at purchase using the AI pricing model.
Limitations
- Flexibility can produce inconsistent boards, statuses, and reports without governance.
- Proofing may depend on a marketplace application.
- Seat buckets can make the effective price higher than the headline rate.
- AI credits and automation quotas need to be included in the budget.
Choose monday when visual customization and dashboards matter more than having a prescribed marketing workflow. Choose Asana when you want a more standardized campaign operating model.

ClickUp offers a broad workspace combining tasks, Docs, forms, goals, dashboards, time tracking, automations, templates, and marketing campaign features. Its campaign management documentation describes content calendars, creative proofing, dashboards, and campaign workflows.
Public pricing
- Free Forever: free, with unlimited members and tasks, but only 60 MB of storage
- Unlimited: $7/user/month annually
- Business: $12/user/month annually
- Enterprise: custom pricing
ClickUp lists separate AI packages, including Brain AI at $9/user/month and Everything AI at $28/user/month under annual billing. Its pricing rules also state that upgrading applies to the entire Workspace rather than only selected members. Review the pricing page and Workspace billing rules.
Where it fits
- Small and midsize marketing teams
- Teams wanting Docs, tasks, goals, dashboards, and collaboration together
- Teams willing to design and maintain their own workflows
Limitations
- The large feature surface can make setup and governance difficult.
- 60 MB of free storage is restrictive for creative teams.
- AI is a separate cost center.
- A feature being available somewhere in ClickUp does not mean the default workspace is configured for marketing.
Choose ClickUp when breadth and value matter most and someone can own configuration. Choose Asana or Basecamp when adoption simplicity is more important.
5. Wrike: best for complex marketing operations
Wrike is designed for structured, high-volume work involving many requesters, teams, clients, approvals, and reporting layers. Its marketing guide describes request forms, creative briefs, automated workflows, capacity management, proofing, and reporting.
Free tools Windows power users keep installed

Public pricing
- Free: free
- Team: $10/user/month annually
- Business: $25/user/month annually
- Pinnacle and Apex: custom pricing
The displayed prices apply to new purchases occurring on or after January 21, 2026. Team supports two to 15 users, while Business supports five to 200 users. Wrike’s comparison table places advanced resource and capacity planning—including job roles, budgeting, resource bookings, and utilization dashboards—along with some advanced proofing and enterprise controls in higher tiers.
Where it fits
- Enterprise marketing operations
- Large creative and content teams
- Organizations with formal intake and approval systems
- Teams needing portfolio and capacity visibility
Limitations
- The Business price is not necessarily the cost of a complete creative-operations deployment.
- Pinnacle or Apex may be required for the strongest resource, governance, and reporting capabilities.
- Implementation and administration can be substantial.
- AI quotas and additional action packages require verification.
Choose Wrike when intake, capacity, proofing, and portfolio control are more important than a lightweight user experience.
6. Smartsheet: best for spreadsheet-oriented marketing operations
Smartsheet suits teams comfortable with rows, columns, formulas, dependencies, reports, and dashboards. It provides grid, Gantt, board, calendar, forms, reports, dashboards, automations, workload tracking, and higher-tier proofing and portfolio features.
Public pricing
- Pro: $9/member/month annually; one to ten members and unlimited Contributors
- Business: $19/member/month annually; minimum three members
- Enterprise: custom pricing
- Advanced Work Management: custom pricing
Business adds timeline view, workload tracking, unlimited automations, conditional form logic, expanded reporting, proofing, and more storage. Enterprise adds more advanced portfolio and scenario-planning capabilities. Consult the Smartsheet plan comparison for current gates and add-ons.
Where it fits
- PMO-style marketing organizations
- Teams migrating from Excel
- Data-heavy campaign planning
- Organizations needing formulas and structured operational dashboards
Limitations
- It can feel more like an operational planning system than a creative collaboration workspace.
- Proofing, resource management, Brandfolder, and related capabilities may be higher-tier features or add-ons.
- Unlimited sheets do not eliminate attachment, automation, API, or governance constraints.
Choose Smartsheet when data structure and reporting are central. Choose Asana when the team wants a more task-first experience.
7. Adobe Workfront: best for Adobe-heavy enterprise content operations
Adobe Workfront belongs on an enterprise shortlist when marketing work includes large-scale creative production, governed approvals, auditability, and an Adobe-centered content supply chain.
Workfront supports review and approval for documents, images, video, web content, and rich media. Adobe’s documentation describes comments, notifications, versions, annotations, and an approval audit trail. It also connects with Adobe Creative Cloud, Frame.io, and Adobe GenStudio. See the Workfront review and approval overview and proofing documentation.
Where it fits
- Large brands and regulated organizations
- Adobe Creative Cloud-heavy teams
- Enterprise creative production
- Content supply-chain governance
- Organizations needing formal, auditable approval records
Limitations
- Public pricing is not listed; expect a sales conversation.
- Implementation and administration require planning.
- It is excessive for a small team that only needs deadlines, tasks, and a basic calendar.
Choose Workfront when governed enterprise content operations are the problem. Do not describe it as universally better than Asana or monday; it solves a more complex problem at a different cost and implementation level.

