The recommendations below focus on free-forever plans and clearly separate self-hosted options. Plan limits change, and several vendors currently publish conflicting information, so verify the limits shown during signup before importing business data.

There is no universal best free CRM. Your practical choice depends mostly on four questions: how many people need access, how many contacts or records you have, whether you need automation, and whether marketing or customer-support tools belong in the same system.

These are editorial recommendations, not vendor rankings. A contact limit, record limit, marketing-contact limit, and email-send limit measure different things.
What CRM software actually does
A CRM, or customer relationship management system, is more than a digital address book. It gives a business a repeatable way to move a prospect from first contact to sale and then retain the customer.
A useful CRM normally centralizes:
- Contacts and the companies they belong to
- Leads, prospects, and opportunities
- Deal stages, values, owners, and expected close dates
- Tasks, calls, meetings, notes, and follow-up reminders
- Email history and sometimes calendar activity
- Lead sources and webform submissions
- Sales reports, dashboards, and forecasts
- Customer-service conversations, tickets, or shared inbox messages
The meaningful test is not how many features a vendor lists. It is whether the system helps your team answer: Who is this person, what is the opportunity, what happened last, who owns it, and what should happen next?
What a genuinely useful free CRM should include
At minimum, a free CRM should provide the following without an expiration date:

- Lead or prospect records
- At least one visual deal pipeline
- Tasks and reminders
- Notes and activity history
- CSV import and export
- Email connection or reliable email logging
- Mobile access or a usable mobile browser
- Basic reporting
- A free plan that does not force a trial expiration
Useful differentiators include web-to-lead forms, workflow automation, email templates and tracking, meeting scheduling, shared inboxes, live chat, helpdesk tickets, custom fields, role-based permissions, multiple pipelines, API access, integrations, backups, and an audit history.
Do not assume that an advertised feature is included in the free tier. Product pages commonly describe the entire platform, while the plan-comparison page or help documentation contains the actual restriction.

1. Zoho CRM Free: best overall for a small sales team
Choose it if: you need a conventional CRM for up to three people and want more operational depth than a basic contact manager.

It offers the core objects and process structure that a spreadsheet lacks, while the 5,000-contact allowance is more practical than the 250-contact cap on EngageBay’s free pricing page.
The trade-off is complexity. Zoho is a fuller traditional CRM, so its interface and configuration can feel heavier than HubSpot, Freshsales, Bigin, or Streak. The first hard limit is usually the three-user ceiling; a process-heavy team may also exhaust the five workflow rules before it exhausts its contacts.
To configure a workflow, Zoho documents the path as Setup → Automation → Workflow Rules → Create Rule. Start with one or two high-value rules, such as creating a follow-up task after a new webform lead arrives or notifying an owner when a deal changes stage. Its free plan is not a replacement for a full marketing-automation suite.
Verdict: Start with Zoho CRM Free when you want the safest all-around traditional CRM choice and can stay within three users.
2. HubSpot Free: best for ease of setup and ecosystem integration
Choose it if: you are a solo operator or two-person team that values a friendly interface, connected email tools, and a broad integration ecosystem.
HubSpot’s current US-facing CRM pricing page states that free access is limited to two users and 1,000 contacts, with no time limit. The free tools include capabilities such as email tracking, meeting scheduling, forms, live chat, mobile access, and integrations.
There is an important current discrepancy. Other HubSpot marketing pages still advertise free access with unlimited users and up to 1 million contacts; for example, see the product page. For buying purposes, treat the current pricing page as the operational source of truth, then confirm the limits displayed in your account before importing data.
HubSpot can be the fastest way for a solo consultant or a two-person business to get a basic pipeline, form, meeting link, and email workflow running. It is also a sensible choice when the business already uses HubSpot tools or expects to connect many common business applications.

