The best free alternative depends on what you need an add-in to do. For basic spelling and grammar in Word, Microsoft Editor is a free starting point; for PDF viewing and searching, Adobe Acrobat for Microsoft 365 offers some free features but reserves other tools for paid users. For paraphrasing and e-signatures, check the specific task, Office compatibility, and current plan terms before choosing: a listing marked “Get it now” does not mean every feature is free.

Choose an alternative by the job it needs to do

Microsoft 365 add-ins cover different workflows, so there is no single best free substitute for all of them. Microsoft’s overview of Word add-ins gives examples such as writing assistance, paraphrasing with QuillBot, and electronic signatures with DocuSign. It is an overview, not a current independent popularity ranking, and it does not establish current plan limits or free replacements for those products. Microsoft’s 2023 overview of popular Word add-ins is useful for identifying tasks, not deciding which tool is free today.

  • Grammar and spelling: Start with Microsoft Editor if basic corrections are enough.
  • PDFs: Check whether you need viewing and search, or paid functions such as creating or combining PDFs.
  • Paraphrasing or signatures: Verify current free allowances, supported Office apps, and account requirements for the particular tool; the available evidence does not establish a current free alternative in either category.

Free grammar checker for Word: Microsoft Editor

Microsoft Editor is the clearest free option for basic writing corrections in this set. Microsoft says it supports more than 20 languages and works with Word documents, email, and writing on the web. Its free service covers basic spelling and grammar; advanced grammar and style refinements—including clarity, conciseness, formality, and vocabulary suggestions—are associated with Microsoft 365 subscription access. Editor underlines possible issues so you can accept or ignore suggestions. Availability depends on where you use it: Microsoft documents the free service in Word for the web and its browser extension, with sign-in to a Microsoft account. If you need advanced style refinements, treat Editor as a free basic tier rather than a wholly free writing suite.

Privacy in Edge spelling and grammar settings

Microsoft distinguishes Edge’s enhanced spelling and grammar checking from its Basic spellcheck setting. Enhanced checking sends typed text to a Microsoft cloud service; Microsoft says the text is not stored and is deleted after processing. Basic spellcheck runs locally and sends no spellchecking data to Microsoft. Text prediction is separate: typed characters and predictions may be cached for up to 30 days for service quality and performance improvement. Review the setting that matches your privacy needs rather than assuming all writing checks work the same way.

PDF add-ins: free viewing is not a free PDF editor

Adobe Acrobat for Microsoft 365 illustrates why “free add-in” needs qualification. The Microsoft Marketplace listing identifies PDF viewing and searching as free features. It also describes comments and annotations in Teams and browser-based PDF preview in SharePoint and OneDrive for Business. Choose based on the exact operation: if you only need to open, search, or review a PDF in the stated Microsoft 365 surfaces, the free features may be enough. If you need to create or combine PDFs, the listing says a paid license is required. The available documentation does not establish a named free third-party PDF editor as a Microsoft 365 add-in alternative, so it would be misleading to recommend one here as a verified substitute.

Paraphrasing and e-signatures: verify the free tier before installing

Paraphrasing and signatures are separate needs from grammar correction. Microsoft’s 2023 Word add-in overview names QuillBot as a paraphrasing example and DocuSign for Word as an e-signature example, but it does not establish their current free features, plan limits, or suitable free alternatives. Before adopting a product in either category, confirm its current entitlement and that it supports the Office app and account type you use. Do not infer that a tool is free simply because its Marketplace listing offers installation.

Find, review, and remove an add-in

Microsoft’s Windows-focused support instructions describe this route for discovering and managing add-ins; the precise labels or availability can vary by Office app and environment. Microsoft Support: get an Office add-in.

  1. Open the add-in catalog: In a supported Office app on Windows, choose File > Get Add-ins or Home > Add-ins.
  2. Inspect the listing: Review the publisher, description, supported app surfaces, permissions, and which functions are free versus paid. Confirm compatibility with your account and organization’s policies.
  3. Install only if it fits: Consider whether the add-in requests access to device capabilities such as the camera, location, or microphone. Microsoft documents permission prompts for supported web and New Outlook environments.
  4. Remove it if you no longer need it: Use the add-in management controls in the Office app. If the add-in is organization-managed, your administrator may control availability.

Check publisher trust and app governance

For Windows Office, Microsoft documents Trust Center options related to signed publishers. Its App Compliance Program also helps users find add-ins that are certified or attested. Publisher attestation and Microsoft 365 certification are distinct program mechanisms; these labels provide governance information, not a guarantee that an app is appropriate for your workflow. For a personal account, focus on the app’s purpose, permissions, and free-tier boundary. In a work or school account, also check whether your organization permits the add-in and whether an administrator must approve it. Make the decision using the relevant app and account context, not the add-in’s installation price alone.

Compare tools within one task category, not across unrelated add-ins. For each candidate, check these points:

  • Job: Does it correct grammar, paraphrase, view PDFs, create documents, or collect signatures?
  • Free boundary: Which features are genuinely available without a paid license, and are there usage limits?
  • Where it works: Is the feature supported in Word, Outlook, Teams, SharePoint, OneDrive for Business, a browser, or only a particular edition?
  • Account fit: Does it work with your personal Microsoft account, or is it subject to organization controls?
  • Trust and privacy: What data or device access does it request, and what governance information is available?