8. Basecamp: best lightweight internal option
Basecamp provides message boards, to-dos, card tables, schedules, documents and files, reports, automatic check-ins, and internal chat. Its opinionated simplicity works for straightforward campaign coordination.

- Free: one project for up to 20 users
- Pro Unlimited: $299/month billed annually, with unlimited users and projects
See Basecamp pricing and features.
Basecamp is a reasonable choice for a small internal team that values communication and low administration. It is a poor fit when the team needs sophisticated portfolio management, resource capacity, billable time, agency profitability, or specialist proofing.
9. Trello: best lightweight Kanban option
Trello is effective for simple editorial pipelines and small campaign boards. Its cards, lists, checklists, labels, and optional views are easy to understand, but a board can remain an attractive task list rather than becoming a complete marketing operating system.
- Free: up to 10 collaborators per Workspace
- Standard: $5/user/month annually
- Premium: $10/user/month annually
- Enterprise: $17.50/user/month annually
Premium adds calendar, timeline, table, dashboard, and map views. See Trello pricing.
Recommended Free Tools
Choose Trello for a simple content pipeline or lightweight campaign. Do not choose it as the primary system for complex dependencies, capacity planning, budgets, formal approval governance, or agency profitability.
Features that matter in a marketing workflow
Intake forms
A useful marketing request form should capture more than a title and due date:
- Requester and requesting department
- Campaign or business objective
- Audience and channel
- Deliverables and asset types
- Required launch date
- Budget or expected effort
- Priority
- Approvers and compliance requirements
- Supporting files and references
Asana can turn form submissions into tasks, including submissions from people who do not use Asana. Wrike uses request forms to capture requirements such as deadlines, budgets, images, and asset types and can automate the resulting workflow. monday WorkForms can route project ideas into a request or approval board. Verify each product’s permissions and routing behavior during a pilot rather than relying on the word “forms” in a feature list.
Briefs and templates
A brief should remain connected to the execution system. Check whether it links directly to deliverables, owners, dates, budgets, approvals, supporting files, and performance objectives.
Quick wins for a faster PC:
Repair Windows errors before they cause bigger problemsFix Now →Scan for outdated or missing drivers - takes under a minuteDriver Scan →Create reusable templates for recurring work such as product launches, webinars, paid-media campaigns, blog series, email campaigns, events, customer case studies, website releases, and brand campaigns. A good template includes milestones for legal review, localization, UTM tracking, launch checks, and post-launch analysis where relevant.
Dependencies and milestones
Marketing software should expose sequencing constraints, not merely list tasks. For example:
- A landing page cannot launch before copy and design are approved.
- Paid media cannot begin before creative, tracking, and legal review are complete.
- Sales enablement cannot publish before product messaging is finalized.
- Localization cannot begin before the source asset is approved.
During a trial, create at least one cross-functional campaign with real dependencies and move its launch date. Check whether downstream dates update, whether stakeholders can see the effect, and whether the system clearly identifies the blocked work.
Calendars
Distinguish among a calendar that merely displays due dates, a true content calendar with channel, format, campaign, owner, status, and publish-date fields, and a cross-project calendar that aggregates campaigns. Also check whether the calendar connects to publishing or marketing automation systems; a project calendar alone does not publish content.
Approvals and proofing
These are related but different:
- Task approval: whether the work is ready.
- File proofing: precise feedback on an image, PDF, video, presentation, web page, or other asset.
- Multi-stage approval: creative, legal, compliance, executive, or client review in a defined sequence.
- Final sign-off: a recorded decision identifying the approved version.
Basic comments are not equivalent to visual annotation, version comparison, reviewer roles, approval decisions, and an audit trail. Test real files, especially video, PDFs, web pages, and localized variants. Workfront is the clearest enterprise example of governed proofing in this comparison; other products may provide basic annotations, higher-tier proofing, or an integration.
Workload and capacity
A task count is not capacity planning. A designer with three complex videos may be more overloaded than a writer with ten short edits. Look for:
- Planned and actual hours
- Availability by person and role
- Over-allocation warnings
- Work across multiple campaigns
- Tentative versus committed work
- Reassignment without rebuilding the project
- Meetings, recurring work, and non-project responsibilities
Asana documents using portfolios and workload to monitor campaigns and balance capacity. Wrike places advanced resource planning, job roles, budgeting, resource bookings, and utilization dashboards in higher tiers. Teamwork.com emphasizes workload planning, capacity, time budgets, retainers, and client invoicing on higher paid plans.
Budgets, time, and profitability
For an internal team, budget may mean campaign spend or internal effort. For an agency, it may mean billable hours, cost rates, client billing rates, retainer burn, margin, scope changes, and planned versus actual effort.
Do not assume that a budget field equals financial management. Confirm whether the platform supports time entries, rates, formulas, invoice data, accounting integrations, and margin reporting—or merely stores a manually entered budget number.
Dashboards and marketing results
Project dashboards can report tasks completed, overdue work, status, workload, and project progress. They do not automatically report leads, pipeline, revenue, CAC, conversion rate, ROAS, MQL-to-SQL rate, email engagement, organic traffic, or attribution.
Use the project platform as the execution layer and connect it to CRM, marketing automation, analytics, or BI systems for performance measurement. A campaign can be perfectly on schedule and still fail commercially.
Integrations, security, and governance
Assess integrations with the tools the team already uses, such as Slack, Microsoft 365, Google Workspace, Adobe Creative Cloud, Figma, Frame.io, HubSpot, Salesforce, accounting platforms, and BI systems. A marketplace integration may not provide the same depth or auditability as a native feature.