The likely first constraint is not functionality but scale: the current two-user or 1,000-contact limit. Also distinguish contacts from records. HubSpot’s pricing information describes 1,000 contacts while allowing up to one million records across other standard object types; those numbers do not mean that you can market to one million people for free.
Verdict: Choose HubSpot for a clean start and ecosystem convenience, but do not rely on older articles repeating its larger legacy or marketing-page limits.
3. EngageBay: best all-in-one free sales, marketing, and support bundle
Choose it if: your business needs CRM, email marketing, landing pages, autoresponders, sequences, helpdesk, and live chat in one service.
EngageBay’s current all-in-one pricing page lists 250 contacts and 1,000 branded emails on its free plan. EngageBay separately advertises the plan for up to 15 users on its main product page.
The feature bundle is unusually broad for a no-cost tier. It combines contact and deal management with email campaigns, autoresponders, landing pages, sequences, forms, helpdesk functions, and live chat. That makes it a better fit than Zoho when the business needs marketing and support from day one rather than only sales tracking.
The cost of that breadth is the very small contact allowance. A 15-user CRM with 250 contacts may work for a small local business with a tightly controlled list, but it is a poor fit for an agency or newsletter-driven business that expects rapid database growth. The 1,000 branded-email quota is also not comparable to Zoho’s 150 individual emails per day: one is a marketing-email allowance, while the other is an individual-email allowance.
Verdict: Pick EngageBay when the all-in-one marketing and support tools matter more than contact capacity. Confirm whether the 250-contact limit is sufficient for the whole account before inviting a large team.

4. Bitrix24: broad collaboration tools, but verify the free seat rule
Choose it if: you want CRM features alongside tasks, calendars, chat, video calls, and shared workspace functions.

Do not state that the free plan definitely supports unlimited users without checking the plan presented during signup.
This is the most important Bitrix24 qualification. A large team should not build its operating process around an unlimited-user claim when the same official pricing page presents a two-user limit. Storage, advanced CRM functions, reports, automation, and other workspace features can also be more important than the nominal seat count.
There is a second policy issue: Bitrix24 documentation discusses deletion of inactive free accounts, but current official pages conflict over whether the inactivity period is 40 or 50 days. Link to the current help documentation and verify the policy before using Bitrix24 as the only location for irreplaceable customer data.
Verdict: Bitrix24 is potentially the best free option for a larger collaborative team, but its current plan and inactivity inconsistencies make signup-time verification essential.

5. Freshsales: best polished option for a three-person sales team
Choose it if: you want a focused sales CRM for up to three users and do not need sophisticated free automation.
Freshworks’ current comparison page lists a free Freshsales plan for up to three users, with contact, account, and deal management, Kanban views, email templates, dashboards, productivity integrations, and limited customization.
Its main weakness is workflow automation. Independent testing coverage from TechRadar identifies the absence of workflow automation on the free tier: you can create tasks and reminders, but a status change does not automatically trigger a workflow. That distinction matters if your process depends on automatic assignment, follow-up emails, or stage-based tasks.
Freshsales is more attractive when the team wants a relatively focused sales workspace rather than a large all-in-one business platform. Verify the current contact and account limits in the account because the supplied plan information does not establish a single reliable contact quota.

6. Agile CRM: best for free marketing automation
Choose it if: marketing automation and lead capture matter more than a modern interface or a large database.
Agile CRM’s free edition supports 10 users and up to 1,000 contacts. It includes email marketing, marketing automation, webforms, popups, Google synchronization, appointment scheduling, a plugin, and deal automation.
That is a strong feature-to-license-cost combination for a small marketing-led team. It can support forms, appointment capture, and automated follow-up without requiring a paid marketing platform immediately.
The trade-offs require a trial evaluation of your own. The product’s interface, maturity, support experience, and upgrade economics may not suit every organization, and the 1,000-contact ceiling can arrive quickly for a marketing database. Treat the vendor’s feature claims as plan claims, not as evidence of performance or deliverability.
Verdict: Agile CRM is worth shortlisting when marketing automation is the deciding feature and 1,000 contacts is enough.
7. Vtiger One Pilot: best broad free suite with a 10-user cap
Choose it if: you want sales, marketing, project management, and customer support in one platform.
Vtiger’s One Pilot plan currently lists up to 10 users, 3,000 records, 3 GB of storage, contact and lead management, deal pipelines, workflows, email sequences, marketing functions, helpdesk capabilities, project-management features, mobile access, and 1,000 emails per month.
Vtiger is a credible middle ground between a narrowly focused sales CRM and an all-in-one service such as EngageBay. It is particularly interesting for a small agency or service business that needs customer cases and projects connected to sales records.
Pay close attention to the word records. If contacts, companies, deals, activities, notes, or other objects share the 3,000-record quota, the practical capacity may be lower than a 3,000-contact CRM. Storage is another likely constraint: attachments, documents, and email-related data can consume 3 GB sooner than expected.
Verdict: Pick Vtiger if the breadth of CRM, support, project, and marketing features outweighs the shared record and storage limits.
8. Attio: best modern and flexible relationship database
Choose it if: you need flexible relationship tracking rather than a conventional sales-and-service CRM with extensive permissions.