For enterprise deployments, verify SSO, user provisioning, role-based access, audit history, data residency, retention, export options, API limits, and security documentation. Do not award security capabilities merely because a product has an Enterprise plan.

AI
Evaluate AI as an operational feature, not as a deciding buzzword. Ask:
- Does it use the team’s existing campaign context?
- Can a manager audit and correct the output?
- Does it reduce setup or reporting time?
- Is usage included, metered, or sold as an add-on?
- Are credits shared across the Workspace?
- Does it preserve approvals and accountability?
- Does it create cleanup work that offsets the time saved?
ClickUp lists separate AI packages. monday has introduced an AI-credit model for specified customers. Teamwork.com has announced usage-based AI credits for September 2026, and Wrike’s plan comparisons reference AI quotas and additional action packages. These policies are volatile and should be rechecked before purchase.
How to score the shortlist
Do not rank tools using unexplained editorial preference. For a typical in-house team, use this starting weighting:
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Fix the driver behind crashes, sound loss and screen glitches3Repair Windows errors before they cause bigger problems| Criterion | Weight |
|---|---|
| Campaign planning, dependencies, and milestones | 15% |
| Intake forms, briefs, and templates | 15% |
| Creative review, proofing, and approvals | 15% |
| Content calendar and multi-project visibility | 10% |
| Workload and capacity planning | 15% |
| Dashboards, reporting, and status visibility | 10% |
| Integrations and data portability | 10% |
| Adoption, usability, and administration | 5% |
| Price and plan transparency | 5% |
Score each candidate from one to five using the same real workflow. For agencies, increase the weighting for client permissions, billable time, budgets, retainers, profitability, resource scheduling, and client approvals. For enterprise operations, increase the weighting for governance, auditability, SSO and provisioning, portfolio management, capacity planning, workflow standardization, integration architecture, security, and data residency.
Total cost of ownership
The headline per-user rate is only the starting point. Calculate:
- Paid internal seats and minimum seat counts
- Guest, client, contributor, or view-only access
- Seat buckets and annual versus monthly billing
- Proofing, time-tracking, resource-management, and AI add-ons
- Automation and integration quotas
- Storage limits
- Onboarding, professional services, support, and migration
- Custom integrations and separate DAM, CRM, analytics, or accounting systems
Example A: five-person in-house team
The following are annual-billing, seat-only monthly baselines using the supplied public list prices. They are not equivalent recommendations because the plans include different capabilities.
| Product and plan | Five-seat monthly baseline | What it means |
|---|---|---|
| Asana Starter | $54.95 | Good structured campaign coordination; check whether required proofing and workload features require Advanced |
| Asana Advanced | $124.95 | More realistic when portfolios, workload, approvals, proofing, time tracking, and formulas matter |
| Teamwork Basics | $49.95 | Low seat baseline, but not necessarily the full agency-finance workflow |
| Teamwork Accelerate | $124.95 | More appropriate when time, capacity, budgets, and client work matter |
| monday Basic | $45 | Five-seat bucket; check feature limits |
| monday Standard | $60 | Adds automation and integration capacity, subject to monthly quotas |
| monday Pro | $95 | Workload and larger automation/integration allowances |
| ClickUp Unlimited | $35 | Low-cost broad task workspace |
| ClickUp Business | $60 | More realistic for heavier marketing workflows; AI is separate |

| Wrike Business | $125 | More realistic for formal workflows; advanced operations may require custom tiers |
| Smartsheet Pro | $45 | One to ten members; unlimited Contributors under the stated plan rules |
| Smartsheet Business | $95 | Workload, proofing, reporting, and automation are more plausible here |
| Trello Standard | $25 | Simple board-based coordination |
| Trello Premium | $50 | Adds calendar, timeline, table, dashboard, and map views |
| Basecamp Pro Unlimited | $299 | Flat price rather than a five-seat calculation; unlimited users and projects |
These figures exclude taxes, promotions, AI, storage or proofing add-ons, and onboarding. Asana’s paid plans have a minimum two-seat subscription, while guests do not count toward the subscription in the same way as organization members; confirm the exact rule for your workspace using Asana’s subscription guidance. monday’s five-seat calculation reflects its bucket model. ClickUp’s Workspace-wide upgrade rule can be important if only some members need advanced features.

Seat-only baselines for 20 internal users are:
| Product and plan | 20-user monthly baseline | Agency interpretation |
|---|---|---|
| Teamwork Basics | $199.80 | Check whether client access, billable time, budgets, retainers, and profitability are included at this tier |
| Teamwork Accelerate | $499.80 | More credible starting point for capacity, time, budgets, and client delivery |
| Asana Advanced | $499.80 | Strong project coordination, but separate agency-finance tooling may still be needed |
| monday Standard | $240 | 20-seat bucket; add cost for higher automation needs or AI credits |
| monday Pro | $380 | Workload and larger quotas; client permissions and proofing still require testing |
| ClickUp Business | $240 | Broad functionality; add AI if required and validate client isolation |
| Wrike Business | $500 | Structured agency and creative operations; advanced capacity may be custom |
| Smartsheet Business | $380 | Strong structured planning; verify client collaboration and proofing model |
| Trello Premium | $200 | Low-cost boards, but separate tools are likely for profitability and formal client approvals |
| Basecamp Pro Unlimited | $299 | Flat user pricing, but limited financial and capacity controls |
External-client pricing and permissions are not safely inferable from these seat calculations. A 20-person agency should request a quote or test client-style accounts for comment, approval, upload, download, project visibility, and billing behavior. Include accounting integration, proofing, migration, and onboarding in the agency total—not just internal seats.