Attio’s free plan supports up to three seats, 50,000 records, three objects, email and calendar syncing, automatic enrichment, up to three reports, and 200 email sends per month.
The 50,000-record allowance is generous on paper, but the product’s data-model restrictions matter. The free plan has only three objects, no access controls, and limited outbound email. That makes it attractive for a founder managing relationships, partnerships, or a flexible pipeline, but less suitable for a multi-team organization with different permissions or a marketing-heavy outbound program.

Verdict: Choose Attio when flexibility and relationship intelligence matter more than standard CRM modules, permissions, and email volume.
9. Bigin Free: best lightweight solo pipeline
Choose it if: you are one person with a small, straightforward sales pipeline.

The critical detail is that the quota is not necessarily 500 contacts. Bigin counts records across modules including contacts, companies, pipelines, activities, products, notes, tasks, events, and calls. A solo user can therefore reach the ceiling while the contact list itself appears much smaller.
Verdict: Bigin is a sensible simple starter pipeline, but do not choose it for a growing prospect database or a team that needs shared access.
10. Streak: best when Gmail is the CRM workspace
Choose it if: nearly all customer communication occurs in Gmail and you want CRM-like tools embedded there.

Streak’s free offering emphasizes Gmail email tools such as tracking, snippets, thread splitting, and mail merge. Its pricing page makes the distinction between free email power tools and paid comprehensive CRM collaboration. Free mail merge is limited to 50 messages per day, according to Streak’s documentation.
Streak is not the strongest recommendation if you need a full free team CRM with broad permissions, shared pipelines, and extensive reporting. It is a strong Gmail-native option for organizing sales conversations without asking a solo user to live in a separate CRM application.
Verdict: Choose Streak for Gmail-centered individual workflows; choose Zoho, HubSpot, or Freshsales for a conventional shared CRM.
11. Self-hosted free CRM: EspoCRM, Twenty, SuiteCRM, and Odoo Community
Choose this category if: avoiding recurring SaaS license fees and retaining control of the deployment are more important than convenience.
Self-hosted software is free to download or deploy, but it is not cost-free in practice. You still need hosting or a server, a domain and TLS configuration where applicable, email delivery, backups, monitoring, security patching, database administration, upgrade testing, disaster recovery, and someone who can troubleshoot failures.

EspoCRM identifies its downloadable software as free under the AGPLv3 license. Twenty provides a free self-hosted edition with its Pro features in its billing documentation. SuiteCRM explicitly distinguishes free software from paid hosting, setup, and support, while Odoo Community is open source and free but can involve substantial deployment and customization work.
Do not equate self-hosting with automatic privacy or security. It gives you more control, but you become responsible for securing and operating the system.
Best free CRM by use case
Best free CRM for a solo business
Choose Bigin for a very small, uncomplicated pipeline, but only if 500 shared records and one user are enough. Choose HubSpot if you want the easiest start and 1,000 contacts are sufficient. Choose Attio if you need flexible relationship tracking, or Streak if Gmail is where your work already happens. Choose Zoho if you expect to add two collaborators later.
Best for a two-person team
HubSpot Free is a natural fit under the current pricing page if the team has no more than two users and 1,000 contacts. Zoho CRM Free is the safer choice when contact capacity and workflow rules matter more than simplicity.
Best for a three-person team
Zoho CRM Free has the strongest traditional CRM allowance: three users and 5,000 contact records. Freshsales is worth considering for a more focused sales workflow if free workflow automation is not required. Attio fits a flexible relationship model, but its three-object and permissions limitations should be acceptable to all users.
Best for four to 15 users
Start with EngageBay, Agile CRM, or Vtiger. EngageBay advertises up to 15 users but has only 250 contacts on its current pricing page. Agile CRM supports 10 users and 1,000 contacts. Vtiger supports 10 users and 3,000 records. Bitrix24 may be an alternative, but verify whether the current account actually permits the required number of users.
Best for marketing
EngageBay has the broadest combined free package for landing pages, autoresponders, sequences, email marketing, helpdesk, and live chat. Agile CRM is the other leading candidate for marketing automation. Zoho is better for basic workflow-driven follow-up than for a full marketing journey, while HubSpot is attractive for forms, meetings, chat, and ecosystem integration but constrained by its current contact and user limits.
Best for customer support
Choose EngageBay if you need helpdesk and live chat in the same all-in-one plan. Choose Vtiger if email-to-case, SLA-related functions, projects, and CRM context matter. HubSpot advertises ticketing and shared-inbox capabilities, but verify each feature against the current free-tools matrix because its product pages and pricing pages are not always aligned.
Best for Gmail or Outlook
Streak is the clearest Gmail-native choice. HubSpot connects with Gmail, Google Workspace, and Outlook. Agile CRM offers Google synchronization and Gmail integration, while EngageBay lists Gmail, Outlook, and Office 365 integrations. Vtiger lists Google and Microsoft productivity integrations.
Check what the integration actually does. Email synchronization, automatic logging, tracking, mail merge, shared inboxes, two-way calendar sync, and one-click sending are different capabilities.
Best for nonprofits
For a small nonprofit with one to three active CRM users, start with Zoho CRM or HubSpot depending on whether capacity or simplicity is more important. For a larger volunteer or support operation, evaluate Vtiger or EngageBay. The recommendations here are based on free-plan structure, not a verified nonprofit discount, compliance certification, or special nonprofit support. Confirm data-processing, consent, export, and support requirements directly with the vendor.
Best for agencies
An agency should estimate the total number of client contacts, not just the number of internal users. Zoho is a strong starting point for a small team; Vtiger is more suitable when projects and support must connect to deals; EngageBay is useful only if 250 contacts across the account is genuinely enough. If each client needs separate access controls or pipelines, test those permissions before committing.