Use a real campaign rather than a generic demo. A two- or three-tool pilot should include the people who request work, produce it, approve it, manage capacity, and consume reports.
- Import one real campaign with its brief, deliverables, dates, owners, files, and existing decisions.
- Submit a request through the intake form as a requester who is not a project administrator.
- Convert the request into a brief and plan without retyping the same information.
- Assign owners and dependencies across content, design, web, legal, sales enablement, and launch.
- Attach real creative, including at least one PDF or image and one video, presentation, or web asset if relevant.
- Run two review rounds with a rejection, revision, and final approval.
- Invite an external reviewer using a client-style or guest account and inspect every permission.
- Create a status dashboard showing overdue work, milestones, blocked tasks, and campaign status.
- Check workload across three simultaneous campaigns, including planned hours and recurring work.
- Export the data and confirm that tasks, custom fields, comments, files, and approval history can be retained or migrated.
- Review the audit history for the approved version, decisions, and permission changes.
- Calculate the actual cost using the required seats, guest model, proofing, AI, automation, integrations, storage, and onboarding.
Proofing test matrix
| Asset | What to test |
|---|---|
| PDF or presentation | Page-level comments, version comparison, resolved comments, final approval |
| Image | Visual annotation, precise coordinates, replacement version, reviewer identity |
| Video | Time-stamped comments, version history, approval state, download controls |
| Web page or HTML | Rendered review, links, responsive behavior, legal and accessibility feedback |
| Localized asset | Separate variants, source approval, language-specific reviewers, final sign-off |
If the platform handles only task comments for the file types you use, classify it as task collaboration rather than specialist proofing.
Implementation guidance
- Inventory current work. List tools, request channels, active campaigns, files, approval paths, reports, and integrations.
- Define the taxonomy. Establish naming conventions for campaigns, channels, deliverables, teams, regions, and quarters.
- Define required fields. At minimum consider objective, audience, channel, owner, priority, launch date, status, approver, budget, and compliance requirements.
- Limit status options. A controlled set such as Requested, In planning, In progress, In review, Blocked, Approved, Published, and Complete is easier to report consistently than dozens of custom labels.
- Build a template library. Assign an owner for product launch, content, event, paid-media, email, website, and creative templates.
- Set approval rules. Define who can request, review, reject, approve, and publish each class of work.
- Migrate one representative campaign first. Include briefs, files, decisions, dependencies, and reporting—not only open tasks.
- Test integrations and permissions. Include a normal contributor, manager, executive, legal reviewer, and external client where applicable.
- Train managers and contributors differently. Managers need intake, prioritization, capacity, and reporting; contributors need task updates, files, comments, and approvals.
- Set a hard cutover date. Archive the old system as read-only if possible.
- Measure adoption after 30 and 90 days. Track request completeness, overdue work, time to triage, approval cycle time, template usage, and the percentage of active campaigns represented in the system.
Common failure modes and fixes
The tool becomes a second inbox
If requests continue arriving through email, Slack, Teams, and verbal conversations without entering the platform, its dashboards will never be reliable.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
Fix: create one request form, make key fields mandatory, assign an intake owner, set a triage service-level target, and redirect unstructured requests.
The team tracks tasks but not decisions
A task list does not preserve why a campaign changed, who approved it, or which version is final.
Fix: keep decisions in the project or proof record, use explicit approval statuses, require a reason for rejection, and store the approved asset and version in the same workflow.
Every campaign starts from scratch
Without templates, teams repeatedly recreate briefs, milestones, legal review, localization, tracking, launch checks, and post-launch analysis.
Fix: create templates for the campaign types the team runs repeatedly and review them quarterly.
Workload is mistaken for capacity
A chart based only on task count can make a person with many small tasks look more overloaded than a designer with three complex videos.
Fix: add effort estimates, planned versus actual hours, meetings, recurring responsibilities, and non-project work. Confirm that capacity spans all relevant projects.
Clients are added as full users
This can inflate cost and expose internal work.
Fix: test guest and client roles before purchase. Confirm whether external users are billed and whether they can see only selected projects, comment, approve, upload, or download.

Fix: run the proofing test matrix with the team’s actual files.
AI increases rather than reduces cost
AI-generated tasks, summaries, and plans are not automatically valuable. Metered credits, quotas, and add-ons can materially change the total price.
Fix: estimate monthly usage, determine whether credits are shared, measure cleanup time, and verify whether approval and accountability remain clear.
Reporting shows activity instead of results
Tasks completed and milestones met are execution metrics, not campaign ROI.
Fix: connect the project system to CRM, marketing automation, analytics, or BI tools, and define which system owns each performance metric.
A flexible tool becomes inconsistent
Highly configurable tools can accumulate different status names, date fields, approval conventions, ownership models, and reporting definitions.
Fix: use a controlled template library, required fields, limited statuses, a named system owner, and quarterly governance reviews.
Migration is underestimated
Moving only active tasks while leaving briefs, files, decisions, and reporting history behind creates a fragmented system.
Fix: inventory current workflows, define the new taxonomy, migrate one representative campaign, test permissions and integrations, train users, establish a cutover date, and retain the old system as read-only when possible.