Best for multiple pipelines
Choose a conventional CRM such as Zoho or Vtiger and verify the number of free pipelines and available permissions in the current plan. Do not infer multiple-pipeline support from a general feature page. Attio’s free three-object model and Streak’s free-tool emphasis may be a poor fit for a multi-team sales structure.

Users versus seats
A user or seat is a person who can log in, but plan wording varies. Some vendors count active users, some count invited users, and some advertise unlimited users while restricting storage, permissions, or automation. A 15-user plan with 250 contacts may be less useful than a three-user plan with 5,000 contacts.
Contacts versus records
These terms are not interchangeable:
- Contact: usually an individual person.
- Company or account: an organization related to one or more contacts.
- Deal or opportunity: a sales transaction or potential transaction.
- Record: a broader unit that may include contacts, companies, deals, activities, notes, products, and other objects.
- Marketing contact: a contact eligible for marketing communication, which may be counted separately from ordinary CRM contacts.
For example, HubSpot’s current pricing page describes 1,000 contacts while also describing up to one million records across other standard object types. Zoho describes 5,000 contact records. Vtiger lists 3,000 records. Bigin counts records across contacts, companies, pipelines, activities, products, notes, tasks, events, and calls. Before importing, ask whether deleted, archived, unsubscribed, inactive, and duplicate records still count. Also check whether the quota is shared across the whole organization.
Email sends are not comparable
A plan may separately limit:
- One-to-one emails
- Bulk emails
- Automated emails
- Mail merges
- Marketing campaigns
- Emails sent through the CRM’s mail server
- Emails sent through Gmail or Outlook
Zoho’s free edition states 150 individual emails per day across three users. EngageBay’s current pricing page lists 1,000 branded emails. Vtiger lists 1,000 emails per month, Attio lists 200 email sends per month, and Streak’s free mail merge is 50 messages per day. These quotas cannot be compared without knowing the type of email they measure.
Automation levels
Automation ranges from simple reminders to full marketing journeys:
- Task automation: create a reminder, assign a task, or notify an owner.
- Workflow automation: trigger an action when a form is submitted, a field changes, or a deal moves stages.
- Marketing automation: run multi-step sequences, branching journeys, lead scoring, and behavior-based campaigns.
Zoho’s five free workflow rules are useful for basic process automation. Agile CRM and EngageBay are stronger candidates for marketing-oriented automation. Freshsales Free is a poor fit if automatic stage-based workflows are essential because independent testing coverage reports that workflow automation is not included in its free tier.

Vtiger’s 3 GB storage limit illustrates why record count is not the only capacity measure. Attachments, documents, and other files can consume storage even when the contact list is small. Bitrix24 also has storage and advanced-feature restrictions that may matter more than its disputed seat count.
Branding, permissions, API access, and reporting
Free marketing emails may carry vendor branding. Free plans may omit role-based permissions, audit history, advanced dashboards, custom objects, API access, or multiple pipelines. Attio’s free plan explicitly has no access controls, making it less suitable for teams that need separate permissions.
Inactivity and account deletion
Read the inactivity and cancellation terms before making any cloud CRM your only data store. Bitrix24’s current documentation discusses deletion of inactive free accounts, but its pages conflict over the stated period. Export important data regularly and verify the policy in the account you create.
Are free CRMs really free forever?
A free-forever cloud plan has no recurring subscription within its stated limits. It is different from:

Before signing up, check whether the plan has an expiration date, requires a credit card, becomes read-only after downgrade, deletes data after inactivity, restricts support to documentation or forums, adds branding to forms and emails, or allows the vendor to change limits. Free does not mean that the limits are contractually permanent.

- Need more than three active users? Start with EngageBay, Agile CRM, Vtiger, or Bitrix24. Verify the actual seat rule for Bitrix24.
- Need more than 1,000 contacts? Do not assume the current HubSpot free plan will work. Compare Zoho, Vtiger, or a self-hosted tool.

Set up your free CRM without creating a mess
- Define the purpose. Decide whether the CRM is for sales, fundraising, support, marketing, partnerships, or all of them.
- Design the minimum data model. Begin with lead source, lifecycle stage, owner, deal value, expected close date, next action, last contact date, and reason lost.
- Clean the spreadsheet. Remove duplicate email addresses, normalize company names, separate first and last names, standardize phone numbers, map lead status and deal stage, and remove obsolete rows.
- Preserve the original. Keep an untouched copy of the spreadsheet before importing anything.
- Import a small test batch. Use a few representative contacts and companies first.

- Create pipeline stages. Use stages that describe a real decision process, not every possible activity.
- Assign ownership and next actions. Every open opportunity should have one owner and a dated next step.
- Connect email and calendar. Confirm whether the connection logs messages, tracks opens, syncs both ways, or merely provides a sending plug-in.
- Create one lead-capture form. Test where submissions appear, which owner receives them, and whether consent information is retained.
- Add one or two automations. Start with a high-value reminder or notification instead of automating the entire process.
- Build a basic dashboard. Track open deals, overdue follow-ups, new leads, conversion by stage, and lost-deal reasons.
- Test export and deletion. Confirm that contacts, companies, deals, activities, notes, custom fields, and available email history can be recovered.
- Invite the team and document the process. Explain what each stage means, which fields are mandatory, and when a record must be updated.
Common free-CRM mistakes
Choosing by user count alone
Seat capacity is only one variable. A plan for 15 users with 250 contacts can be less useful than a three-user plan with 5,000 contact records.
Assuming unlimited contacts means unlimited marketing
Marketing-contact status, bulk-send quotas, enrichment credits, automation credits, and deliverability controls can apply separately. Always distinguish ordinary CRM storage from contacts eligible for campaigns.
Importing an unclean spreadsheet
Duplicate and inconsistent data makes every later report and automation less reliable. Clean the source file, test a small import, and preserve the original.
Creating too many custom fields

Airtable, ClickUp, monday.com, or similar configurable tools
These tools can be configured as CRMs, but they may lack native lead and contact relationships, automatic email history, duplicate detection, sales forecasting, consent management, CRM-specific reporting, or customer-support workflows. Choose them when the workflow is genuinely a database or project process rather than a conventional sales pipeline.
Gmail-native tools
Streak is the clearest example. It is convenient when email is the center of the workflow, but verify whether the free plan includes the team collaboration, pipeline, and reporting features you need.
Low-cost paid CRM
If a business already knows it needs more users, more contacts, advanced permissions, multiple pipelines, audit logs, or reliable automation, a low-cost paid plan may be cheaper than migrating twice. Compare not only the entry price but also whether the upgrade preserves records, fields, workflows, and integrations.

The result is vendor- and limit-specific. A service may block new records or users, stop a particular automation, restrict sending, make the account read-only, show upgrade prompts, or apply a different rule to existing data. Do not assume that old records will be deleted or that new records will be accepted.
Before you depend on a free CRM, deliberately test or document the behavior for the limits most likely to matter: contact import, record creation, email sending, workflow execution, storage, user invitation, and downgrade. Keep a current export so an upgrade decision is not made under data-loss pressure.