Frequently Asked Questions
What is the best free marketing project management software?
For a very small team, Trello, ClickUp, Basecamp, or Asana can be useful free starting points, but their limits differ. Asana Personal supports up to two users, Trello Free supports up to 10 collaborators per Workspace, Basecamp Free supports one project for up to 20 users, and ClickUp Free has a 60 MB storage limit. Free plans commonly restrict proofing, workload planning, forms, automation, storage, or portfolio reporting, so test a real campaign before relying on one.
What is the best software for a marketing agency?
Teamwork.com is the strongest default shortlist choice because its agency workflow centers on client access, billable time, budgets, retainers, workload planning, proofs, and profitability. Wrike and Adobe Workfront may be better for larger or more governed creative operations. Confirm client permissions and the exact paid-plan features before signing.
Quick wins for a faster PC:
Clear out junk files and repair common Windows errorsFree Scan →Scan for outdated or missing drivers - takes under a minuteDriver Scan →Is Asana or monday better for marketing?
Asana is generally the better default for an in-house marketing team that wants a coherent campaign workflow with forms, dependencies, approvals, portfolios, and workload visibility. monday is better when the team wants highly visual, configurable boards and dashboards. monday’s seat buckets, automation limits, plan gates, and AI-credit model should be included in the cost comparison.
Is ClickUp suitable for marketing teams?
Yes. ClickUp combines tasks, Docs, forms, dashboards, goals, time tracking, automations, templates, content calendars, and creative proofing. Its weakness is not a lack of features but the configuration burden. Assign an administrator, standardize statuses and fields, and budget separately for AI and storage if the team handles large creative files.
Which tools include creative proofing?
Asana offers approvals and image proofing on relevant higher tiers; ClickUp markets creative proofing; Wrike provides proofing with stronger capabilities at higher tiers; Teamwork.com includes creative proofs in its agency offering; and Adobe Workfront provides enterprise review and approval for documents, images, video, web, and rich media. monday may use PageProof for proofing. Test the exact file types, annotations, versions, reviewer roles, and audit trail you need.
Which tools track billable time?
Teamwork.com is the clearest fit for billable and non-billable time tied to budgets, retainers, client work, and profitability. Asana and ClickUp include time-tracking capabilities on relevant plans, but that does not automatically make them agency financial systems. Verify rates, invoicing, accounting integrations, utilization, and margin reporting separately.
Recommended Free Tools
Can marketing project management software track campaign ROI?
Usually not by itself. Project tools are strong at execution metrics such as task status, deadlines, workload, and approvals. Leads, revenue, conversion rate, ROAS, attribution, and customer acquisition cost normally belong in CRM, marketing automation, analytics, or BI systems connected to the project platform.
How many users should be included in a pilot?
Include the people who request work, produce it, approve it, manage capacity, and consume reports. A practical pilot should include at least one requester, contributor, manager, approver, executive or reporting user, and external reviewer where relevant. Use a real campaign and three simultaneous workstreams rather than a presentation-only demo.
Do clients or guests count toward billing?
The answer varies by product and workspace model. Asana documents different treatment for guests and organization members, while monday uses seat buckets and other products have their own contributor or client rules. Never assume an external reviewer is free: test a client-style account and confirm whether it can comment, approve, upload, download, or see internal projects.
What should a marketing campaign template contain?
Include the campaign objective, audience, channels, deliverables, owners, milestones, dependencies, launch date, budget or effort estimate, creative and copy stages, legal and compliance review, executive or client approval, tracking requirements such as UTM parameters, localization tasks where relevant, launch checks, and post-launch reporting.
How do you migrate from spreadsheets?
Inventory current sheets, active campaigns, files, decisions, formulas, reports, and integrations. Define a new taxonomy and required fields, migrate one representative campaign, test permissions and exports, train managers and contributors, set a cutover date, and archive the old spreadsheets as read-only if possible. Do not migrate only open task rows while leaving briefs and approval history behind.
Does AI cost extra in marketing project management software?
Often. ClickUp lists separate AI packages, monday has an AI-credit model for specified customers, Wrike references AI quotas and additional action packages, and Teamwork.com has announced usage-based AI credits for September 2026. Ask whether AI is included, metered, shared across the Workspace, or charged per user, then measure usage during the pilot.
The Bottom Line
Start with Asana if you run an in-house marketing department and want the best balance of campaign structure, intake, dependencies, approvals, workload visibility, and adoption. Start with Teamwork.com if you run an agency or client-service team where billable time, retainers, budgets, capacity, client approvals, and profitability are essential. Move to Wrike, Smartsheet, or Adobe Workfront when governance, high-volume operations, data structure, or enterprise content production justify the additional complexity. Whatever you choose, make the final decision with a real-campaign proof of concept and a complete cost calculation.
